Accept Customer Orders allows the user to download vehicle orders confirmed through Showroom into vehicle administration.
There are three functions available:
Note: New and Used vehicles are displayed separately, use the Vehicle
icon to toggle between the type of vehicle to accept.
The vehicle results are displayed giving the following information about each vehicle.
Order no, Date, Vehicle, Customer, Qty, Branch.Note: Stock orders are represented by the
icon and Pricebook orders by the
icon.
Order Summary
Order number: The order number or order confirmation number.
Date: Date of confirmed order.This depending on which number is used in communication with the manufacturer/ importer whilst the vehicle is on order. This is a search field is to help locate vehicles.
Stock number: Stock number of the vehicle.
Vehicle Description: Description of the vehicle.
Vehicle specification: Displays Franchise code, Model code, Sub-model code and Variant.
Registration number: The vehicle registration number.
If the order was generated more than the number of days specified in the CRM system parameter, you will be warned and provided with a third prompt asking whether you wish to delete the order without processing it. If an order is not processed it will continue to be displayed in this way until it is deleted.
Order details (per vehicle)
The Order details section displays values calculated on the order for each of the following:
Invoice amount, Less Trade In, Less VAT on Trade In, Plus HP outstanding, Final balance, Less deposit.As well as all of the above information the following details are added to the vehicle record. This includes:
The Find Matching Stock process is only available by selecting the Find Stock button within New vehicle orders. It matches pricelist orders with new vehicle stock so they can be sold rather than ordering a duplicate vehicle from the manufacture and hence reducing stock overheads.
Quote Details
Vehicle Description: The vehicle description taken from the Showroom order.
Date: The date when the order was confirmed.
Order number: The system generated Showroom order number.
Results
Search in VSB company: Click the drop down to select the required VSB company. The screen will automatically check for stock in the selected company and refresh.
The results are displayed using the following columns.
Stock No: The matching vehicle's stock number.
Comm No: The commission number from the matching stock record.
P: The vehicle progress code.. For example S for Showroom.
S: The vehicle account status. For example Afor adopted.
Stock Date: The date the vehicle was brought into stock.
Locations: Vehicle location. Hover over the grid for a displayed vehicle to more information.
Est Stock Date: Estimated date stock vehicle received. Taken from the RECDATEE column in the New stock table.
Name: Invoice name over written by customer name if populated
