When you load a WIP in Point-of-Sale, a list of dispenser transaction records for that WIP is automatically displayed (if there are any), with a facility for automatically adding them to the WIP as part lines.
Adding dispenser transactions to the WIP as part lines is termed actioning fluid dispenser transactions. It causes those transactions to be included when the WIP is invoiced.
Note the distinction between linking transactions to a WIP and adding them to a WIP (actioning them). The workshop technician, who dispenses the fluid, links transactions to a WIP by entering the WIP number of the task, typically using a keypad. Service personnel subsequently add those transactions to the WIP in Point-of-Sale as part lines.
If you attempt to invoice a WIP linked to unactioned fluid dispenser transactions, that attempt will fail (with a warning displayed).
If you adjust the quantity of fluid issued on the WIP so that it is different from the quantity actually dispensed, that variance requires you to carry out a batch adjustment.
You can also link fluid dispenser transaction records to WIPs and unlink them from WIPs.

Fluid dispenser transaction records are added as part lines to WIP records in Point-of-Sale. That process is termed actioning fluid transactions. It is normally carried out daily.
To add fluid dispenser transactions to a WIP:
Use the WIP number field on the Service Point-of-Sale form to load the WIP record to which the transactions are linked.
If fluid has been dispensed for that WIP but not yet added to the WIP as a part line, the Transaction Status form is automatically displayed with those transactions listed in the grid on the Unactioned tab.
Note: Other forms may be displayed prior to the Transaction Status form. You can skip them by clicking their Cancel buttons.
Where more than one fluid type has been dispensed for the same WIP, those transactions are displayed in separate Transaction Status forms, one after the other.
If errors have occurred in the linking process, other forms may be displayed such as: Link To This WIP, Unlink From This WIP or Unlinked Transactions.
Tip: You can also display the Transaction Status form by selecting the fluid dispenser franchise in the New product group on the Service Point-of-Sale form and clicking the EPC toolbar button (Autoline revision 8.30) or selecting Links > EPC from the menu bar (Autoline revision 8.30 and 8.20).
Ensure that the merged quantities in the Unactioned grid include all the applicable transactions, checking the details if necessary using the Summary... button.
If required, amend the Issue now quantity to a value other than the dispensed quantity. You can use this to adjust for excess fluid dispensed but not used.
Note: To amend the Issue now quantity you must have an access priority of at least that in the Issue change priority field of the Parameter Setup form.
Click Action.
The grid on the Unactioned tab is updated as is the data in the WIP totals group, but the transaction is not yet actioned!
If you modified the Issue now field, it inserts that value in Qty Iss. and recalculates Qty Var.
Click OK.
The dispenser transactions are added to the WIP (they are actioned).
If there is a non-zero Variance, a dialog box containing the warning The variance will need to be stock-adjusted at a later time is displayed, in which case click OK to continue.
You are returned to the Service Point-of-Sale form with the dispenser transactions added as a part line (a new row in the grid).
Note: If you modified the quantity of dispensed fluid issued on the WIP (Issue now) resulting in a non-zero Variance, you must carry out a batch adjustment. You need not do it immediately after every such action. However, you must carry it out prior to a stock check.

