The price maintenance facility allows you to associate alternative prices with a menu, a range of menus, or selected menus. You can create three types of price: fixed price, menu discount and itemised discount (with a different parts and/or labour discount).
What do you want to do?
The Price maintenance form is displayed when you click the button on the Menu Pricing Maintenance form or when you select the Price maintenance option from the Tools menu. From this form you create and maintain prices.
Filter options:
Within this group box, you can set filter options to limit the display of prices.
Company: Enter the Point-of-Sale company number or ** to display prices for all companies.
Menu code: Enter the menu code to which the price applies.
Model code: The model code to which the price applies. If you enter a menu code, this field is automatically populated by the system.
Status: Select one of the following radio buttons to limit the display of prices to a specific status:
- All
- Active only
- Inactive only
Source: Select one of the following radio buttons to limit the display of prices to a specific source:
- All
- Dealer only
- Manufacturer only
Price types: The price types allow you to limit the display of prices to a specific price type. The following check boxes are ticked by default. If you do not want to display a price, untick the box:
- Fixed price
- Menu discount
- Itemised discount
Prices:
Tip: To view a price, add a fixed price, discount or itemised discount, amend or delete a price, click the right mouse button, and select the appropriate option from the context menu.
Active: Is the price active? To toggle a price between active and inactive, position the cursor over the column and single-click the left mouse button. Alternatively, position the cursor over the record that you want to mark, and click the right mouse button. Select the Mark option from the first context menu, and select the Active or Inactive option from the second context menu.
Start menu code: The first menu code in the range.
Start : The first model code in the range.
End menu code: The last menu code in the range.
End model code: The last model code in the range.
Description: A description of the price.
Price: The total fixed price for the job including VAT.
Disc%: The discount percentage applied to the default selling price of the menu.
PUSH BUTTONS:
Purge: Deletes prices that have expired, that is prices that are outside of the Effective from/to dates.
Refresh: Refreshes the screen to display prices that match the Filter options.
The Price form is displayed when you select the View, Add, Amend or Delete options from the context menu on the Price maintenance form or when you click the Create, Amend or View buttons on the Prices tab of the Menu Pricing Maintenance form.
Description: A description of the price.
Company: The Point-of-Sale company number to which the price applies. ** indicates that the price applies to all companies.
Short code: A unique key generated automatically by the system that is used as a short name for look-up purposes within the menu pricing maintenance program only. You cannot edit this field.
Within this group box, select one of the following radio buttons in order to identify the menu(s) to which the price applies:
Range: Select this option if you want to apply the price to a range of menus, and complete the following fields:
From: In order to supply the first Menu code and Model code in the range, click the Menu code field Ellipsis button [...], and select the required menu/model. If the price only applies to one menu/model, you only need to complete the From fields. You do not need to complete the To fields.
To: In order to supply the last Menu code and Model code in the range, click the Menu code field Ellipsis button [...], and select the required menu/model.
Select menus: When you click this button, a Menu codes form is displayed. Select the menus to which you want to apply the price and click OK.
Note: The selection that you are required to make is determined by your franchise. For example, you may be required to select Model codes, Job types and Variants instead of Menus. In this case, a Wizard is displayed to guide you through your selection. Make your selection and click the Finish button.
Price type: Select one of the following radio buttons to indicate the type of price that you want to create:
- Fixed price
- Menu discount
- Itemised discount
Active: Tick this check box if you want to make the price active.
Dealer price: Tick this check box for a dealer price. Leave the check box empty for a manufacturer's price.
Within this group box, you must enter the pricing details. Only the fields that you are required to complete for the selected price type are enabled.
Fixed price: This field is only enabled when the Fixed price radio button is selected. Enter the fixed price.
Add VAT to this figure: This field is only enabled when the Fixed price radio button is selected. Tick this check box if you want to add VAT to the fixed price.
Menu Discount: This field is only enabled when the Menu discount radio button is selected. Enter the discount percentage that you want to apply to the default selling price of the selected menu(s).
Parts discount: This field is only enabled when the Itemised discount radio button is selected. Enter the default discount percentage to be applied to parts.
Labour discount: This field is only enabled when the Itemised discount radio button is selected. Enter the default discount percentage to be applied to labour.
Labour rate code: The single-character POS labour rate code.
Effective from/to: If required, enter a start and end date for the fixed price or discount.
Tip: Click the Ellipsis button [...] to display an electronic calendar.
VAT code: This field is only enabled when the Fixed price radio button is selected. Which VAT code is to be applied to the price?
PUSH BUTTONS:
Save: Saves the record.
Cancel: Cancels the operation.
Delete: Deletes the record.
Help: Displays help on the current application using the default browser.
To view a price:
From the OPERATIONS menu, select the Menu pricing menu option.
The Menu pricing maintenance menu is displayed.
Select the Menu pricing maintenance option.
If there is more than one Point-of-Sale (SO) company, the system prompts you for the SO company.
Select the SO company.
The Menu Pricing Maintenance form is displayed.
Do one of the following:
Click the button or select the Price maintenance option from the Tools menu. Position the cursor over the price that you want to view on the Price maintenance form, right-click the mouse, and select the View option from the context menu.
Tip: Set the Filter options to limit the display of prices.
Open the menu against which the dealer price exists. Display the Prices tab, select the price that you want to view, and click the View button.
The Price form is displayed.
When you have finished reviewing the price, click the Close button.
If required, you can create an alternative fixed price against a menu, a range of menus, or selected menus.
To create a fixed price:
Display the Menu Pricing Maintenance form.

