This program allows for calendar information to be previewed on screen or printed based on various selection criteria.
To access Calendar reporting
The Human Resources Password form is displayed.
Enter your human resource password.
The HUMAN RESOURCES menu is displayed.
Select Reports and enquiries option.
The REPORTS AND ENQUIRIES menu is displayed.
Select Calendar reporting option.
The Calendar reporting form is displayed.
The Calendar reporting form is displayed when you select the Calendar reporting option from the REPORTS AND ENQUIRIES menu. The following fields options are amendable on the Calendar reporting form:-
CALENDAR DATES
Calendar Start: Start date.
Tip: Click the Ellipsis button to search for a date.
Calendar End: End date - defaults to a year from the start.
Tip: Click the Ellipsis button to search for a date.
Select year: Ticking this allows for the end date to be amended.
CALENDAR EMPLOYEE SELECTION AND SUMMARY
Print All Employees: All employees subject to the other criteria are available, disables the employee, company and location selection ranges and employee selection grid.
Print Calendar Code Summary: Ticking this produces a calendar code summary after each employee.
Print Employee Summary: Ticking this produces an employee summary if sickness and holiday after each employee.
Print Location Summary: Ticking this produces a location summary after each location.
Print Emp. Group/Job Code Summary: Ticking this produces a calendar code summary after each employee group and job code combination within the calendar trigger report.
Print Global Summary: Ticking this produces a global calendar code summary after all employees are listed.
Print Summaries Only: Ticking this suppresses the calendar from the output.
CALENDAR OUTPUT TYPE
Employee calendar: Output will look like a calendar.
Monthly by location: Output will list all employees in location and month sequence.
Costing analysis: Output will list calendar occurrences and their payroll costs. This option is not available if you have No access to the Salary TAB for human resource records other than your own as defined within the User profile record or if there is no payroll module installed.
Absence triggers: Once you have selected Print or Print preview you will be prompted to select which trigger rules are to be reported. The output will list dates and trigger rules that have been reached or exceeded. This option is only available once you have created one or more trigger rules in the System maintenance option called Calendar triggers.
CALENDAR CODES
Report on all: Selecting this radio button includes all calendar codes.
Report on specific code range: Selecting this radio button allows for a range of calendar codes to be entered, by default, all calendar codes are selected.
Tip : Click on the Drop down
to select from the list of calendar codes for both from: and to:.
Report on non working days: Selecting this radio button only includes calendar codes defined as non working codes.
Report on sickness days: Selecting this radio button only includes calendar codes defined as sickness codes.
Report on holidays: Selecting this radio button only includes calendar codes defined as holiday codes.
CALENDAR FURTHER SELECTIONS
Select Employee Range: If Print All Employees is unticked a range of employee numbers may be entered. Include left employees: Tick this field if leavers within the human resources 'live' file are to be included.Select Company Range: If Print All Employees is unticked a range of company numbers may be entered.
Tip : Click on the Drop down
to select from the list of payroll companies.
Select Location Range: If Print All Employees is unticked a range of location numbers may be entered but based on what locations you have access to as defined by your human resources password record.
Tip : Click on the Drop down
to select from the list of available locations.
Select Employee Group / Job Code Range: If Print All Employees is unticked a range of employee groups combined with job codes may be entered.
Tip : Click on the Drop down
to select from the list of available employee group/job codes.
Current employees: Selecting this radio button reports on human resource records from the main human resource file only.
Leavers: Selecting this radio button reports on leaver records only, this radio button is suppressed if there are no leaver records.
Both: Selecting this radio button reports from both the human resource and leaver records.
BUTTONS
Cancel: Returns you to the REPORTS AND ENQUIRIES MENU.
Print: Prints calendars selected.
Preview: Displays on screen the calendars selected.
Set to current holiday year: Dates automatically become the current holiday year.
Apply: This takes the selection criteria entered and applies a tick or blank against the employee selection grid.