You might need to link transactions to a WIP for these reasons:
An override code was entered in the workshop instead of a WIP number.
The transaction has been linked to a WIP with a different vehicle registration number to that stored in the transaction details. This situation can also be dealt with by unlinking from the erroneous WIP.
The transaction was previously unlinked from another WIP.
To link a transaction to a WIP:
Use the WIP number field on the Service Point-of-Sale form to load the WIP record to which the transaction is to be linked.
If there are unactioned dispenser transaction records with a vehicle registration number matching the loaded WIP, but they are linked to a different WIP, the Link To This WIP form is displayed automatically.
If unactioned transactions exist that are not linked to any WIP, the Unlinked Transactions form is displayed automatically.
In either of those cases, skip the next step.
Tip: Other forms may be displayed prior to these forms. You can skip them by clicking Cancel.
If the Link To This WIP form (or the Unlinked Transactions form) is not automatically displayed, select the fluid dispenser franchise in the New product drop-down list on the Service Point-of-Sale form and click the EPC toolbar button (Autoline revision 8.30) or select Links > EPC from the menu bar (Autoline revision 8.30 and 8.20).
Either the Link To This WIP form or the Unlinked Transactions form is displayed, depending on the conditions described in the preceding step.
Ensure that the transaction to be linked is listed in the grid, checking its details if necessary by selecting its grid row and either using the Details... button or right-clicking the grid row and selecting Details... from the shortcut menu.
Details of the selected fluid transaction are displayed and, when you click Close, you are returned to the Link To This WIP form or the Unlinked Transactions form, whichever is applicable.
Select the Selected check box in the row corresponding to the transaction to be linked and click OK.
Tip: On the Unlinked Transactions form, double-click a grid row to select it or deselect it.
The Transaction Status form is displayed, with the newly linked transaction merged with any other unactioned transactions linked to the same WIP.
This form is displayed automatically when you load a WIP in the Point-of-Sale form and there are unactioned dispenser transactions linked to that WIP record but they are yet to be added to it (actioned). It is also displayed when you select the fluid dispenser franchise in the New product drop-down list on the Point-of-Sale form and you click the EPC toolbar button (Autoline revision 8.30) or select Links > EPC from the menu bar (Autoline revision 8.30 and 8.20). (That toolbar button and menu bar option are only displayed if any unactioned transactions have been linked to the WIP.)
It enables you to add fluid dispenser transactions to a WIP (action those transactions), batch adjust variances, and link or unlink transactions to and from WIP records.
Tip: You do not have to action dispenser transactions immediately, if you load the WIP for another purpose. In that case, when fluid dispenser transaction forms are automatically displayed, click Cancel to return to the Point-of-Sale form.
Where more than one fluid type has been dispensed for the same WIP, those transactions are displayed in separate forms one after the other.

These quantities are the sum of all transactions of the selected fluid type linked to the WIP, including both actioned and unactioned transactions. These amounts, being the result of automatic calculation, are non-editable.
Dispensed: Total quantity of fluid dispensed in transactions linked to the WIP
Issued: Total quantity of dispensed fluid added to the WIP
Adjustment: Total quantity written off in a batch adjustment
Variance: Difference between Dispensed and Issued, less any Adjustment
PUSH BUTTONS:
OK: Commits your changes. If there is a non-zero Variance, a dialog box displays the warning The variance will need to be stock-adjusted at a later time. In that case, click the OK button on the dialog box to continue. You are returned to the Point-of-Sale form with the dispenser total added as a new row in the grid.
Cancel: Returns you to the Service Point-of-Sale form or displays another fluid dispenser transaction form, depending on transaction data
Help: Displays this help page in a web browser
Reset: Undoes any changes made, including changes resulting from clicking Action on the Unactioned tab
Summary...: Displays all individual transactions and provides access to details of each dispenser transaction

The grid contains a single row of merged data from all unactioned transactions linked to the WIP.
Unactioned dispensings grid:
Disp. Date: Date when the fluid in the most recent unactioned transaction was dispensed
Disp. Time: Time when the fluid in the most recent unactioned transaction was dispensed
Qty Disp.: Amount of fluid dispensed as measured by the fluid dispenser hardware. Standard units are litres.
Qty Iss.: Quantity added to the WIP as a part line
Qty Adj.: Quantity written off in a batch adjustment
Qty Var.: Variance quantity. This is the difference between the amount dispensed (Qty Disp.) and the quantity added to the WIP (Qty Iss.), less the quantity written off (Qty Adj.)
Issue now: Quantity of dispensed fluid to be issued on the WIP when you click the Action button, preparatory to actioning it by clicking OK
Note: The Issue now field is read-only for users with a priority level less than the value set in the Issue change priority field of the Parameter Setup form.
Unactioned Tab PUSH BUTTON:
Action: Recalculates the WIP totals group values from the fluid dispenser transactions comprising the row in the Unactioned dispensings grid. If you modified the Issue now field, it inserts that value in Qty Iss. and recalculates Qty Var.
Note: Dispenser transactions are not added to the WIP (actioned) until you click OK.
The grid contains a row for each transaction added to the WIP. The quantities are not merged as they are on the Unactioned tab.
