When you have invoiced service work within Point-of-Sale (POS), you can create service notifications and download them from the Autoline system ready for transmission to Volvo. The creation, maintenance and submission of service notifications are carried out in Manufacturer Systems.
Volvo dealers are expected to inform the manufacturer, on a regular basis, of any franchise vehicles that have been serviced at their workshop. An interface on the Autoline system enables you to extract the relevant details from Point-of-Sale (POS) and marketing vehicle records, and make them available for amendment and transmission to Volvo.
Before you invoice service work in Point-of-Sale (POS), you must ensure that the parameters and controls, service codes and so on are set up correctly. This is normally carried out by, or on advice from, a consultant.

To maintain Volvo service notifications:
From the VOLVO UK OPERATIONS MENU, select the Service notifications option and the Point-of-Sale company required.
The Volvo service notification form is displayed.
This form is displayed when you select the Service notifications option and the Point-of-Sale company required from the VOLVO UK OPERATIONS MENU. It enables you to maintain Volvo service notifications.
Menu Bar and Toolbar:
Menu bar Toolbar Action File > New — Enables you to create a service notification for an individual WIP. File > Auto-create — Identifies outstanding service work, and displays the WIPs for auto-creation of a service notification. File > Print — Enables you to print a service notification. File > Exit — Returns you to the VOLVO UK OPERATIONS MENU. Tools > Submit — Enables you to download service notifications from the Autoline system ready for transmission to Volvo. Tools > Purge — Enables you to delete records that are now finished with and more than 90 days old. Tools > Edit defaults — Enables you to set up the default record for a service notification (this is normally carried out on set-up by a consultant). Tools > Ad-hoc — Enables you to formulate a query using Adhoc Enquiries. Help > Help — Displays this help topic in a web browser. Help > About — Displays version and copyright information.
WIP number: Work-in-Progress number generated in Point-of-Sale (POS).
Tip: Click the Ellipsis button to search for a WIP by chassis, WIP or registration number, or to identify unsubmitted records. Enter the WIP number and press the TAB key to copy the service notification details into the form.
Vehicle and service details:
Model number: Volvo model code, taken from the WIP if possible.
Registration number: Vehicle registration, taken from the WIP if possible.
Chassis number: Chassis number in the marketing vehicle record (six numeric characters).
Life-time care?: If this check box is ticked, this vehicle is subject to Life Time Care (updated from the marketing vehicle record).
Comments: Comments taken initially from the WIP, but editable.
Service date: Date when the vehicle is booked in for the service, taken from the Date in field of the WIP.
Next service: Date when the next service is due.
Service dealer: Dealer number of the servicing dealer.
Mileage: Vehicle mileage, taken from the WIP header, not the marketing record.
Transmission details:
Omitted from send?: If this check box is ticked, the record is not submitted to Volvo.
Date submitted: Date when the service notification was submitted.
Dealer details:
Dealer: Dealer number of the dealer creating the service notification.
Importer: The importer code is not required for service notifications.
Buttons:
Exit: Returns you to the VOLVO UK OPERATIONS menu.
Save: Saves the service notification record.
Cancel: Cancels the operation.
Help: Displays this help topic in a browser.
Create: Enables you to create a service notification for an individual WIP. This option works in the same way as the New option on the File menu. The only difference is that you are not prompted to input a WIP number, you only have the facility to search for a WIP.
Amend: Enables you to alter details of a service notification prior to submission.
Delete: Enables you to delete a service notification.
