Listing Asset Additions and Disposals

This topic shows you how to use the Additions report and Disposals report options on the AR Reports & Enquiries Menu.

The first option enables you to print out information on assets that have been purchased at any time since the Register was formed. The second enables you to print out information on assets that have been sold at any time during the current financial year.

Over the course of time, new assets will be added to the Asset Register and older ones will be disposed. The two options discussed in this topic enable you to produce reports showing details of asset purchases and sales:

  2. Disposals report

You may use the Additions report option to print out information on purchased assets. All assets acquired in the current and all previous years may be reported on; or you may specify for reporting only those which were acquired between two, specified dates.

You may use the Disposals report option to print out information on assets that have been sold in the current year, or between two specified, dates in the current year.

Note: Assets that were disposed of in previous years are cleared from the Register through annual runs of the End of year process option on the AR System Maintenance Menu. Accordingly, they are no longer available for reporting upon.

On both the Additions report and the Disposals report printouts, information on individual assets is printed in tabular format, under the appropriate headings; i.e. Item Number, Description, Initial Cost, Lifetime and Proceeds. Individual asset details are grouped by Asset Class, with a sub-total of financial information shown for the assets within each Class. A financial grand total for all assets on the report is calculated and shown.

You cannot alter in any way the information stored on the Asset Register with either of these options; they are for reporting purposes only. Both are located on the AR Reports & Enquiries Menu.

Cancel: Halts the report printing at any stage.
