Creating and Invoicing Ford Warranty Claims
Ford Warranty Parameters Form, particularly regarding the Send service notifications check box.
A service notification record contains details of a vehicle-related service notification sent to Ford via the OWS system. It is not a warranty claim, yet the service notification record is allocated a claim number.
The impact of service notifications on warranties is the recording of a scheduled vehicle service may be necessary to ensure the validity of a subsequent warranty claim. In other words, if the owner of the vehicle has not adhered to its servicing schedule, that vehicle's warranty may then be invalid. Service notifications update the vehicle's servicing history.
A service notification in point-of-sale can be applied to any type of account except a warranty account, so the part and labour lines in the WIP record do not have W-codes (the W column is blank). However, a service notification record is put through the Ford warranty module if it is for a Ford vehicle or a non-Ford vehicle with significant Ford parts. It is allocated a claim number even though it is not a claim as such, and the Repair details tab in the Ford Warranty Claim Information form is automatically populated appropriately.
Tip: For service notifications the Ford Warranty Claim Information form's Parts and Expenses tabs may be ignored.
On printing the invoice (by selecting Action > Print) a Ford Service Notification confirmation box displays the message:
Do you wish to send a service notification to Ford via GWE? (Not required for commercial vehicles or vehicles bought before 01/09/2000)
This enables you to avoid re-sending service notifications after merely updating the record for parts by selecting No. For example, if the vehicle concerned is out of warranty, possibly because the service notification pertains to an extended warranty outside the scope of this Ford warranty subsystem, you would not need to send a service notification to Ford.
Similarly, if it is a commercial vehicle you would not need to send a service notification.
Note: Selecting the No button does NOT abandon the process. It merely inhibits the record from being processed by the warranty subsystem, but other than that, it is processed normally.
Selecting the Yes button enables you to select from a menu of service artificial causal parts, the allocation of which creates the service notification in point-of-sale.
You can update the service notification record in manufacturer systems using the same process as for updating warranty claims, with the exception of the necessity to select Include non-claims when displaying records.
