The Adjusted Availability form performs two functions:
Records an adjustment in the availability of a technician or a non-human resource.
A non-human resource would be, for example, equipment or facilities.
The normal availability of a technician is based on the shift pattern to which he or she is assigned. Any change to the technician's normal availability, is recorded on the Adjusted Availability form. At the same time, you record the reason for the change in availability.
Reasons for an adjustment to availability might be Sick Leave or Overtime. Each adjusted availability reason is assigned a colour code. So you can easily see any deviations from a technician's availability on the Adjusted Availability form. Similarly, if a piece of equipment is unavailable for some reason, you record this on the Adjusted Availability form.
The availability of these resources affects the volume and the scheduling of work that your workshop can undertake.
Adjusts the start and/or end times of a shift.
You adjust a shift pattern if, for example, there is a public holiday. In this case you set the shift to unavailable for the whole day. If your workshop has to close at lunchtime for some reason, you adjust the end time of the shift. If the workshop does not open until lunchtime, you adjust the start time of the shift.
Note: When you adjust a shift pattern, the change affects the availability of all personnel who are assigned to that shift.
What do you want to do?
This form adjusts the availability of a resource, on a given day, in quarter hour increments. It can also be used to set the start time and/or end time of a shift.
The Adjusted Availability form is displayed by one of the following methods:
Workshop Loading > Resource Availability. Load the details of the resource whose availability you want to adjust.
Right-click the day you want to adjust.
A shortcut menu is displayed. Select Adjusted Availability from the shortcut menu.
Workshop Loading > Workshop Calendar. Load a shift and click the day on which you want to adjust the start or end time of that shift.
Point of Sale > Workshop Load form > Assigned Tasks.
Right-click the technician whose availability you want to change. A shortcut menu is displayed.
Select Edit Availability. The Resource Availability form is displayed.
Right-click the day on which you want to change the technician's availability. A shortcut menu is displayed.
Select Adjusted Availability from the shortcut menu.

Grid:
The day is divided into AM and PM. Every hour is subdivided into 15 minute increments. Each 15 minute increment is represented by a single square on the form.
You would want to do this if, for example, a technician takes a day off or if a resource, such as an MOT test bay, is unavailable for a whole day.
To adjust resource availability for the whole day:
From the Main menu, select Workshop Loading > Resource Availability and load the details of the resource whose availability you want to change.
Right-click the day for which you want to adjust the resource's availability.
Select a reason for the change in availability, from the Select x-availability reason dropdown list.
The reason is displayed in the dropdown list box.To change the resource availability, do one of the following:
Make the resource available for the whole day. Click the Available All Today toolbar button.
The entire grid is colour-coded green.
To make a resource unavailable for the whole day, click the Unavailable All Today toolbar button.
The entire grid is colour-coded red.
Click the Save toolbar button.
Your changes are saved and you are returned to the form you were working on before you opened the Adjusted Availability form. The day on which you made the adjustment is now colour-coded to show that availability has been adjusted.
You would want to do this if, for example, a technician has part of the day off or a resource, such as an MOT bay is unavailable for part of the day.
To adjust resource availability for part of the day:
From the Master menu, select Workshop Loading > Resource Availability and load the details of the resource whose availability you want to change.
Right-click the day for which you want to adjust the resource's availability.
Select a suitable reason from the Select x-availability reason dropdown list.
The reason you selected is displayed in the dropdown list box.
Click the squares which represent time span over which availability is changed. For example: To change the availability of a resource between 13:00 and 14:00, click the squares 13:00, 13:15, 13:30 and 13:45.
As you click each square it changes colour. The colour represents the reason you selected from the drop down menu.
Alternatively, to select a range of times, do the following:
Right-click the first quarter hour increment to which the reason applies.
A shortcut menu is displayed.
Select Available (or Unavailable) from time (hh:mm) from the shortcut menu. Note the option includes the reason you chose from the drop down menu.
Any square you click is colour coded according to the reason you selected.
Right-click the last quarter hour increment to which the reason applies.
A shortcut menu is displayed.
Select the Available (or Unavailable) to time (hh:mm) option.
The squares between the start and end times you specified now have your chosen availability, or unavailability reason assigned to them and are colour coded accordingly.
Note: Colour codes are assigned to availability reasons using the Adjusted Availability Reasons form.
Click the Save toolbar button.
Your changes are saved and you are returned to the form you were working on before you opened the Adjusted Availability form. The day on which you made the adjustment is colour-coded to show that availability has been adjusted.
You may want to do this if, for example, the workshop will be closed on a normal working day.
To adjust shift times for the whole day:
From the Main menu, select Workshop Loading > Workshop Calendar. Load a shift and click the day on which you want to adjust the start or end time of that shift.
Select the reason for the change in availability, from the Unavailability (select x-availability reason) dropdown list.
The reason you selected is displayed in the dropdown list box.
To change the shift availability for the day, do one of the following:
Click the Available All Today toolbar button.
The entire grid is colour-coded green.
Click the Unavailable All Today toolbar button.
The entire grid is colour-coded red.
Click the Save toolbar button.
The day on which you made the adjustment is colour-coded to show that the shift has been adjusted.
Alternatively, to exit this form without saving the changes, click the Exit toolbar button.
To adjust shift times for part of the day:
Select Workshop Loading > Workshop Calendar from the Master menu. Select a shift/year from Workshop Calendar. Click a day to make adjustments to the shift pattern for that day.
The Adjusted Availability form is displayed.

To change the shift pattern for a part of the day, select a suitable reason from the Unavailability (select x-availability reason) dropdown list and edit the grid to represent the shift times for that day.
As you click each square it changes colour. The portion of the grid that is coloured green represents the shift time for that day. The portion of the grid that is coloured red represents the time outside of the shift pattern for that day.
To select a range of times, do the following:
Right-click the first quarter hour increment to which the reason applies.
A pop up menu is displayed.
Select the Available (or Unavailable) from time (hh:mm) option.
The square on which you clicked is colour coded according to the reason you selected.
Right-click the last quarter hour increment to which the reason applies.
A pop up menu is displayed.
Select the Available (or Unavailable) to time (hh:mm) option.
The squares between the start and end times you specified now have your chosen availability, or unavailability reason assigned to them and are colour coded accordingly.

Click the Save toolbar button.
