Take Deposits Vehicle deposits are received using the Take Deposits option from the Showroom main menu.
When the enquiry is created, at the point of the printing a Quote, Order or in the case of MKV stock an Invoice. The operator is presented with the Enquiry Print Information Screen - here it is possible to add a deposit previously taken and give information on the deliver dates
Note:Some of these options may not be editable, this will depend on what process is being performed.
Sale type: The sale type will be defaulted from the System Parameters. Select the drop down facility to change if necessary. It is important to be accurate when selecting a sale type as an error here could result in inaccurate postings being generated when the invoice is produced.
Estimated delivery date: Enter the delivery date of the vehicle.
Mileage on sale: Enter the mileage of the vehicle if printing an invoice.
Registration number: Enter the registration of the vehicle.
Tip: The registration number can only be added when printing a Showroom order.Once an order has been printed this option will not be editable if you need to change the registration the order will need to be recalled and changed using the recall routine
Trade-in Collection Date: Date of the Trade-in being purchased, Click the ellipsis button to select a date.
Trade-in Collection time: Time of day for the purchase / collection.
Collection location: Location of the Trade-in if. Use the drop down to search locations available.
Deposits Ref Amount Description Unique reference Amount of deposit Amount of VAT if vatable deposits is taken.
Tip: Up to five deposits can be allocated against one order in MKV mode and three in VSB mode.
If any deposits have been received, you can click on one of the
buttons. This will display any unallocated deposits.
By clicking on one of the deposits and clicking on the OK button the
deposit will be allocated against the enquiry.
Doc Num: Document number of the deposit.
Name Name of customer pulled from CRM Customer or company number on the deposit.
Method: Method of payment e.g. Visa or Cash
Misc Ref: A free text reference added at point of creating deposit.
Total: Total deposit price.
VAT Deposit: The VAT amount.
Deposit reference: The reference added when the deposit was taken.
Tip:If a deposit is allocated by mistake, click the
button again and it will be unallocated.
Notes on quote: Enter any notes that are required to held against the invoice.
Buttons:
Button Icon Description Exit Returns to the previous screen. Customer View customer information. Backoffice mode Enables/disables Backoffice mode. Including VAT Enables/disables the inclusion of Value Added Tax in prices for vehicles and options. On forms which list such prices, the window title bar displays the current setting, either 'Including VAT' or 'Excluding VAT'. Previous Navigate back to the previous form. Next will continue to print the document required. You may be prompted to answer a few question and dependant on setting Contact form may be displayed. Profit Icon profit details will display the profit so far for the enquiry loaded.
Menu Options:
Menu Icon Description File > Show discount on printout Will show any discount on the printed document, this will depend on the set up of the document. File > Exit Returns you the previous screen. Edit > Customer View/Edit customer information. Edit > Backoffice mode Enables/disables Backoffice mode. Edit > Including VAT Enables/disables the inclusion of Value Added Tax in prices for vehicles and options. On forms which list such prices, the window title bar displays the current setting, either 'Including VAT' or 'Excluding VAT'. View > Previous Navigate back to the previous form. View > Next will continue to print the document required. You may be prompted to answer a few question and dependant on setting Contact form may be displayed. Edit > Take deposits It is possible to take a customer deposit. Edit > Lock workstation Locks the current session. This can be used to prevent unauthorised access while a terminal is left unattended. A password can be set and is required to unlock the session this is set in the Guest tab of User details in the System Utilities module. The lock can also be initiated by pressing CTRL+ALT+Z.
