Carriage Charges

In Parts Point-of-Sale, it is possible to raise a WIP line to charge the customer for the carriage of parts. A carriage method is identified by entering a carriage code on the Codes tab of the WIP. If a carriage code is entered, the system references the details held against the carriage code. Each carriage code record holds against it up to nine amounts and a Weight calculation field. If the Weight calculation field is not ticked, the system uses the first amount (Amount 1) for the total value. If it is ticked, and a weight is entered on the Other tab of the part stock record, the system multiplies the weight on the stock record by the quantity of the part entered on the WIP to calculate the total weight, and the total weight and the first amount (Amount 1) for the total value. If a carriage method is not identified, you still have the option to enter a single fixed amount for carriage.

Note: If you want to use the carriage code to forward carriage charges onto the customer, you must identify the part number used for carriage in the Carriage part field on the Fastrack tab of the POS parameters.

To charge carriage:

  1. In Parts Point-of-Sale, load the part(s) onto the WIP via the New product group, and do one of the following:

    1. If you want to charge carriage to the customer but do not want to specify a carriage method, select the Carriage option from the Tools menu.

    2. If you do want to specify a carriage method, enter a carriage code on the Codes tab of the WIP and select the Carriage option from the Tools menu.

Note: The Carriage option is only displayed on the Tools menu for Parts WIPs, if the Sundries active flag on the Fastrack tab of the POS parameters is not ticked.

The Carriage Value form is displayed.

You will get one of the following three results:

    1. If no carriage code is entered on the Codes tab of the WIP, only one field is displayed on the form. This is the Total value field which is set to 0.00.

    2. If a carriage code is entered on the Codes tab of the WIP and the Weight calculation box on the carriage code is NOT ticked, only one field is displayed on the form. This is the Total value field which defaults to the first amount (Amount 1) held against the carriage code.

    3. If a carriage code is entered on the Codes tab of the WIP and the Weight calculation box on the carriage code IS ticked, the system calculates the carriage charge and displays three fields on the form. These are: Total weight (kg), Value per kg and Total value.

  2. Do one of the following:

    1. If the Total value field is set to 0.00, enter the total value to charge for carriage.

    2. If the Total value field is populated with a value other than 0.00, do one of the following:

      • Click OK to accept the total value

      • If you want to override the total value, enter the total amount to charge for carriage and click OK.

A line is created on the WIP using the part number identified in the Carriage part field on the Fastrack tab of the POS parameters.

Carriage Value Form

The Carriage Value form is displayed when you select the Carriage option from the Tools menu. From this form you can forward carriage charges to the customer.

Note: The fields displayed on the Carriage Value form depend on whether a carriage code is entered on the Codes tab of the WIP AND whether or not the Weight calculation box on the carriage code is ticked.

If no carriage code is entered on the Codes tab of the WIP OR a carriage code is entered on the Codes tab and the Weight calculation box on the carriage code is NOT ticked, you can only charge a single fixed amount for carriage of parts to the customer. In this case, the following field is displayed on the form:

Total value: The total carriage charge to the customer. This field is populated in one of two ways:

If a carriage code is entered on the Codes tab of the WIP and the Weight calculation box IS ticked on the carriage code, the system calculates the total value of carriage to be charged to the customer. In this case, the following fields are displayed on the form:

Total weight (kg): The total weight of the parts. In order to calculate the total weight, the system multiplies the weight entered on the stock card by the quantity of the part entered on the WIP.

Value per kg: The amount per kilogram. This is the first amount (Amount 1) held against the carriage code.

Total value: The total carriage charge to the customer. In order to calculate the total value the system multiplies the Total weight (kg) by the Value per kg.

Note: If required, you can charge a single fixed amount for carriage by over-typing the total value.
