Vehicle Rentals CRM Records

The Vehicle Rentals module functionality is vastly increased when supported by CRM defaults held against the company, driver and vehicle records. This additional functionality is provided by attaching an extra file to each of the basic CRM company, customer and vehicle records.

Tip: Enable vedv1 for the Vehicle details form (although depending upon what system is being used these forms may not necessarily have to be enabled).

To access CRM Vehicle Rental Rental Stats Tab:

  1. From the Master Menu, select the Vehicle Rentals option and Company required.

    The Vehicle Rentals menu is displayed.

  2. Select the Reservations option.

    The Reservations and Availability form is displayed.

  3. Select the New icon.

    The Open Agreement form is displayed.

  4. Locate the required agreement using the appropriate selection criteria and select the Open command button.

    The Rental Agreement form is displayed.

  5. Select the crm.gif icon.

  6. Select the Vehicle menu option.

  7. Select the Edit icon

  8. Select the Vehicle Options menu.

  9. Select the Vehicle Rental option.

  10. Select the Rental Stats Tab.

Vehicle Rental Stats Tab form

This form holds important information about vehicle revenue and utilisation statistics.

Warning: Data within this form is automatically updated by the system and the values should therefore not be edited without very good reason.

The values are available to the report generator for analysis.

Accumulator Grid:

The first grid displays statistics for this period, this year and vehicle life. Each time the Vehicle Rentals module moves into the next period, the system advances the period statistics into the This Year column, and zeroes out the Period column ready for the start of the new period.

Slot 1 - This Period: Income (or cost) accrued for this accumulator slot for the current period.

Slot 1 - This Year: Income (or cost) accrued for this accumulator slot for the current year.

Slot 1 - Vehicle Life: Income (or cost) accrued for this accumulator slot for the entire life of the vehicle.

The statistics are displayed for income and costs generated against the vehicle against the twelve user-defined slots of the Vehicle Accumulator. The Vehicle Accumulator typically consists of approximately six user-defined slots into which revenue is accumulated and six user-defined slots into which costs are accumulated. These slots are determined at set-up and never revisited. Once the slots are defined then against the Tariff Types and Charges the required accumulator slots are allocated and agreements subsequently automatically populate the statistic accumulator grid with the appropriate values. The accumulator slots for costs are defined against the Operating Expenses table and if costs are required to be input against vehicles then this is done via the Enter Operating Expenses process.

Tip: Vehicle Accumulator is set up within Vehicle Rental / ADP Utilities / Vehicle Accumulators.

Utilisation Grid:

The second statistics grid represents the vehicle activity and is split into three columns and fifteen rows. The three columns indicate the number of days hired, the number of days the vehicle was unavailable for hire and the number of days the vehicle was not hired.

The rows indicate current month through to month -1 (denoting previous month) to -12 together with the year-to-date and life-to-date figures. The values may be displayed as whole or half-days dependent upon the Hire Stats on Whole or Half Day basis field in the General 2 Tab within System Parameters.

Current - Days Hired: Number of days on which the vehicle has been out on hire within the current period.

Current - Unavailable: Number of days on which the vehicle has been unavailable for hire (i.e. booked into the workshop) within the current period.

Current - Not Hired: Number of days on which the vehicle has been available for hire (i.e. not in Workshop, etc) but not actually out on hire.
