The Financial tab contains a display of the current financial indicators and status of an account. It displays indicators that warn you of other system information that may affect the validity of an evaluation based on these details. All the Financial tab information is updated automatically by the system.
Age Analysis:
Age analysis of the account is displayed in both the account currency and your base currency if they are different. If they are the same, only the one currency is displayed.
The analysis is presented aged over the current period and five preceding periods, along with any on-account cash held on the account.
This information is presented aged by document date (tax point date of document), or due date, in grid and graphical format, dependant upon which radio button is selected at the time.
If you double-click one of the rows in the grid, you are presented with a grid of the transactions that make up the aged balance. Within this grid, all the selection and drill facilities provided under the Transactions tab are available to you.
If you are using the branch analysis facility, the Age Analysis grid can be further defined to display the aged debts for a particular or range of branch analysis codes.
Note: The branch analysis facility is controlled by a parameter held in Nominal Ledger system parameters.
Age analysis graph:
This graph essentially displays the same information as the Age Analysis grid, but in a pictoral format.
Turnover (VAT exclusive):
The turnover for the account can be held inclusive or exclusive of VAT. This is controlled by a field held on the General tab of Purchase Ledger system parameters.
Warning: The decision as to whether turnover should be inclusive or exclusive of VAT is made prior to installation of Autoline because it should not be changed once in use.
It is displayed in dual currency if the account is being run in a different currency to your base currency, and analyses the information in the grid on a period-to-date, year-to-date and account-to-date basis.
The period-to-date, year-to-date and account-to-date values are updated when the daybooks are processed.
Note: The third row in this grid can be used in two modes: 1) the account-to-date values or 2) the last year-to-date values. This is controlled by a system parameter held on the General tab of Purchase Ledger system parameters. This parameter also controls which description appears in the row of the grid. If running in last year mode, the values are not updated by the daybook processing but are updated by the period end close routine if closing the final period of the year.
Warning: The decision as to which mode to use is made prior to installation of Autoline because it should not be changed once in use.
Buffered Documents:
These values represent the total value of transactions not yet posted to the account you are displaying. They are not included in the total outstanding debt on the account and only appear on the account when all daybooks have been processed. These values are also used by the Point-of-Sale functions to ascertain the true real-time debt and allowable credit remaining.
Transactions:
Unposted cash: This check box, when ticked, indicates that there are unposted cash transactions. The box is set when there is a failure in the cash posting and allocations routine.
Warning: While this check box is set, you cannot make further cash postings to this account . You should investigate the cash postings to this account to ensure that all expected postings are on the account. If there are some cash postings missing, you should seek advice from Autoline Support.
Outstanding items: This field displays how many items are outstanding for the account.
BUTTONS:
Remittances: You have a facility to document archive your remittances that have been printed and sent to your customers. If you are using this facility and click this button, a dialog box is invoked that lists all the previous remittances you have archived relative to this account. Select your chosen archived remittance from the list and click the OK button to display your chosen statement.
