The Opening Balances form is displayed when the Opening balances option is selected from the REPORTS AND ENQUIRIES menu.
Upon entering the Opening Balances form, perform the following:
Click the OK button.
The Opening Balances Report is produced.
On the printout, the assets are grouped by Asset Class, with a financial sub-total shown for the assets within each Class. Finally, a financial grand total is calculated and shown for all assets.
For each asset, information is printed under the following headings:
Item: This is the unique, identifying four-digit Item Number of the asset within its Class.
Description: The full descriptive title of the asset, which may be up to thirty alphanumeric characters in length.
Transferred out: If the asset has been transferred out of the Asset Class in which it was located at the start of the current financial year then this column contains a "Y" . If it has not been moved from this Asset Class, the column is blank.
Assets may be transferred between Asset Classes using the Asset movement option.
Model no: The Model Number, if any, of the asset.
Serial Number: The Serial Number, if any, of the asset.
M: This represents the Method of Depreciation applied to the asset. Common Methods of Depreciation are Straight Line (1), Linear within Year (2), Reducing Balance (3) and Constant Amount (4).
Purchased: The date on which the asset was purchased.
Life: The Lifetime of the asset, expressed in periods.
Initial cost: The Initial Cost of the asset. Any Additional Costs that may have arisen in previous years are included in this figure, as a result of the annual run of the End of year process option on the AR System Maintenance Menu.
Cumulative depreciation: The Cumulative Depreciation on the asset, as it stood at the beginning of the current financial year. This figure is generated by successive runs of the Depreciation option.
Book @ start yr: The Net Book Value of the asset, as it stood at the beginning of the current financial year.
You may halt the printing of the Opening Balances Report at any stage by using the Cancel button.
Use the List of assets option to produce a report showing general information from the Asset Register. All assets or unsold ones only may be specified for inclusion on the List of Assets Report.
On the printout, the listed assets are grouped by Asset Class, with a financial sub-total shown for the assets within each Class and a grand total for all assets specified for inclusion on the report.
Information on each asset is shown under the following headings: Item Number, Description, Lifetime, Initial Cost, Additional Costs, Net Book Value and Year to Date Depreciation. If the asset has been disposed of, the date of sale is also shown.
Use the Opening balances option to produce a report showing the financial position of all assets on the Asset Register, as that information stood at the beginning the current financial year.
On the printout, the assets are grouped by Asset Class, with a financial sub-total shown for the assets within each Class and a grand total for all assets on the Asset Register.
For each asset, information is shown under the following headings: Item Number, Description, Model Number, Serial Number, Method of Depreciation, Lifetime, Initial Cost, Cumulative Depreciation and Net Book Value. The printout also shows whether the asset has been subsequently transferred out of the Asset Class in which it was located at the start of the current year.
Both options are available on the AR Reports & Enquiries Menu, selected from the Asset Register Menu. To halt report printing at any stage, use the Cancel button
BUTTONS
OK: Begins processing, and displays the Report status results.
Cancel: Returns you to the REPORTS AND ENQUIRIES menu.
Help: Displays help on the current application using the default browser.
Schedule: This enables users to set the report to be printed as part of the Timed Operations schedule- daily, weekly, at a certain time etc. When clicking this button, the user will be prompted to select which report they require and what time they want to run it, which spooler it will be directed to. Please refer to System Utilities on-line help for further detail on this facility.
Add to Batch: Adds the report to a batch, which would enable a user to run several Asset Register reports at once [e.g during a lunch break] to increase efficiency.
