Standard RTS Codes

Repair-Time Schedule (RTS) codes are used on the labour page to sell, cost, and describe, repairs. Standard RTS codes need to be created in the Manufacturer Systems module of Autoline. They can be used to sell Labour, Sub-lets, Sundries, or Oil, or as memo or report lines on an invoice. Standard functionality exists that enables you to carry out maintenance of standard RTS codes.

The following types of information need to be known before you create a new RTS code:

Creating Standard RTS Codes

To create standard RTS codes:

Note: Access to the following options are all protected. If you find access prohibited, you may need to get your priority raised in Manufacturer systems option 00.

  1. From the Autoline Master Menu, click Manufacturer systems > 00.Global data.

    The ADP STANDARD OPERATIONS menu is displayed.

  2. Select the Standard RTS codes option.

    The Standard RTS Codes form is displayed. This enables you to search [...] for codes, and to copy existing codes to create a new code.

  3. Create the new code by following the standard procedure for copying.

  4. Amend as necessary.

Standard RTS Codes Form

This form enables you to carry out maintenance of standard RTS codes used in the dealership. It is displayed when you select the Standard RTS codes option from the ADP STANDARD OPERATIONS menu.

RTScode: Repair-Time Schedule code. Existing codes can be searched [...] for, then copied to create a new code, and amended as necessary.

Company: Point-of-Sale Company (entered automatically when you select an RTScode).

Franchise: When you display the RTS codes form, this drop-down list is populated with all franchises that have been set as filters on one or more RTS codes. Franchises for which there are no RTS codes set to filter by do not appear in the list.

Selecting a franchise in the list limits the number of options in the company drop-down list to those that have RTS records with the chosen franchise filter set. For example, should franchise FO be chosen, then if there is at least one RTS code where the franchise code is FO and the company is 01, company 01 appears in the company drop-down list. If there are no RTS codes where the franchise code is FO and the company is 02, company 02 does not appear in the drop-down list, and so on. Similarly, the franchise filter drop-down options are limited by anything that is selected in the company drop-down list.

A further restriction can be placed by entering an RTS code in the RTS code field. Only franchise codes and company codes that are associated with RTS records with a matching RTS code are included in the drop-down lists.

In order to use the selected criteria when searching for an RTS code, select the Use filter box and then click the RTS code ellipsis button. Any searches performed in the RTS Codes child form have their results limited to those that meet the filter requirements.

Use filter: If this check-box is selected, the search is filtered using combined RTS code and company.

General Tab

Short name lookup: Short names are used to locate an RTS code in Point-of-Sale. It is therefore advisable to group the RTS codes under logical short names - for example: SERVICE for any service-related item, TEXT for comments, and REPORT for reports. The way the search is carried out in Point-of-Sale is dependent on flag setting RTS search path in the POS parameters (Flags-priorities).

Allowed units: Allowed time for the RTS code. If required, you can specify different allowed times for various vehicle models on the Model Hours tabs. If a vehicle not contained in the Vehicle Models Form is subsequently loaded onto a WIP, the system uses the default allowed time entered here. The allowed time may be altered at the time a job is booked in, or at the time of costing the job.

Load skill: Resource group, or skill, created in the Skills option in Workshop Loading

Average time taken: Average time taken to carry out the work.

Unit of labour: Reference-only field with no effect on any values. Typical values for this field are: Hour, Each, and Ltre. When the RTS code is used, the unit of labour is printed against the unit charge on any documents raised in Point-of-Sale.

Mins per unit: Number of minutes in the Unit of labour. For example, if HOUR is the unit of labour, this is normally 60. For franchises that use work units, enter 5. Sales values are always calculated as follows:

Allowed Time multiplied by the Labour Rate per hour x Mins per unit/60

Generic RTS code: Not used.

Overwrite customer labour rate: Not used.

Labour rates: If this field is blank, any Labour rate code can be used in Point-of-Sale. If more than one code is entered here, the system validates the code entered on the WIP against this list and warns you if it is not valid. If only one code is used, the system overwrites the code entered on the WIP with the code entered here. Labour rate codes are created in the Labour rates option in the SO MISCELLANEOUS OPTIONS Menu.

VAT rate: There must be first a valid VAT code and then rate, created in the VAT codes and VAT rates options, in the NL VAT MENU.

Description:

Description of labour. Describes the type of repair to which this RTS code relates. This description is entered on the WIP against the RTS code.

Fixed width: If this check-box is selected, a warning marker is displayed where limited text is required.

Model Hours Tabs A, B, C, D & E

Time slots are split over five tabs. There are normally 225 time slots for each RTS code.

You can set up model groups to identify the time slot used on the RTS code. Model groups are entered in the Vehicle models form, accessed via the Vehicle models option on the ADP STANDARD OPERATIONS Menu. The model and RTS code combination are used at Point-of-Sale to allocate the correct time allowed as an aid to costing.

A time slot can be shared by more than one model if the repair times are the same across all RTS codes.

Text Tab

You can enter or amend Sales, Purchasing or Internal memorandum text against an RTS code. This text is displayed in a dialog box (from any module) when the RTS code is selected. There are 18 lines of information available with up to 77 characters to a line.
