Re-Valuing Foreign-Currency Vehicle Deposits
On a deposit record, there is normally a Currency amount and a Currency VAT value. A base-currency deposit can be allocated to a foreign-currency vehicle and, in the Finance details screen, the calculation of the amount owing would take the base-currency deposit value away from the foreign-currency invoice amount. In the Sales Ledger, the base-currency value of the deposit would be converted to foreign currency when calculating the amount outstanding.
This program enables you to enter vehicle deposits that are not in base currency. Where deposits are taken in either foreign- or base currency, the process of allocating them to Showroom orders or Vehicle stock records priced in foreign currency reflects the foreign-currency amount. Base-currency deposits can be used as payment for foreign-currency vehicles, and foreign-currency deposits used as payment for base-currency vehicles.
There are four possibilities when allocating a deposit to a vehicle record:
X3.MS.vmcdp is the X3-multi-currency deposit file.
X3.MS.vmcnv.xx is the multi-currency new-vehicle file and is suffixed with the VS company number.
X3.MS.vmcnv.xx is the multi-currency used-vehicle file and is suffixed with the VS company number.
Note to System Administrators: For system maintenance and security purposes, the content and function of some tables require an access priority of 9. Information regarding Priority 9 functions is normally restricted. If you require assistance, please contact Autoline Software Support. Before you use this program, you must ensure that the Autoline system is correctly set up. This is normally done by, or on advice from, an Autoline consultant. Consultants should refer to the handover document.
Note also: Exchange rate in Vehicle Stockbooks can be amended 'on the fly' in the VS-record if the user priority is high enough. If the exchange rate as a whole needs to change, that must be done in Manufacturer Systems > X3 > Vehicle multi-currency > Exchange rates.

Warning: It is not known what the foreign-currency conversion will be, when a deposit is taken in base currency, if the deposit is not allocated to a vehicle as part of that process.
If the deposit is in base currency but the vehicle is in foreign currency, the deposit is given a foreign-currency equivalent amount. The exchange rate used to convert the base amount to its foreign-currency equivalent is the rate effective at the date when the deposit was taken. The core deposit-record has its currency equivalent-amount updated.
The deposit amount and the deposit VAT (DEPAMT and DEPVAT) in the New-, or Used, VSB record are updated with the foreign-currency equivalents.
To take a deposit in base currency for a vehicle in foreign currency:

Set Base currency code on the system to UKL.
(Nominal Ledger > System Maintenance > System Parameters > Currency Details tab.)
In NL System parameters, ensure that > Deposit VAT code is set up according to your system.
On the Autoline Master Menu, click Sales ledger > Take Deposits.
The Take Deposits form is displayed. You are on the Header Tab.
Note: Account is UKL currency, displayed in red.
Select New, and enter details.
Select either the Process toolbar button or the menu-bar command, Options > Process, when all the deposit details are entered.
In Manufacturer systems > X3 > Vehicle multi-currency > Exchange rates, the Exchange rate for the current date for the currency of the vehicle might be, for example: 0.24950
Say we are using vehicle 400108..., load vehicle 400108 in VSB, click Amend , and go to the Finance Details tab.
Right click on the deposit section of the Grid.
This allows you to search for deposits.
Select the deposit previously entered.
The deposit is now attached to the vehicle.
The files will have been updated as follows, in Multi-currency New-vehicle stock (X3.MS.vmcnv):
The Multi-currency vehicle deposits record (X3.MS.vmcdp) will have been created.
The exchange rate will be as noted previously: 0.24950
You can clear this deposit if necessary, as follows:
You can clear the example deposit if required.
To clear a deposit in base currency from a vehicle in foreign currency:
Right click in the deposit line on the Finance Details tab, and select the option Clear deposit.
The deposit grid row is cleared.
The Multi-currency vehicle deposit record will have been removed from the table.
The deposit data in the following fields will have disappeared from the Multi-currency new-vehicle-stock table: DEPAMT; DEPVAT; DEPMAGIC; DEPREF; DEPROE.
To take a deposit in foreign currency for a vehicle in base currency:

Set Base currency code on the system to UKL.
(Nominal Ledger > System Maintenance > System Parameters > Currency Details tab.)
In NL System parameters, System Flags tab, ensure that > Deposit VAT code is set up according to your system.

Click Amend , and go to the Finance Details tab.
Right click on the deposit section of the Grid.
This allows you to search for deposits.
Select the deposit previously entered.
The deposit is now attached to the vehicle.
The base-currency amounts from the core SL.depos record are used to update the vehicle-deposit amount and the deposit VAT (DEPAMT and DEPVAT in the New- or Used-vehicle stock record). On your New-vehicle record:
Value is BASEVAL from the SL deposit.
VAT is BASEVAT from the SL deposit.
To take a deposit in foreign currency for a vehicle in foreign currency:
