The Nominal Ledger provides a simple but powerful facility for Journal posting, with automated controls and with a number of features which minimise the element of repetition in data entry. In addition it allows the creation of standard Journals which can be re-used and special control Account Journals.
Standard journals are created and maintained through the Edit standard NL journals option on the Miscellaneous menu.
To Edit Standard Journals:
From the Autoline Master menu select the Nominal Ledger option and the company you require
Select Miscellaneous options option
Select the Edit Standard Journals option
The Edit Standard Journals form is displayed:
On entering this option you will be asked to enter the name of a
standard journal in the standard journal field. The search facility
is available.[Use button]
The form will display the journal in either grid format, or the default line entry, depending on which style has been selected
in NL System Parameters .
If this is an existing standard journal it can be edited and saved as required. A Set blank narratives option, identical to the one in Insert NL journal entries option, is available by clicking on any of the narratives fields.
If a new name is entered [instead of using the
]
you will be asked to enter a description of
the standard journal. The description entered will be shown on the
window search of standard journals. The new standard journal can be
edited as required just as if it was an ordinary journal.
Amounts are optional and will depend on whether the posting values can be pre-determined, or whether they should be input each time the standard journal is applied.
The menu will allow you to use the Text option to add text and set up a pre-determined text record relating to the whole journal. The text is stored in the same way as a document archive (document type NJ) and is available for display at a transaction detailed display level in both the Account Enquiry and Transaction Enquiry options covered in the Nominal Ledger Operator on-line help.
The menu also gives button options of Save, and Delete. Apart from this, all button functionality remains the same as other journal posting routines.
Unless the Save button is clicked and confirmed, the Standard journal will not be saved.
To post Journals to the Nominal Ledger take the Insert NL journal entries option. You will at once be shown the Nominal Ledger Journal posting screen. In this screen, the cursor first rests on the Standard jnl field. This help topic is only designed to discuss the functionality and editing of the standard journal function. By entering the name of a Standard Journal here, you can call up the
named Standard Journal with all of the details associated with it. A
Standard Journal is a previously created journal entry
stored on the system for reuse. Click the
button to search for standard journal files.
The details on the Standard Journal can be posted as they stand, or after editing any part of their content.
