This form is used to send a pre-formatted Account Creation request email or AOI Account Amendment request mail to the Accounts Department from within CRM record maintenance (Company/Customer).
The AOI Account amendment mail is Mercedes-Benz specific.
Before you can use this function the following needs to be available in CRM features (MK.functs):

Tip: Start the function Generate screens overlay to have the menu-items available in CRM.
In User access control on the Available buttons tab, you can define which user has permission to use these menu-items.
Note: You can email Customer or Company information from the CRM Customer or Company record, if the Use Accounts Open Interface (AOI) parameter in the NL System Parameters on the System flags Tab is set to Y.
To send an email from CRM:
Select AOI account creation mail or AOI account amendment mail from the Customer options or Company options menu.
The ComposeMail Message form is displayed.
Complete the form and click Send.
Your message is sent to the specified recipient or recipients.
Note: Depending on the Account format parameters set on Accounting Open Interface Parameters, an Email and/or a XML file will be created. Click here for more information.
This form is displayed when you open, one of:
CRM > Customer Record or Company Record > select Customer options > AOI Account creation mail or Company options > AOI Account creation mail as appropriate to display the ComposeMail Message form.
CRM > Customer Record or Company Record > select Customer options > AOI Account amendment mail or Company options > AOI Account amendment mail as appropriate to display the ComposeMail Message form.
Note: This form is displayed automatically in case an exception account is entered in the Account field in CRM to send an account creation mail.
Note: If the option AOI Account amendment mail is selected, the External reference is displayed in addition in the mail text. A validation is done on the External reference of the Sales Ledger account that is selected on the CRM record. If the External reference of the selected SL account is empty, an error message is given and it will not be possible to send the amendment mail.
Note:This form is only displayed if the MAIL field is set to MAIL in the AOI System parameters.

Fields:
To: Displays the email address of the recipient.
Cc: Displays the email address of person to receive a courtesy copy of the email.
Note: The email address of the recipient and cc are defined on the Options Tab in the AOI Parameter settings.
Subject: Displays the subject of the email.
Upper Message box: Displays the contents of the email. In the AOI Account amendment mail a validation is done on the External reference of the Sales ledger account that is selected on the CRM record. A message is given, if the External reference of the selected SL account is blank, and it will not be possible to send the amendment mail.
Note: The email format is defined on the Other settings Tab in the AOI Parameter settings.
Note: When a customer is linked to a company, also the company details will be included in the pre-formatted part of the e-mail.
Credit terms Aftersales: Select a credit term of the Nominal Ledger Terms of business table (**.NL.terms), Mercedes-Benz specific.
Credit terms Sales: If this fields is available, select a credit term of the Nominal Ledger Terms of business table (**.NL.terms), Mercedes-Benz specific.
Note: The credit term is not saved on the CRM record but if selected on the import definition, it can be set on the SL account created by the AOI import program.
Governmental business flag: Select a Governmental business type, Mercedes-Benz specific.
Note: The Credit terms and Governmental business flag fields are not available for the Mercedes-Benz Niederlassungen. The governmental business flag can be selected in the MB specific customer information form or the MB specific company information form.
Lower Message box: You can enter additional information to the mail.
Note: Because the account information of the cash account(s) is already known in CoFiCo (Common Finance and Controlling), it is not possible to send the AOI account creation or amendment mails.
Note: Before Exception accounts can be assigned when creating a new CRM record, the exception accounts must be imported. A file with Exception accounts is delivered by the CoFiCo system and can be imported in Autoline by the Accounts Open Interface. The exception accounts are stored in the Mercedes-Benz Exception account table (MB.MS.slacc).
The imported Exception accounts can be assigned to a CRM company or customer in case it is not possible for the CoFiCo system to reply on the Account creation mail.
To allocate an exception account to a CRM customer or company:
Enter the exception account in the Account field on the Additional details tab in CRM.
A message is displayed that informs the user that the account is set-up as AOI exception account and therefore can not be linked to a CRM record.
Click OK
Select the Account creation mail option from the menu bar.
Note: In case the Exception account type parameter is set and the MB.MS.slacc file is present and the account field on the CRM record is empty, a message is displayed.
Click Yes
Click OK in the following message.
The Compose Mail Message form is displayed
Note: The first available Exception account will be placed on the CRM record. The Account creation mail contains a line displaying the allocated Exception account.
Click Send
The CRM record is automatically saved to ensure that the allocated Exception account is saved on the CRM record.
Note: The Customer/Company link on the SL account record of the Exception account is updated and the Exception account is removed from the table.
The CRM customer or company with the Exception account attached can now be used to create an invoice.MB.MS.slacc.SL_company_number
Note: On the next AOI Interface import, the SL account record is updated with the customer or company details from the update file received from CoFiCo.

Note: The Account creation and account amendment changes is not available for NDL systems.
