The Add/modify assemblies option allows you to set up the structure of an assembly or kit part number. Standard functionality exists that allows you to create, amend or delete an assembly or kit. However certain rules exist within the assemblies file that you need to be aware of.
What do you want to do?
The Assemblies form is displayed when you select the Add/modify assemblies option from the SM ASSEMBLIES AND KITS menu. From this form you can create and maintain assemblies and kits.
Part number: Enter the assembly/kit part number, if known, or click the Ellipsis button
to search for a part number. If you are creating the structure of a new assembly or kit, the part number must first be set up in Stock file maintenance.
Note: You must decide which franchise to use for this assembly. All components in this assembly, regardless of franchise, will be held in the stock account of the franchise for this assembly part number. The sale and cost of sale of this assembly will be posted using the franchise of the assembly part number.
Assembly type: The type of assembly. Select one of the following options:
Note: This field is usually set to Normal. The Menu style option was only written for internal Autoline systems.
Normal: With this style the postings are generated from the assembly part number record. The assembly part number will have a selling price and an average cost which will be used for the stock, sale and cost of sale postings. The assembly part number is decarded when sold in Point-of-Sale and is the only part number printed on the customer's invoice.
Menu style: This style requires a little more set up. The assembly part number must be set up as a non-balance item with a selling price to be charged to customer and the average cost set to zero. The component parts listed on the WIP will be decarded (in Point-of-Sale) and invoiced on a separate invoice to an internal account. The component parts will generate the cost of sale postings but with a zero selling price.
Description: Two lines of text used as a memorandum field to describe the assembly/kit. This description is shown in a Text group box on the Kit tab of the stock record when a part number is displayed, and the Description field on the Assembly tab. It is not shown on the Point-of-Sale transaction page or printed on Point-of-Sale documents.
Component: The part numbers to be included in the assembly/kit. These part numbers must be on file but do not need to be in stock at this stage. It is possible to have 20 components within an assembly/kit. 10 on this tab and 10 on the Detail Page 2 tab.

Note: If you enter a part of a different franchise to the assembly/kit number, a warning is given. This is allowable. However, when an assembly is built with a component of a different franchise to the assembly part number, the value is moved into the stock account of the assembly part number.
Quantity: The issue quantity required to make up the assembly/kit.
Component: The part numbers to be included in the assembly/kit. These part numbers must be on file but do not need to be in stock at this stage. It is possible to have 20 components within an assembly/kit. 10 on this tab and 10 on the Detail Page 1 tab.
Tip: If more than 20 lines are needed, it is possible to enter a kit number as the last part number in the list, which can then be exploded into a further 20 components.
Quantity: The issue quantity required to make up the assembly/kit.
The Create routine allows you to set up the structure of a new assembly/kit part number. When you click the Create button, the system asks for the assembly/kit part number. The part number must already exist in the stock file, and be flagged as a Kit or assembly on the Description tab of the stock record. An assembly is also flagged as a Stock balance item. A kit is flagged as a Non-stock balance item (i.e. the Stock balance item field is set to N). When you create an assembly or kit, the system updates the relevant fields on the stock card. The new record is held in the assemblies file.
It is necessary to amend an assembly or kit if one of the part numbers is superseded to a new number or if a part number is to be deleted. When you amend an assembly or kit, the system updates the relevant fields on the stock card.
Warning: You cannot make any amendments if there is a quantity of the assembly in stock.
You cannot delete a part number if the quantity in the bin is not zero. When you delete an assembly or kit, the system automatically updates the stock card.
Making and Breaking Assemblies
