Parts Maintenance

A facility is available that allows you to add, amend or delete parts associated with the menu. If you amend a manufacturer's menu, you are given the option to convert it to a dealer menu. Unless the manufacturer has specifically requested that you amend the menu, you should convert it to a dealer menu, otherwise your changes will be lost the next time data is uploaded and converted on the Autoline system.

Note: These facilities are only enabled if your manufacturer allows you to create and maintain menus.

What do you want to do?

Parts Form

The Parts form is displayed when you click the Create or Amend buttons on the Parts tab of the Menu Pricing Maintenance form. Within this form you can add and maintain parts on a menu.

Model code: Enter the vehicle model code to which the part applies.

All models: Tick this check box to make the part available to all models.

Part type: Select the type of part:

Note: If you select part as the type, select the appropriate radio button to indicate whether the part is held on the price file or stock file.

Part number: Enter the manufacturer's part number.

Tip: Click the Ellipsis button [...] to search for a part.

Fluid code: Enter the fluid code that your dealership uses for the fluid.

Quantity: Enter the quantity in which the part or fluid is issued.

PUSH BUTTONS

OK: Creates or saves the record.

Cancel: Cancels any amendments to the record.

Help: Displays help on the current application using the default browser.


Adding Additional Items to a Menu

To add a part to a menu:

  1. From the OPERATIONS menu, select the Menu pricing menu option.

    The Menu pricing maintenance menu is displayed.

  2. Select the Menu pricing maintenance option.

    If there is more than one Point-of-Sale (SO) company, the system prompts you for the SO company.

  3. Select the SO company.

    The Menu Pricing Maintenance form is displayed.

  4. In the Menucode field, enter the code of the menu that you want to amend.

    Tip: Click the Ellipsis button [...] to search for a menu.

    The menu is defaulted into the form.

  5. Click the Amend button.

  6. Display the Parts tab.

  7. Click the Create button.

    The Parts form is displayed.

  8. Complete the Parts form and click OK.

    The parts line is created.

  9. Click the Save button.

    You will get one of the following two results:

    1. If you are amending a dealer menu, the system saves the changes to the menu.

    2. If you are amending a manufacturer's menu, a warning is displayed:

      Your amendments will be lost during the next data update unless you convert this to a user menu. Would you like to convert this to a dealer menu?

  10. Do one of the following:

    1. Click the Yes button to convert the menu to a a dealer menu.

    2. Click the No button if you want to save the changes to the manufacturer's menu.


Amending a Part on a Menu

To amend a part on a menu:

  1. From the OPERATIONS menu, select the Menu pricing menu option.

    The Menu pricing maintenance menu is displayed.

  2. Select the Menu pricing maintenance option.

    If there is more than one Point-of-Sale (SO) company, the system prompts you for the SO company.

  3. Select the SO company.

    The Menu Pricing Maintenance form is displayed.

  4. In the Menucode field, enter the code of the menu that you want to amend.

    Tip: Click the Ellipsis button [...] to search for a menu.

    The menu is defaulted into the form.

  5. Click the Amend button.

  6. Display the Parts tab.

  7. Select the item that you want to amend.

  8. Click the Amend button.

    The Parts form is displayed.

  9. Amend the item as necessary and click OK.

    The system applies the changes to the part.

  10. Click the Save button.

    You will get one of the following two results:

    1. If you are amending a dealer menu, the system saves the changes to the menu.

    2. If you are amending a manufacturer's menu, a warning is displayed:

      Your amendments will be lost during the next data update unless you convert this to a user menu. Would you like to convert this to a dealer menu?

  11. Do one of the following:

    1. Click the Yes button to convert the menu to a a dealer menu.

    2. Click the No button if you want to save the changes to the manufacturer's menu.


Deleting a Part from a Menu

To delete a part from a menu:

  1. From the OPERATIONS menu, select the Menu pricing menu option.

    The Menu pricing maintenance menu is displayed.

  2. Select the Menu pricing maintenance option.

    If there is more than one Point-of-Sale (SO) company, the system prompts you for the SO company.

  3. Select the SO company.

    The Menu Pricing Maintenance form is displayed.

  4. In the Menucode field, enter the code of the menu that you want to amend.

    Tip: Click the Ellipsis button [...] to search for a menu.

    The menu is defaulted into the form.

  5. Click the Amend button.

  6. Display the Parts tab.

  7. Select the item that you want to delete.

  8. Click the Delete button.

    The following message is displayed:

    Are you sure you want to delete the selected item?

  9. Click the Yes button.

    The parts line is deleted.

  10. Click the Save button.

    You will get one of the following two results:

    1. If you are amending a dealer menu, the system saves the changes to the menu.

    2. If you are amending a manufacturer's menu, a warning is displayed:

      Your amendments will be lost during the next data update unless you convert this to a user menu. Would you like to convert this to a dealer menu?

  11. Do one of the following:

    1. Click the Yes button to convert the menu to a a dealer menu.

    2. Click the No button if you want to save the changes to the manufacturer's menu.
