The Auto-create option scans the service history records, searching for any service work eligible for inclusion in a service notification. This is the recommended procedure for creating notifications. WIPs are included if the franchise of the vehicle is V. The marketing vehicle record must also be attached to the WIP, and the WIP must have valid service codes.
In this program, you are given the option to exclude service work from submission to Volvo.
To create service notifications:
Note: If a WIP is held open (for example, it contains parts at Reserved status) and you select the Purge option, the WIP will be included in the list of service work items displayed in this program.
From the VOLVO UK OPERATIONS MENU, select the Service notifications option and the Point-of-Sale company required.
The Volvo service notification form is displayed.
From the File menu, select the Auto-create option.
The following message is displayed:
Auto-create service notifications?
The Auto-create WIPs form is displayed with a list of eligible WIPs to process.
Flag any records that you do not want to include in the service notification to Omitted.
Tip: To toggle a record between Auto-create and Omitted, double-click the Action field. Alternatively, you can omit a record from submission after you have created a notification by ticking the Omitted from send? field on the Volvo service notification form.
The following message is displayed:
Created [number] WIPS for transmission
The service notification record is created and you are returned to the Volvo service notification form.
You must now submit any service notifications that you have created to Volvo.
Tip: A facility is available that allows you to identify unsubmitted records. This is useful if you want to identify the records you have just created, and make amendments before submission to Volvo.
This form is displayed when you select the Auto-create option from the File menu on the Volvo service notification form. It displays any WIPs eligible for inclusion in a service notification. From this form, you can create a batch of service notifications, omitting any records that you do not want to include in the submission. You can include up to a maximum of 250 WIPs per batch.
WIP: Work-in-Progress number generated in Point-of-Sale (POS).
Model: Volvo model code, taken from the WIP.
Registration: Vehicle registration number, taken from the WIP if possible.
Action: Indicates whether you have flagged the WIP as Auto-create or Omitted. Any records that are flagged as Omitted will not be submitted to Volvo.
Tip: Double-click the Action field to toggle between Auto-create and Omitted.
Buttons:
Create: Generates a service notification.
Cancel: Returns you to the Volvo service notification form.
