In most cases, claims are created at the point of invoice and the claim number assigned to that invoice is retained throughout the life of the claim. If the invoice is credited, so the warranty claim is cancelled too. However, once a claim has been submitted to GM, you can no longer change the claim or the invoice. This is to prevent a claim being re-invoiced after it has been sent to GM with extra parts or labour, causing a mis-match in the values between the original claim and the invoice when the payment is sent back by GM.
There will be occasions when it is necessary to break the links, which separates the claim from the WIP, enabling the invoice to be credited.
Note: When the job is re-invoiced after breaking links, a new claim is created independent of the original claim with a new claim number. The old claim should be cancelled or held to prevent duplication in the Warranty system.
To break links:
From the Autoline General Motors Operations menu select the Warranty V2 menu option.
The Service, Repair and Warranty Claims menu is displayed.
Select the Break links to WIP option.
If there is more than one Point-of-Sale company on your Autoline system, a menu displays a list of them, from which you must select the one required.
The Break all Links to WIP form is displayed.
Enter the WIP number of a claim with a warranty claim on it, or click the ellipsis button to select from a list of all WIP numbers.
The grid is populated with a list of all the claims connected to that WIP.
Tip: You can click a line in the grid to see the claim details for the selected claim.
Click the Break? box for the chosen claim.
A tick appears in the box.
Tip: If you click the box again, the tick is removed.
Click Process.
The claim is marked as deleted, and all references to it in Point-of-Sale are removed.
This form is displayed when you select the Break links to WIP option on the Service, Repair and Warranty Claims menu.
WIP number selection:
WIP number: WIP number of a claim with a warranty claim on it
GRID:
Claim Number: Number of the claim to which the WIP relates
Number of lines: Total number of parts and labour lines attached to that claim
Status: Current status of the claim
Break?: A tick in this box confirms that you want the link to be broken
PUSH BUTTON:
Process: Marks the selected claim as deleted, and removes all references to it in Point-of-Sale
