Case files display selected information about company, customer or vehicle records when they are loaded or if the Case file option is selected from the Tools menu while viewing a record. The case file for customer records is also displayed as part of the Summary tab, and from the Tools menu on contact forms. Case files are also available outside CRM, for example from within the Sales Ledger module
Note: There may be a short delay between the loading of a record and the display of the case file. If a record has no relevant information then no case file will be displayed.
Note: Parameters for case files can be set for each user in User access control.
Company case files display the following information, if applicable to the current record. To view the associated information, click the + symbols, then click on the line(s) subsequently displayed for further information:
Loyalty card information: Displays the loyalty card type and number. Click further to display the loyalty card section of the customer record.
Notes exist about: Displays any notes that have been entered (manually or scanned) against the company record. Click further to display the entire note in a separate form.
Customer case files display the following information, if applicable to the current record. To view the associated information, click the + symbols, then click on the line(s) subsequently displayed for further information:
Best time to call information: Displays a line for each day of the week, with details of the times when the customer should or should not be called. Click on any line to display the same information in a separate form.
CSI information: Displays a summary of CSI information. Click further to display a new form with the contact details in display mode. There is also the option to reinstate the contact on the same form, by selecting the Reinstate radio button and clicking OK.
Loyalty card information: Displays the loyalty card type and number. Click further to display the loyalty card section of the customer record.
Missing customer information: Displays a list of important fields in the customer record that are empty. Click further to display the appropriate part of customer record form in which to enter the information.
Notes exist about: Displays any notes that have been entered (manually or scanned) against the customer record. Click further to display the entire note in a separate form.
Outstanding calls: Displays a list of calls due to be made, if using the Customer Contact Management module. Click further to display a new form with the details of the call in display mode.
Outstanding contacts (N): The figure in brackets (N) is the number of outstanding contacts. Click further to display a new form with the contact details in display mode. There is also the option to close the contact on the same form, by selecting the Close radio button and clicking OK.
Customer extra details exist: (If Installed) Extra information regarding the customer has been recorded in Extra Details. You cannot access this directly from the casefile.
Vehicle case files display the following information, if applicable to the current record. To view the associated information, click the + symbols, then click on the line(s) subsequently displayed for further information:
Loyalty card information: Displays the loyalty card type and number. Click further to display the loyalty card section of the customer record.
Missing vehicle information: Displays a list of important fields in the vehicle record that are empty. Click further to display the appropriate part of vehicle record form in which to enter the information.
Another set of information may also be displayed in vehicle case files, listed under Vehicle dates. To view the associated information, click the + symbol displayed next to the each of the following.
Information: Displays basic information, such as the date on which the vehicle was first registered.
Service & Emissions: Displays the dates on which the vehicle was last services and when the next service is due.
Warranty: Displays the expiry dates of any warranties on the vehicle.
Extended Warranty/Maintenance: Displays the expiry dates of any extended warranties and/or maintenance plans on the vehicle.
Tip: "Mileage exceeds Manufacturer's warranty maximum mileage" or "Mileage inside Manufacturer's warranty maximum mileage", will appear when the maximum mileage has been populated also the last service or the last work miles.
BUTTONS:
Continue: Select the Continue button to close the casefile.
Maximise: Click to Maximise the entries in the casefile.
Minimise: Click to Minimise the entries in the casefile.
Tip: Toggle between Minimise and Maximise to control the display of the Casefile entries. These buttons are only displayed if the Casefile Default in CRM system parameters has been set.
