Options

Options are specific to the selected franchise, model or variant. New options can be created at any level. Any option can have multiple prices attached to them at any level. Options can have notes attached to them, these notes can be manually typed or via a URL link (HTML formatted).

The top of the form displays the Franchise code, model and variant (if applicable) and option types these are unavailable at all times. When creating a new option the Option code field will be enabled, if in amend mode, this field will be unavailable.

Option Code: A unique reference for the option. Max 13 characters. This option code can be alpha or numeric.

General Tab

The General tab displays the details of the option, where the option will be used in other areas of the system. This tab also denotes what postings are produced via the Analysis codes. and the Vehicle stockbook posting tables.

Notes: If using CRM Vehicle Stocking, this facility uses different posting tables.

Fields displayed on this tab are as follows:

Description: The description of the option, up to 35 characters alpha numeric, should be entered here. This will then be used in subsequent vehicle administration and showroom.

Default VAT Code: This field contains the default VAT code which is associated with the option. The master file of VAT codes is held in the accounting system, within the nominal ledger module. Typical VAT codes are S for standard rate goods, Z for zero rated goods and O for outside the scope of VAT. When the relevant programs determine whether or not to charge VAT, the customer VAT rating will also be taken into consideration. The correct VAT code for this particular option should be entered here.

List sequence number: enables you to list options in a specific order sequence within showroom and vehicle administration.

Option group: This allows the option to be placed within a group. See Option groups.

Analysis Code: Enter the appropriate analysis code for the option. This links the option to the posting tables.

Tip: If the option being created is a factory fitted option, colour or trim, the analysis code field will be disabled, an f will be displayed.

Manufacturers code: The manufacturers code for this option.

Menu price code: The Menu price code for the option. This only applies to dealer fitted and non-recoverable options. This allows integration to Aftersales menu pricing. If a menu price code is entered the labour and parts can be automatically loaded in Point-of-Sale.

Available on: Enables you to assign an option to new vehicles only, used vehicles only or both.

Tip: If the option being created is a factory fitted option, this field will be disabled, New only will be displayed.

Defaulted on: Allows you to assign an option to default in certain areas of the system, choose from the following:

None.

Do not default at all.

V

Only in vehicles.

Default onto VSB record only.

Q

Only in quotes.

Default onto Showroom quotes only.

B

Add to both.

Default onto both VSB and showroom records.

H

Hidden in SR, added to spec.

Hide in Showroom quotes and default onto VSB records.

O

Hidden in SR.

Hide in Showroom and do not default onto VSB records.

Tip: If additional colours or trims are being added will default to None.

Estimated/Fixed cost: Choose whether the option has a fixed or estimated cost. Dealer fitted and non-recoverable options are usually set to estimated cost, as these options may need to be estimated first and fitted, via the Workshop or an outside supplier.

Tip: This defaults to Fixed for Factory fitted options, colours and trims.

Car tax flag: This field, if activated, overwrites the car tax flag on the variant.

Showroom priority to edit price: Minimum priority for a sales executive in Showroom to be able to amend the price of the currently selected option. This priority overrides the dealer accessories priority set in Showroom parameters.

Allow std to be upgraded: Standard options normally cannot be upgraded (replaced by another option from the same category). However, you might have a variant that for example comes with a five disc CD auto changer as standard, but you can upgrade it to a ten disc CD auto changer. The two options should have the same category. Setting this field allows you to upgrade the standard option even though they have the same Category.

Generic option categories: This allows you to attach an option to an option category. Generic option categories are set up in another area of Franchise Data.

There are five Drop-down Drop-downs that can be used to select the required Generic option category.

Other settings

Print flag: If ticked the option will be printed when a document is produced, otherwise it will be suppressed from the documents.

Warning: This flag assigns a print or non-print value for a particular option. The derived logic in Format Stationery can be changed to include or exclude items with this flag set, depending on whether the item has a sales value, cost value, both or neither. None of the Autoline standard formats include the print option flag.

Not available to finance: If ticked the option will display with in the Showroom Enquires as Cash deposit (Includes non-fundable options).

Prompt for quantity: If ticked the option will now prompt you for a quantity.

Colour settings: It is possible to set up against each option colour code and trim code this will display sample of colour within showroom and CRM. Their is a search facility which can be used here, activated by clicking on the white box, This will display colour samples that can be used. The RGB colour is hierarchical.

Notes Tab

This tab allows you to manually type text notes in the field provided, or a typed URL link can be entered to allow you to view a pre-designed file/website for a more professional appearance. If the option to use or view via a pre-designed file/website, the Preview button will be enabled for use. To add HTML formatted notes.

Pictures Tab

This tab allows a picture to be held at option level. This is available on colours and trim options. This will enable a picture of the vehicle, in which the option is attached to, to be displayed within showroom & CRM. (if applicable).
