Rejecting Claims

You can reject claims selected in accordance with your filter criteria or choose a specific claim for rejecting.

Rejecting Claims Selected by Filter Criteria

To reject selected claims:

  1. From the Ford GWE Claims form click the Tools > Reject claims command.

    The Reject Claims form is displayed.

  2. Click Filter.

    The Filter form is displayed.

  3. Enter your filter criteria and click OK.

    The Reject Claims form is redisplayed, filtered according to your filter criteria.

  4. Click the Reject box for each claim you want to reject.

    A tick is displayed in the Reject box for each claim to be rejected.

    Tip: You can click the box again to un-select the claim.

  5. Click OK, followed by Yes to confirm.

    The status of all the claims you marked for rejection is changed to 3U (Repair under review). With the claim status changed to 3U you can either resubmit the claim or credit/amend the invoice in Point-of-Sale.

Rejecting Specific Claims

  1. From the Ford GWE Claims form, enter the number of the claim you want to reject in the Claim number box, or click the ellipsis button next to the box to search for claims.

    The claim details are displayed and the Reject button Undo.gif is made available.

  2. Click the Reject button, followed by OK to confirm.

    The status of the claim is changed to 3U (Repair under review). With the claim status changed to 3U you can either resubmit the claim or credit/amend the invoice in Point-of-Sale.

Reject Claims Form

This form is displayed when you click Ford GWE Claims form > Tools > Reject claims. It enables you to mark one or more claims for rejection.

Grid:

Claim: Claim number.

Document: Identifies the invoice that the claim belongs to.

Created: Date when claim was created.

Submission no.: Identifies the last submission that included this claim record.

Status: Status of the claim.

Reject: If this check box is selected, it confirms that you want the claim to be rejected.

Buttons:

OK: Rejects the selected claim or claims.

Cancel: Returns to the Ford GWE Claims form without making any changes.

Help: Displays this help topic in your default company browser.

Filter: Displays the Filter form.

Filter Form

This form is displayed when you click Filter on the Reject Claims form.

Claim number From: Searches for claims starting from this claim number.

Claim number To: Searches for claims up to and including this claim number.

Invoice number From: Searches for claims created from this invoice number onwards.

Invoice number To: Searches for claims created from invoice numbers up to and including this one.

Invoice date From: Searches for claims invoiced on or after this date.

Invoice date To: Searches for claims invoiced up to and including this date.

WIP number From: Searches for claims created from WIPs with this number onwards.

WIP number To: Searches for claims created from WIPs up to and including this number.

Registration: Searches for claims for repairs to the vehicle with this registration number.

Tip: You can search on part of a registration number.

Account: Searches for claims invoiced to this account number.

Buttons:

OK: Returns you to the Reject Claims form with the grid populated with details of the claims, if there are any, matching your search conditions. If there are no matches, the system displays the message:

No claims found of a suitable status

Cancel: Abandons the search and returns to the Reject Claims form.

Help: Displays this help topic in your default company browser.

Reset: Resets all filter details to their defaults, enabling you to start again.
