User profiles

The user profile records are used to provide a control over which TABs on the human resource and leaver history records may be accessed. Access is further controlled by distinguishing your own human resource record and that of other employees that you are permitted to access and also by the control of the deletion process.

As a user of the human resources module you should have a valid user profile linked to your human resources password record otherwise when entering the main human resource records option you will be prevented from entry with the message Could not load user profile for the security record of (your user id).

Standard functionality exists that allows you to create and maintain records.

To access user profiles

  1. From the Rev.8 Master Menu, select the Human Resources option and Company you require.

    The Human Resources Password form is displayed.

  2. Enter your human resource password.

    The HUMAN RESOURCES menu is displayed.

  3. Select the System maintenance option.

    The SYSTEM MAINTENANCE menu is displayed.

  4. Select User profiles option.

    The User profiles form is displayed.

The user profiles form is displayed when you select the User profiles option from the SYSTEM MAINTENANCE menu.

The user profile form shown consists of two parts, a fixed header part consisting of a unique code and a description and TAB parts that are varied based on the number of user files present on the human resource system.

User profile code: Two character code.

Tip: Click the Ellipsis button [...] to search for a user profile code.

Description: 40 character description.

Each TAB part of a user profile consists of:-

Tab ID: This is a five character unique code that is either standard within the software or the name of a user defined file. This field may not be edited.

Description: This is the 40 character description of the TAB either provided as a standard name or the name of the user defined file. This field may not be edited and is actually stored within a separate TAB Id data file known as tabid.

Access own: This is the mode of access on your own human resource record or leaver record (if you have changed company at some stage), there are three options as follows:-

Delete own: Tick for those TABs that have a record deletion process if you want to have the option to delete the data records on your own human resource record. The record deletion process is controlled from the tabid data file, calendar, driving licence, achievement, disciplinary and all user files have a deletion process.

Access: This is the mode of access on other human resource or leaver history records that you have access to subject to location security. This access level cannot be less than that of your own human resource record. There are again the three options as follows:-

Delete: Tick for those TABs that have a record deletion process if you want to have the option to delete the data records on the other human resource records that you have access to subject to location security.

Note: When one or more user files are created it is necessary to first amend the user profile to set up the access to the user files, by default, no access is allowed to each new user file. You may inhibit or allow all user file access by simply changing the setting of the TAB called USERF - User Files to None or Display respectively without having to individually control the files if required.
