The process of selecting the customer for whom a quotation is being created follows on from the specification of the vehicle, the options and any trade-ins. Alternatively it can be initiated by selecting Customer details from the Edit menu of the Enquiry Builder, or by clicking the toolbar icon.
The following forms are displayed:
A standard search form.
The Customer Details form, see below.
A case file, if applicable to the selected customer, see the Case file section of the CRM help files.
The Delivery Information form.
Note: If a trade-in vehicle has been set up the customer will have been automatically set to the owner of that vehicle. The search form and case file will not be displayed.
This form is part of the sequence of forms for creating a used vehicle quotation. See the Used Vehicles section for instructions and general tips on this process. This form replaces the Edit menu with a Customer options menu, containing two options: Extra displays the Extra Details form of the CRM module and Notes displays notes held against the customer record.
After a customer has been selected using the search form, this form is displayed with the fields described below. Unless the customer record has only just been created, most of the information should already be included. If any details do require modification the changes can be made on this form. In such cases the customer's record in CRM will be updated when the Next button is clicked.
It is not necessary to complete every field.
Title/Initials: The first field is for the customer's title (e.g. Mr, Mrs, Dr) and the second is for the customer's initials, e.g. FL.
Note: It is now the convention not to use full stops or spaces.
First name: The customer's first name.
Surname: The customer's surname.
Salutation: Automatically created by the system, combining the title and surname.
Address: The customer's address. Commas and full stops should not be used.
Note: Autoline will automatically capitalise the first letter of the address. Prefixing the line with # will disable this feature.
Postcode: The customer's postcode.
Linked to company: The company record in the CRM module to which the customer is associated. Click the ellipsis button ... to display the details of the linked company in display mode (read-only). If no company has been linked to the customer record a search form is displayed instead, so that a company can be found and linked.
Home phone: The customer's home telephone number. The ST code must always be used and there should not be any dashes between numbers.
Work phone: The customer's work telephone number, using the same format as the home phone.
Work extension: Additional to the customer's work phone number, if applicable.
Mobile phone: The customer's mobile phone number, using the same format as the home phone.
Fax: The customer's fax number, using the same format as the home phone.
Email: The customer's electronic mail address.
Note: The system checks for duplicate telephone/fax numbers and email addresses in the CRM database whenever one of the above fields is edited. If a match is found within another record a warning message is displayed, including details of the other customer.
Preferred contact no.: The customer's preference, if known, selected from a list of the above telephone numbers
Source of business: The source of business code, selected from the range of options set up in the Miscellaneous Options of the CRM module. This could include different forms of advertising, or recent promotional campaigns.
Branch: The location where the customer's record was created.
Language: The customer's preferred language.

After the Customer Details form and a case file, if applicable, this form is displayed with the fields described below. Modification made on this form will not update the customer's record in CRM.
It is not necessary to complete every field.
Customer name: Edit the customer name if required, as it will appear on any possible invoices resulting from this quotation.
Linked to company: This field is not displayed or editable unless there is a company attached to the customer record.
Account: The account number to be used for any possible invoices resulting from this quotation. This field defaults to the account number held on the customer record's (as displayed in brackets to the left of the field). Click the ellipsis button ... to search for another account.
Use customer address: The customer's address. Select this or the other two radio buttons to automatically fill in the delivery address and postcode fields below.
Use company address: The address of the company record associated with the customer's record.
Use account address: The address held against the account number selected above.
Delivery address: Set by selection made above but can be edited if required.
Postcode: Set by selection made above but can be edited if required.
Home telephone: The customer's home telephone number. Defaults to the number set on the Customer Details form but can be edited if required.
Work telephone: The customer's work telephone number. Defaults to the number set on the Customer Details form but can be edited if required.
Fax number: The customer's fax number. Defaults to the number set on the Customer Details form but can be edited if required.
Mobile number: The customer's mobile phone number. Defaults to the number set on the Customer Details form but can be edited if required.
Electronic mail: The customer's email address. Defaults to the number set on the Customer Details form but can be edited if required.
Delivery date: Enter delivery date or click the ellipsis button ... to display a pop-up calendar.
Click the Next button to proceed. If the customer has a current vehicle that has been previously valued, the Previous Valuations form is displayed. If no such valuations exist for this customer, or a trade-in was set up on the preceding Available Trade-Ins form, the Select Payment Method form is displayed.