Do one of the following:
Click the button or select the Price maintenance option from the Tools menu. Position the cursor over the grid on the Price maintenance form, right-click the mouse, and select the Add option from the context menu.
Open the menu against which you want to create a fixed price. Display the Prices tab and click the Create button.
The Price form is displayed.
Within the Identity group box, enter a Description for the price and press the TAB key.
The system automatically generates the short code.
Select the Company to which the price applies.
Tip: ** indicates that the price applies to all companies.
Do one of the following:
To apply the price to one menu, select the Range option within the Menus group box. Click the first Menu code field Ellipsis button [...], and select the required menu/model.
To apply the price to a range of menus, select the Range option within the Menus group box. To enter the first menu and model code in the range, click the first Menu code field Ellipsis button [...], and select the required menu/model. To enter the last menu and model code in the range, click the last Menu code field Ellipsis button [...], and select the required menu/model.
To apply the price to selected menus, select the Selective option within the Menus group box, and click the Select menus button. The Menu codes form is displayed. Select the menus to which you want to apply the price and click OK.
Note: The selection that you are required to make is determined by your franchise. For example, you may be required to select Model codes, Job types and Variants instead of Menus. In this case, a Wizard is displayed to guide you through your selection. Make your selection and click the Finish button.
Within the Settings group box, select the Fixed price option.
If you want to activate the price, tick the Active check box.
If this is a dealer price, tick the Dealer price check box.
Within the Pricing group box, enter the Fixed price.
If you want to add VAT to the fixed price, tick the Add VAT to this figure check box.
Select the required Labour rate code.
If required, enter the Effective from and to dates.
Select the VAT code that you want to apply to the price.
Click the Save button.
If required, you can create a discount against a menu, a range of menus, or selected menus.
To create a menu discount:
Display the Menu Pricing Maintenance form.
Note: See Viewing a Price for instructions on how to display this form.
Do one of the following:
Click the button or select the Price maintenance option from the Tools menu. Position the cursor over the grid on the Price maintenance form, right-click the mouse, and select the Add option from the context menu.
Open the menu against which you want to create a discount. Display the Prices tab and click the Create button.
The Price form is displayed.
Within the Identity group box, enter a Description for the price and press the TAB key.
The system automatically generates the short code.
Select the Company to which the price applies.
Tip: ** indicates that the price applies to all companies.
Do one of the following:

