This form is displayed by clicking the Enquiry Builder icon on the Showroom Customer Enquiries form. In this context it can be used to create a quotation without stepping through a long sequences of forms, starting from a blank enquiry.
The same basic form is also displayed at the end of the sequence of forms for creating new and used vehicle quotations.
All the attributes of a quotation can be edited by selecting options from the Edit menu, clicking toolbar icons or by clicking on the relevant details displayed in the main five sections of the form. In addition, demonstrator vehicles can be booked, deposits taken and emails sent.
The range and number of menu options varies depending on the options currently chosen for the enquiry. For example, emails can only be sent if a customer has been selected.
Note: The option to Exit with no save on the File menu is only available before any details of an enquiry are entered. Once a customer, vehicle, finance scheme or trade-in has been selected you must save (see below) in order to return to the Showroom Customer Enquiries form.
The standard menu options and toolbar icons, which are available even when the form is displaying a blank enquiry, are described below:
Menu Icon Description File > Show presentation Displays the remote web site or file on the local network (such as a PowerPoint presentation) which has been specified for the current user in Salesperson settings. File > Delete quote The Delete option is only available for enquiries and quotes if the search results are returned using the For customer search method in Find Customer Enquiries. Deleting an enquiry or quote removes any statistics but leaves event information. File > Print Contains a sub-menu with options for printing information relevant to the current enquiry. Until a customer is selected the only option is Other which displays a list of reports set up for the current company. File > Show discount on printout Will show any discount on the printed document, this will depend on the set up of the document. Edit > Customer details If no customer is currently selected this starts the process of loading a customer record. If a customer has already been selected this displays their details. Edit > Qualification details Displays the Qualifications form. Edit > Finance company Displays the Select Payment form for comparing and selecting finance schemes. Edit > Payment profile Only displayed if user defined finance information has been entered on the enquiry. Edit > Deposit Displays the Target a Down payment form. Enter the amount of the deposit required on this deal. Edit > Trade-ins Displays the Available Trade-Ins form for specifying the details of a trade-in. Edit > Other details Displays the Quote Details form. Edit > Sales staff Displays the Sales Staff form for sending the enquiry to a business manager and the sales manager or both. Edit > Change vehicle If no vehicle is currently selected this starts the process of specifying a new or used vehicle, or select a vehicle by its stock/order number. If a vehicle has been selected, you can also view the current vehicle details. Edit > Summary Displays the Purchase Summary form. This form differs depending on whether the currently selected vehicle is new or used. Edit > Deal Presentation Displays the Deal Presentation form. A line by line break down of the enquiry/quote or order.. Edit > Rental in advance (If installed) Displays if Rental in advance is switched on or off. Demonstrators > Diary Displays the Demonstration Vehicle Diary form. Demonstrators > Book demo Displays the Demonstration Vehicle Diary form. Demonstrators > This vehicle Displays the This vehicle form allowing a demonstration to be immediately started. It will only display if there is a current CRM vehicle record and a customer has been loaded. View > Backoffice mode Enables/disables Backoffice mode. View > Including VAT Enables/disables the inclusion of Value Added Tax in prices for vehicles and options. On forms which list such prices, the window title bar displays the current setting, either 'Including VAT' or 'Excluding VAT'. Tools > Take Deposits Displays the Take Deposits form. Tools > Lock workstation Locks the current session. This can be used to prevent unauthorized access while a terminal is left unattended. The password required to unlock can be set in the User details form in the System Utilities module. Alternatively, press Ctrl+Alt+Z. Help > Help Displays this help page. Alternatively, press F1.
The following menu options and toolbar icons become available after a vehicle is selected:
Menu Icon Description File > Reprice Will display the vehicle specification prices available in Specification / Price Generations held within Franchise Data to enable user to select a new price. File > Save Contains a sub-menu with options for saving enquiries with different statuses. These include Store as 'in progress' and Store as lost sale. See the Saving the Enquiry section. File > Send EMail Contains a sub-menu with options for sending emails. Selecting the Formatted option displays the Compose Message form with basic details of the enquiry in the message body. File > Export to XML document Will export the enquiry to a defined area within the server, this path is held in the Export section of the Showroom System Parameters Edit > Options Contains a sub-menu with options for specifying the vehicle options.
The following menu options and toolbar icons become available after a customer is selected:
Menu Icon Description File > Save Contains a sub-menu with options for saving enquiries with different statuses. These include Store as 'in progress', Store for later and Store as lost sale. After saving the system closes the enquiry and returns to the Showroom Customer Enquiries form. The Store for later option opens a contact form or wizard. File > Send EMail Contains a sub-menu with options for sending emails. Selecting the Formatted option displays the Compose Message form with basic details of the enquiry in the message body. The recipient is automatically set to the customer's email address. File > Case file Displays the customer's case file, see the Case file section of the CRM help files. Edit > Clear customer details De-selects the currently loaded customer so that a different customer can be selected.
Warning: Please be aware that when using the New and Used minimum profit and % parameters if the Showroom enquiry does not have the minimum profit required the save button is disabled and the print option icon is completely removed, these are the only indications that the enquiry does not have enough profit. Being a customer front facing product we do not warn the user that they do not have enough profit.

Note: Depending on the finance scheme chosen and the current Backoffice mode setting, some of the following options may not be enabled.

Edit > Sale code Displays the sales code see Finance Schemes.When it is possible to amended the sales code only a sales code that is between the Minimum / Maximum of the selected scheme will be allowed, any sale code entered under the minimum will automatically be set to the minimum for the scheme selected and if a sales code is entered over the maximum then the maximum sales code will also be used. Edit > Balloon Change Residual Value see Finance Schemes form. Edit > APR Displays the APR see Finance Schemes form. Edit > More finance information Displays the More Finance Details form which displays the details of the finance scheme in read-only mode.
