Change log setup

The Change log setup option is a part of the change control options, the Change control options option will only appear on the EMPLOYEE RECORDS MISCELLANEOUS OPTIONS menu if the Use change control log system parameter is ticked on set up by an Autoline consultant and you are a priority 8+ user.

The main function of the change log setup is to allow for the audit of the creation and amendment of employee records. The reason for change, use of an effective date for reporting and retention time may be varied from field to field.

The audit data is seen sorted by field name on the Change control log TAB of the Employee record.

To access the Change log setup:-

  1. From the Rev.8 Master Menu, select the Employee records option and Company you require.

    The Employee records Password form is displayed.

  2. Enter your employee records password.

    The EMPLOYEE RECORDS menu is displayed.

  3. Select the Miscellaneous options option.

    The PE MISCELLANEOUS OPTIONS menu is displayed.

  4. Select the Change control options option.

    The CHANGE CONTROL menu is displayed.

  5. Select the Change log setup option.

    The Change control form is displayed.


Change control Form

The Change control form is displayed when the Change log setup option is selected from the CHANGE CONTROL menu.

Standard functionality exists that allows you to create and maintain records.

Field: The up to eight character field name as used in the employee records database.

Tip: Click the Ellipsis button [...] to select a field from the employee records database.

Occurrence: The occurrence number of the chosen field. Most fields only have a single occurrence and in these cases 001 is automatically filled in. If the field however has two or more occurrences you need to choose the occurrence number, enter the number as a three digit number with leading zeros.

Create mode write: Tick if an audit record is to be created when creating the employee record. Audit records created will have a type Create and a description of New employee record.

Amend mode write: Tick if an audit record is to be created when amending the field on an employee record. Audit records created will have a type Amendment.

Retention time in days: The number of days the data is to remain in the change control log file. Audit data may be retained anywhere from 365 to 999999 days.

Effective date type: Enter one of the following options:-

Tip : Click on the Drop down DropDown to select.

Default reason code: A three character default reasons code used when no user input is required otherwise leave blank to force the user to be prompted for an change reason.

Tip : Click on the Drop down DropDown to select from the Audit reasons file.
