Vehicle Health Check (Summary)

The Record VHC (Vehicle Health Check) function enables the recording of the visually actioned vehicle checks and subsequent upload / maintenance of the recorded actions into a Point-of-sale WIP.

The entire VHC process is based around quoting for additional work and then selling it. So when parts are added to the WIP for pricing only, they should be added at ‘M’ status, and no other. The VHC summary is done when all prices have been added to the WIP, and depending on what the operator chooses to do with the VHC lines, the parts lines are updated accordingly; deleted if set to reminder or deleted, and ‘R’ reserved if loaded and sufficient stock. If not sufficient stock when loading work, the system will use the default ‘Status if no stock’ POS parameter to update the parts status. So the upshot is that all parts added to the WIP for pricing purposes must be at ‘M’ status.

Note: Fixed price menus recorded within the summary form are not stored as fixed menus but as individual lines and as such when reloaded as a reminder they are loaded as individual WIP lines with original fixed prices.

Note: FastFit Assistance (If installed) is integrated and activated when setting the WIP line to a status of Complete or Reminder within the Vehicle Health Check Summary function

Vehicle Health Check Summary Form

The main purpose of this form is to load information from the checklist VHC form to the Wip at Memo status. Multiple editable columns are displayed; each of these can be checked dependant on the reported findings from the VHC form.

This form is displayed when you click Point-of -Sale > Point-of-Sale > Links option > VHC Summary.

VHC Summary Grid

Product: Displays the product code from the vehicle health check Upsell record.

Description: Displays the upsell product description.

Menu: Displays the WIPs VHC menu code.

Note: The Information Information.gif icon indicates that there are Parts or Labour, or Menu items linked to the menu code.

Original Price : Displays the original price of the Health check.

Price (ex VAT): Displays the price of the Health check findings exclusive of VAT.

Price (incl VAT): Displays the price the Health check findings inclusive of VAT.

Cond : Displays the condition of the Health check.

Load module: Displays the available options

Required: Enter required future dates manually or via a system calendar accessed by clicking the ellipsis button.

Agreed Price: Displays the agreed price for the Health Check.

VAT Inc: Indicates that VAT is to be added to the agreed price.

Lost Sale: If the selected Load Mode is Delete the system requires that the reason for the delete / lost sale.

Lost sale description: Displays the description of the lost sale.

Buttons:

Back: This function is not currently available.

Finish: Uploads the recorded Vehicle Health Check information into a POS WIP and creates the associated CRM statistics information.

Help: Displays this help topic in a web browser.

Cancel: Cancels the entry of Vehicle Health Check information, without uploading into the POS WIP or creating CRM statistics information.

Load a Vehicle Health Check Record

  1. Clicking the into Load mode cell displays a list of the available options for selection

  2. Clicking the Load option creates an entry for the Wip in Workshop loading and sets the POS WIP line to B status.

  3. Clicking the Finish button maintains the recorded Vehicle Health Check information into a Wip

Remind a Vehicle Health Check Record

Note: The Reminder option allows for the work to be deferred and a reminder date to be set for the future and loads the line to the Wip at N status. This is very important as a prompt will be generated each time the vehicle record is loaded until either the work is carried out or the job is deleted.

Note: Fixed price menus recorded within the summary form are not stored as fixed menus but as individual lines and as such when reloaded as a reminder they are loaded as individual WIP lines with original fixed prices.

  1. Clicking the into Load mode cell displays a list of the available options for selection

  2. Clicking the Reminder option updates the line to a predefined reminder status (default is set to N) and creates an entry in the Reminder notes file with an associated future reminder date. The default date is shown on the line as the status is changed and is made available to change via a pop-up box called Reminder Follow-up Date. The dates can be changed manually or via a system calendar accessed by clicking the ellipsis button and confirming the date change by clicking OK. If left unedited the default date is used defined as a number of days in the Vehicle Health Check levels file.

  3. Note: The Reminder required date is calculated based upon VHC creation date + number of days in the Vehicle Health Check levels file, subsequent VHC Summary displays use the original require date.

  4. Clicking the Finish button maintains the recorded Vehicle Health Check information into a Wip.

Delete a Vehicle Health Check Record

  1. Clicking the into Load mode cell displays a list of the available options for selection

  2. Clicking the Delete option flags the VHC record for deletion from the POS WIP.

  3. Click into the Lost sales cell displays a list and enables the selection of an available lost sale reason code.

  4. Clicking the Finish button maintains the recorded Vehicle Health Check information into a Wip.

Expand Information

  1. Clicking the Information.gif expands/collapses any additional information associated with the Upsell.

The information summarised reflects the parts and labour associated with the VHC menu and totals the VHC menu by Parts and Labour.
