The procedure to search for claims is described below.

To find a claim record:

  1. Select Manufacturer Systems.

    The Ford Operations menu is displayed.

  2. Select Ford OWS.

    The Ford OWS Claims menu is displayed.

  3. Select Service and repair claims.

    The Ford OWS Claims form is displayed.

  4. Click the ellipsis button next to the Claim number field.

    The Claim Search form is displayed.

  5. Enter your Selection Criteria and click Search.

    The system displays claim records that are within the specified selection criteria and displays them in the search results grid.

  6. Double click a claim line in the search results grid to display in more detail.

    The system displays the claim in the Ford-GWE Claims form.

Claim Search Form

This form is displayed when you click the Claim number field's Ellipsis button [...] on the Ford-GWE Claims form.

Tip: Activate Include non-claims to display service notifications.

Selection Criteria Group:

Claim number -- From: Lowest claim identification number to include in your search.

Claim number -- To: Highest claim identification number to include in your search.

Invoice number -- From: Lowest invoice number to include in your search.

Invoice number -- To: Highest invoice number to include in your search.

Invoice date -- From: Earliest invoice for claim records to include in your search.

Invoice date -- To: Latest invoice for claim records to include in your search.

WIP number -- From: Lowest WIP number to include in your search.

WIP number -- To: Highest WIP number to include in your search.

SL magic -- From: Lowest sales ledger magic number to include in your search.

SL magic -- To: Highest sales ledger magic number claims to include in your search.

Registration: Only display claim records for the vehicle with this registration number.

Tip: A search on a Registration partial string match is also effective.

Account: Only display claim records invoiced to the specified account number

Tip: Use the Ellipsis button [...] to find an Account number.

Status: Display only claim records at the specified stage of processing, for example 04 Ready to transmit, 05 Submitted to Ford, 06 Exported to GWE, etc.

Tip: Use the drop-down button Drop-down to select from a list of Status codes.

Include non-claims: If selected, indicates that all invoiced tasks must be displayed, not just claims

Tip: Select Include non-claims to display service notifications.

Search Results Grid:

Claim: The claim record unique identification number.

Invoice: The invoice number that the claim was created from.

Inv date: The date the invoice was created.

WIP: The WIP number the claim was created from.

PayCode: W-code suffix

Reg no.: The registration number of the vehicle that the claim applies to.

Account: The Number identifying the account that the claim record is invoiced to.

SL magic: The sales ledger magic number associated with the claim record.

Buttons:

Cancel: Closes the form without saving any changes you have made and returns you to the Ford OWS Claims form.

Search: Retrieves claim records falling within the specified selection criteria and displays them in the search results grid.

Last WIP: Displays claims created from the last WIP.

Note: If you load a costed WIP in point of sale with a claim on it and select the Last WIP button, it enters the last WIP loaded into the selection criteria.

Reset: Clears the selection criteria fields.

Help: Displays the current help file in your default browser.

Print: Prints a hardcopy list of claims matching your selection criteria.
