The main functions of the holiday and notice grade codes are to :-
Calculate holiday entitlement when creating a human resource record.
Calculate holiday entitlement when running a holiday year end process.
Calculate employer and employee notice daily based on service length.
To access the Holiday and Notice Grade Codes :-
The Human Resources Password form is displayed.
Enter your human resource password.
The HUMAN RESOURCES menu is displayed.
Select the Human Resources option.
The Human Resources record is displayed.
Once a human resource record is selected or initially chosen for creation select the Tools option.
Select the Lookup tables option.
Select the Holiday and Notice Grades option.
The Holiday and Notice Grade Codes form is displayed.
The Holiday and Notice Grade Codes form is displayed when the Holiday and Notice Grades option is selected from the Tools, Lookup files menu or when the Ellipsis button is clicked next to the Holiday and notice field on the Current Details TAB of the human resources record.
Standard functionality exists that allows you to create and maintain records.
The data can be maintained further by using the Up and Down arrows to move codes around within the grid and also the Insert row, Delete row and Add row ICONs.
Code: The three character code, ideally the code is related to the description.
Description: A 30 character description.
Holiday (days): The number of holiday days for the first full year of employment. This number of days is used in conjunction with holiday system parameters to generate the first year's holiday entitlement.
Employer notice: The number of weeks notice provided by the employer to an employee.
Employee notice: The number of weeks notice expected from the employee wishing to leave the current employment.
Up to twenty additional increments to each of the holiday, employer and employee notice values may then be entered by first clicking within the row of the grade to be maintained. The increments are shown in order of service length by use of the Service and Units columns.
Service: The number of full periods of holiday or notice service to use as an increment.
Units: The type of units referred to in the Service column:-
D: Days.
W: Weeks.
M: Months.
Y: Years.
Holiday increment: How much extra holiday entitlement is allowed on top of the original holiday entitlement.
Total annual holiday: The original plus increment holiday is calculated and displayed.
Employer notice increment: How much extra employer notice is provided by the employer in addition to the original employer notice.
Total employer notice: The original plus increment employer notice is calculated and displayed.
Employee notice increment: How much extra employee notice is expected by the employer in addition to the original employee notice.
Total employee notice: The original plus increment employee notice is calculated and displayed.
Base holiday date: An alternative date to base the holiday entitlement calculations on instead of the employee joining date. This may be used following a company take over. If this is used the most recent of the base holiday date and the employee joining date is used when calculating holiday entitlement.
Example 1:- If this date is 01/01/2000 and an employee joins on 01/09/1996 the holiday entitlement is based on the 01/01/2000 date.
Example 2:- If the base holiday date is 01/01/2000 and an employee joins on 01/03/2001 the holiday entitlement is based on the 01/03/2001 date.
Base notice date: An alternative date to base the notice entitlement calculations on instead of the employee joining date. This may be used following a company take over. If this is used the most recent of the base notice date and the employee joining date is used when calculating notice entitlement.
Example 1:- If this date is 01/01/2000 and an employee joins on 01/09/1996 the notice entitlement is based on the 01/01/2000 date.
Example 2:- If the base holiday date is 01/01/2000 and an employee joins on 01/03/2001 the notice entitlement is based on the 01/03/2001 date.