Within the Settings group box, select the Menu discount option.
If you want to activate the price, tick the Active check box.
If this is a dealer price, tick the Dealer price check box.
Within the Pricing group box, enter the Menu discount percentage that you want to apply to the default selling price of the selected menu(s).
Select the required Labour rate code.
If required, enter the Effective from and to dates.
Click the Save button.
If required, you can apply a different parts discount and/or labour discount against a menu, a range of menus, or selected menus.
To create an itemised discount:
Display the Menu Pricing Maintenance form.
Note: See Viewing a Price for instructions on how to display this form.
Do one of the following:
Click the button or select the Price maintenance option from the Tools menu. Position the cursor over the grid on the Price maintenance form, right-click the mouse, and select the Add option from the context menu.
Open the menu against which you want to create a discount. Display the Prices tab and click the Create button.
The Price form is displayed.
Within the Identity group box, enter a Description for the price and press the TAB key.
The system automatically generates the short code.
Select the Company to which the price applies.
Tip: ** indicates that the price applies to all companies.

Within the Settings group box, select the Itemised discount option.
If you want to activate the price, tick the Active check box.
If this is a dealer price, tick the Dealer price check box.
Within the Pricing group box, enter the Parts discount percentage that you want to apply.
Enter the Labour discount percentage that you want to apply.
Select the required Labour rate code.
If required, enter the Effective from and to dates.
Click the Save button.
If required, you can amend a price on the Autoline system. When you amend a price, you are asked if you want to update all matching records. This means all records with the same short code.
Note: You must only amend manufacturer prices if advised to do so by the manufacturer.
To amend a price:
Display the Menu Pricing Maintenance form.

Do one of the following:
Click the button or select the Price maintenance option from the Tools menu. Position the cursor over the price that you want to amend on the Price maintenance form, right-click the mouse, and select the Amend option from the context menu.
Tip: Set the Filter options to limit the display of prices.
Open the menu against which the price exists. Display the Prices tab, select the price that you want to amend, and click the Amend button.
The Price form is displayed.
Amend the price as necessary
Click the Save button.
The Update Item dialog box is displayed with the following message:
Do you wish to update all records that match this item or just this one?
Do one of the following:
Click the All matching button to update all records with the same short code.
Click the Just this one button to update the selected record.
If required, you can delete a price from the Autoline system. When you delete a price, you are asked if you want to delete all matching records. This means all records with the same short code.
Note You must only delete manufacturer prices if advised to do so by the manufacturer.
To delete a price:
Display the Menu Pricing Maintenance form.

Click the button or select the Price maintenance option from the Tools menu. Position the cursor over the price that you want to delete on the Price maintenance form, right-click the mouse, and select the Delete option from the context menu.
Tip: Set the Filter options to limit the display of prices.
The Price form is displayed. Click the Delete button. The Update Item dialog box is displayed with the following message: Do you wish to delete all records that match this item or just this one? Click the All matching button to delete all records with the same short code or click the Just this one button to delete the selected record.
Open the menu against which the price exists. Display the Prices tab, select the price that you want to delete, and click the Delete button. The following message is displayed: Are you sure that you want to permanently delete the selected item(s)? Click the Yes button.
A facility is available that allows you to delete expired prices from the system. Prices are only purged if today's date is greater than the end date on the price.
To delete expired prices:
Display the Menu Pricing Maintenance form.

Click the button.
The Price maintenance form is displayed.
Click the Purge button.
The following message is displayed:
Are you sure you want to purge all expired prices?
Click OK
A dialog box is displayed confirming the total number of prices deleted.
Click OK.
To mark a price as active/inactive:
Display the Menu Pricing Maintenance form.

Do one of the following:
Click the button or select the Price maintenance option from the Tools menu. Position the cursor over the price that you want to mark on the Price maintenance form, and do one of the following:
Tip: Set the Filter options to limit the display of prices.
Single-left click the mouse button to toggle the tick symbol on/off.
Click the right mouse and select the Mark as option from the context menu. From the second context menu, select the Active or Inactive option, as required.
Open the menu against which the price exists. Display the Prices tab. Select the price that you want to mark, and click the Amend button. The Price form is displayed. Set the Active check box to the required setting. Click the Save button.
