Checking Vehicles in or out of the Workshop

When a vehicle arrives at the workshop on the day it can be checked in and made available for working on. When the vehicle is checked in and out the system updates the Keys fields on the Workshop tab.

Note (If installed): For reporting purposes, when a check-in or check-out is performed a record is written to the logch file on each occasion.

To check vehicles in to the workshop:

  1. Open a new WIP.

  2. Enter Labour details into the main Point-of-Sale.

  3. Click the Workshop.gif button.

    Tip: Alternatively, select the Load option from the Workshop menu.

    The Workshop Launch Control form is displayed.

  4. Click the Check In/Out button.

    The Check In/Out form is displayed.

  5. Select the Take possession of vehicle option button, and enter the mileage.

    Note: To check out, select the Return vehicle to customer option button, and enter the mileage.

  6. Click the OK button.

    Tip: Alternatively, click the Job card button to print out the Job card.

    You are prompted to select a location.

  7. Select the location from the drop down menu and click OK if a Service Route Code has been set up.

    The WIP status will be updated to Checked in, and will be available to the technician for clocking on.

Check In/Out Form

This form is displayed when you click the Check In/Out button in the This Job group on the Workshop Launch Control form.

Option Buttons:

Take possession of vehicle: Select the Take possession of vehicle option button when the vehicle is being received into the workshop.

Note: When a loan vehicle is booked on the WIP the description text and hand over loan vehicle: is displayed. This also includes the registration number from the Loan vehicle diary. The Courtesy car booking Start form is then displayed.

Note (If installed): If you have printed a loan vehicle agreement from the Tools menu option Print loan vehicle agreements in a WIP, then the message will be displayed as Loan vehicle agreement already printed. The Courtesy car booking Start form is not displayed because the booking has already been started.

Mileage in: Complete this field with the mileage on the vehicle. When a value other than 0 (zero) is entered it will be validated against the vehicle record in marketing for a value greater than the last recorded mileage.

Note: The second occurrence of the Due in field on the Order tab on the Main Point-of-Sale form will be updated.

Return vehicle to customer: Select the Return vehicle to customer option button when the vehicle is being released from the workshop.

Note: When a loan vehicle is booked on the WIP the description text and take back loan vehicle is displayed. This also includes the registration number from the Loan vehicle diary. The Courtesy car booking Return form is then displayed.

Mileage out: Complete this field with the mileage on the vehicle. When a value other than 0 (zero) is entered it will be validated against the vehicle record in marketing for a value greater than the last recorded mileage.

Note: The second occurrence of the Due out fields on the Order tab on the Main Point-of-Sale form will be updated.

Warning: Messages are issued by the system if an attempt is made to check in a vehicle for a second time without having first checked it out. Similarly you will be warned if you attempt to check out a vehicle for a second time if it has not first been checked in. In each case you will be prevented from completing this action until the appropriate corrective action has been taken.

Buttons:

OK: Applies any changes to the check in/out and opens the Location form if a Service Route Code has been set up.

Job Card: Prints the Job card for the tasks relating to this vehicle and opens the Location form in order to receive the vehicle into the workshop.

Cancel: Returns you to Point-of-Sale without updating the status of the WIP.

Help: Displays help on the current application using the default browser.

Location Form

This form is displayed when you click the OK button on the Check in/out form. This form prompts for entry of location details in order to receive the vehicle into the workshop if it has a Service Route Code setup.

Location

Select a location from the drop-down menu.

Buttons:

OK: Returns you to Point-of-Sale
