Advancing the Nominal Ledger Period in the End of Day

Warning: First see Advancing the Nominal Ledger Period.

The Nominal Ledger (NL) end of month can be advanced on the end of day by adding the option to run inside the End-of-Day chain. To add the end of month, a Priority 8 login to System Utilities is required, which is usually the Systems Administrator.

Note: You cannot advance the Nominal Ledger end of year on the End of Day.

To advance the Nominal Ledger Period in the End of Day:

  1. From the Autoline Master Menu, select the System utilities option and the Company required.

    The SYSTEM UTILITIES Menu is displayed.

  2. Select the Timed operations option.

    The TIMED OPERATIONS Menu is displayed.

  3. Select the Configure Schedule option, and click OK.

    The Timed Operations Schedule form is displayed.

  4. Select the Daily option button to find the End-of-Day [locked] chain.

    The End-of-Day chain is displayed, usually in red, in the right-hand Scheduled Operations grid.

  5. Right-click on the End-of-Day chain.

    An options menu is displayed, with the option to Edit chain enabled.

  6. Select Edit chain from the options menu.

    The Edit EOD chain form is displayed.

  7. Note the start time of the chain - is it before, or after, midnight?

    Warning: If the chain starts before midnight, this should be today's date, but if the chain starts after midnight, it must be tomorrow's date; otherwise, the system will not run, because the Once only option will be out of date.

  8. Check the list on the right-hand side to see if the option Advance nominal ledger period is already there. If not, see Adding an Advance Nominal Ledger Period Option.

    If the option is already there, it is probably set to Frequency R: Request.

  9. Right-click the option, and choose Edit.

  10. Change the company number to the correct company.

  11. Set the frequency to T: Once Only - that is, Today.

  12. Enter the date to run. (See Warning.)

  13. Select a relevant spooler, such as the archive non-print spooler.

    Note: The print will be very large, and it is advisable to keep it archived.

  14. Click OK, Exit, OK.

Adding an Advance Nominal Ledger Period Option

If the option is not displayed on the right-hand side, it must be added as follows:

To add an Advance Nominal Ledger Period option:

  1. On the left, select the Module NL, Nominal Ledger.

    The left-hand grid is refreshed with the Nominal Ledger Available options.

  2. Select the option Advance nominal ledger period.

    Advance nominal ledger period is highlighted.

  3. On the right-hand side, find a suitable place for the option to go.

    Note: This should be just after the system has run Inter-division journals (IDJs) option, and before any more day-books are printed.

  4. Select the existing option that you would like it to be inserted above.

    The option above which Advance nominal ledger period is being inserted, is now highlighted.

  5. Click Add.

    The option is added above the highlighted option on the right-hand side.

  6. Right-click the option, and choose Edit.

  7. Change the company number to the correct company.

  8. Set the frequency to T: Once Only - that is, Today.

  9. Enter the date to run. (See Warning.)

  10. Select a relevant spooler, such as the archive non-print spooler.

    Note: The print will be very large, and it is advisable to keep it archived.

  11. Click OK, Exit, OK.

Note: Once the option has run, the Frequency will automatically change back to R, so next time, it will not need adding again; only the frequency will require amendment.
