When you have created claims in Point-of-Sale, you must submit them to the manufacturer.
What do you want to do?
This form is displayed on selecting the Ford GWE submissions option from the Ford GWE Claims menu. It lists all unsubmitted claims. It enables you to:
Menu bar and toolbar:

Note: All newly created warranty claims are held as a precaution against invalid claims being sent.

Claim List Group:
Warning: If a claim's Held column is unselected, indicating that it has passed validation, you should submit it as soon as possible. If any such claim record is subsequently edited and inadvertently rendered non-valid, its Held check box remains unselected, enabling it to be submitted in non-valid form.
The claim list displays claims ready for submission. Held claims (incomplete and not ready to be submitted) are also displayed if Show held documents in the Filter section is ticked.
Note: All newly created warranty claims are Held as a fail-safe to prevent invalid claims being sent to GWE.
Document: Identifies the invoice that the claim belongs to
Type: I for invoice or C for credit
Date: When the repair was carried out
Claimno: Identifies the claim record
Account: Identifies the warranty account
WipNo: Identifies the WIP record from which the claim is derived
Sent: Date that the claim record was transmitted to GWE (blank if Held)
Submission: Identifies the submission batch file (zero before submitting)
Held: A tick indicates that the claim cannot yet be sent to GWE. Select this check box to perform validation on the claim. If it passes validation, the check box becomes un-ticked. Otherwise the Invalidity Reasons form is displayed, listing the reasons for failure.
Tip: If you select a ticked grid line's Held column to un-tick it, Autoline performs full validation on that claim. If it fails validation, a list of reasons for the failure is displayed and, on being returned to this form, the line's Held column remains ticked.
Claim List right-click menu:
Display document ...: Previews the selected claim
View claim details ...: Displays further information about the selected claim
Mark claim for re-submission: Labels the claim record for re-submitting
Mark this submission for re-submission: Labels the whole submission batch for re-submitting
Filter:
Filter options enable you to limit the display of claims by entering the relevant Claim number (to view individual claims) or submission number (to view previous batch submissions). Select the compile button to generate and display the filtered list.
Submission number: Identifies a submission so that, on selecting the compile button
, the grid is updated to display claims belonging to the selected submission
Claim number: Identifies a claim record so that, on selecting the compile button
, the grid is updated to display that claim only
Show held documents?: If ticked, on selecting the compile button
, the Claim list is updated to list both Held and non-Held claims
Tip: Ticking Show held documents? is essential for viewing all claims that have not yet been exported to warranty.
Show non-claims: A tick indicates that, on selecting the compile button
, the Claim list is updated to include both claims and service notification records
Note: Service notification records (non-claims) are automatically sent along with warranty claims and require no amendments to be made to them when invoiced. Therefore Show non-claims? is NOT ticked, unless you select it, to avoid cluttering the list. Further, in contrast to warranty claim records, service notifications are not Held.
Buttons:
Compile: Displays claims matching your filter criteria in the grid.
When you enter the submissions program, it lists unsubmitted claims as lines in its grid. Initially, all are set to Held. To be able to send a claim, you must select its Held column to deselect it. That causes the system to carry out full validation checks on the claim. If the claim fails validation, Held column remains selected.
When all the claims to be transmitted have been validated and are therefore no longer Held, click the submission form's satellite button on the toolbar to batch the claims and send the batch to
OWS for subsequent transmitting to Ford.
To send claims to OWS, for transmission to Ford:
Select Ford OWS from the Ford Operations menu.
The Ford OWS claims menu is displayed.
Select Ford OWS submissions.
The Ford OWS submissions form is displayed, listing unsubmitted claims. (All are initially set to status Held).
Select the Held field next to the claim field.
The system performs full validation on the claim, as follows:
If the task passes validation, the Held field is unselected.
If the task fails validation, the system shows why it failed validation. Correct it before trying again.
Note: If you have high enough access priority, an Override button is displayed on the Invalidity Reasons form.
Repeat step 3 for each non-valid task.
When all tasks are valid, all Held fields on the Ford OWS submissions form are unselected.
To send the claims, select the satellite button on the toolbar.
Tip: You can exclude claims from the submission by ticking the Held field.
The claims are batched into a file and transmitted to OWS.If claims fail on submission, or if there is a transmission fault, you can mark claims for resubmission.
To resubmit new claims:
Select Ford OWS from the Ford Operations menu.
The Ford OWS claims menu is displayed.
Select Ford OWS submissions.
The Ford OWS submissions form is displayed, listing unsubmitted claims. (All are initially set to status Held).
Right-click the claim
A popup menu is displayed
Select one of the following options:
Mark claim for submission: The status of the claim is changed back to new claim and the submission number and submission date fields are deleted from the record so that it can be sent again.
Mark this submission for resubmission: Same as above except every claim within a particular submission number is changed in order to be re-sent.
The claims then have the correct status for re-submission.
To send the claims, select the button on the toolbar
Tip: You can exclude claims from the submission by selecting the Held field.
The claims are batched into a file and transmitted to OWS.
To view submission details of previous claims:
Select Ford OWS from the Ford Operations menu.
The Ford OWS claims menu is displayed.
Select Ford OWS submissions.
The Ford OWS submissions form is displayed, listing unsubmitted claims. (All are initially set to status Held).
In the Filter group box, enter the Claim number and select the tick button
If the claim exists, it is displayed in the grid.
To access the submission details of previous batches of claims:
Select Ford OWS from the Ford Operations menu.
The Ford OWS claims menu is displayed.
Select Ford OWS submissions.
The Ford OWS submissions form is displayed, listing unsubmitted claims. (All are initially set to status Held).
In the Filter group box, enter the batch Submission number and select the tick button.
Tip:
Select the Ellipsis button for a menu of submissions from which to pick.
If the submission exists, it is displayed in the grid.
