Resources

The resources are created, amended, or deleted, in the Resources option in the Workshop Loading menu. You can create three types of resource from here:

This is also where you set up each Resource on a clocking device using the available options. You will need to add an Employee/badge number if you are using barcode readers.

Note: Only type T resources will be displayed on the touch screen or the new clocking device.

Tip: When creating Resources, try to make the Code meaningful, because this is what is displayed in workshop loading forms.

Resources Form

This form is displayed when you select the Resources option from the WORKSHOP LOADING Menu. From this form, you can create, amend, or delete, resource records. The Resources displayed in the grid may be sorted by Code or by Type, with the default display being alphabetical and by Code.

Tip: To change to display in alphabetical order by Type, click Type in the grid header and the resources will be displayed in the order of Technicians followed by Other resources.

Resource details

Code: This is an eight-character, alphanumeric field. This is the code that will be displayed in Point-of-Sale.

Description: A description of the resource: a 30-character, alphanumeric field

Type: Select the required Type: Advisor (If installed), Technician or Other.

Employee/badge No: For resources with a type of T: Technician

Note: If clocking devices with barcode readers are being used, a six-digit badge number must be used here.

Push Buttons

Exit: Returns you to the WORKSHOP LOADING Menu

Help: Displays help on the current program using the default browser

Create: Enables you to create a new resource record

Amend: Enables you to amend a resource record

Delete: Enables you to delete a resource record

Creating a Resource Record

If required, you can create a resource record.

To create a resource record:

  1. From the WORKSHOP LOADING Menu, select the Resources option.

    The Resources form is displayed.

  2. Click the Create button.

    The Create form is displayed.

  3. Enter the Code, the Description, and the Shortname, and select the Type from the drop-down Drop-down menu.

  4. Click OK.

    The record is created.

Create Form

This form is displayed when you click the Create button on the Resources form. It enables you to create a new resource record.

Field Descriptions

Code: An appropriate eight-character, alphanumeric code.

Note: This is the Resource code that will be displayed in Point-of-Sale.

Description: Description of the resource

Type: Select one of the following types:

Hour cost: Cost of sale per clocked hour for this Resource

TIP: If Workshop loading is in use the value set in the "Hour cost " field on the resource record is the one that will be used on the labour lines in Point of Sale, if workshop loading its not in use the hour cost value will come from the Labour rate table in Point-of-Sale.

PIN: Clocking cancel PIN when using a touch screen

Note: This is set up in POS Parameters, Flags and priorities in the Labour Tab.

Cost of sale: When activated, the Allowed time will also be recorded as the Taken time when processing clockings.

Employee/badge No: For resources with a type of T: Technician

Note: If clocking devices with barcode readers are being used, enter the six-digit badge number here.

+/- idle codes: The idle time codes that are available, or unavailable, to a technician. + will only show idle codes after the +. For example, +ABC will only show idle codes ABC to that technician on the clocking device. - will show all idle codes except the codes after the -. For example, -ABC will show all codes except ABC to that technician on the clocking device. Leave blank to show all idle codes to the technician on the clocking device.

Note: The idle codes entered here only affect the clocking device. The clocking function within Point-of-Sale is unchanged.

Availability: The availability of a technician who is available for work as a percentage. For example, if a senior technician gives 30% of his time training others, set his figure to 70%. This will adjust the technician's ability, and amend the hours in the workshop.

Note: You must have some availability set, to be seen in Workshop Loading.

Analysis code: This field is used purely for Report Generator.

+/- status codes (If installed): The clock off status codes that are available, or unavailable, to a technician. + will only show the clock off statuses after the +. For example +LC will only show LC to that technician on the clocking device. - will show all the clock off statuses except those after the -. For example, - LC will show all clock off statuses except LC to the technician on the clocking device.

Note: The +/- status codes only have an effect on clocking devices, the technicians screen in workshop loading remains the same.

Resigned date (If installed): The date the technician left the company. Completing this field will remove the technician from all the workshop loading screens in Point-of-Sale.

Note: Once you have entered a date the technician will have to be re-created if he returns to work for the company.

User ID: Defines the link between the Workshop loading resource / systems GB user and is used when creating CRM statistics records.

Touchscreen Clocking

Screens to use: Enter the touch-screen terminal number, or leave zero for all.

Klocking screens to use: Enter the Klock screen value, or leave it blank.

Note: The value entered here must match the Terminal name inside the Physical group of the Klock configuration file.

Offer unassigned tasks: When selected, this will offer all unassigned tasks as long as the technician has the skill to perform the task.

Allow technician to assist: When selected, will allow that technician to assist others

Offer all other jobs: When selected, will display all other tasks available to clock on to as long as the technician has the skill to perform the task when set in the Technicians form in Point-of-Sale. A new icon or menu option is provided in the clocking screen for the technician to select.

Assigned tasks mode: When selected from the drop-down menu Drop-down, this makes available three options:

  1. Show and offer first task

  2. Show all tasks, but only offer the first

  3. Show and offer all tasks

  4. Not used

These options control the way in which the work that has been Assigned or Unassigned to the technician appears in the clocking device Jobs list.

Push Buttons

OK: Applies any changes to the Resources form

Cancel: Cancels the operation and returns you to the Resources form

Picture: The Picture button opens the Upload picture form to allow the user to transfer the technician's picture from their personal computer (PC) to the WL picture gallery on the server.

Amending a Resource Record

If required, you can amend a resource record.

To amend a resource record:

  1. From the WORKSHOP LOADING Menu, select the Resources option.

    The Resources form is displayed.

  2. Position the cursor over the record that you want to amend, and click the Amend button.

    Tip: Alternatively, double-click to select it.

    The Amend form is displayed.

  3. Amend the details as required.

  4. When you have completed your amendments, click the OK button.

    The changes are saved and you are returned to the Resources form.

Amend Form

This form is displayed when you click the Amend button on the Resources form. It enables you to amend resource records.

Tip: Alternatively, position the cursor over the record that you want to amend, and double-click.

Field Descriptions

Code: An appropriate eight-character, alphanumeric code

Note: This is the Resource code that will be displayed in Point-of-Sale.

Deleting a Resource Record

If required, you can delete a resource record.

To delete a resource record:

  1. From the WORKSHOP LOADING Menu, select the Resources option.

    The Resources form is displayed.

  2. Position the cursor over the record that you want to delete, and click Delete.

    Tip: Alternatively, double-click to select it.

    The Delete form is displayed.

    Note: None of the fields is editable.

  3. After you confirm the message that you want to delete the resource record, click OK on the Delete form.

    The record is deleted and you are returned to the Resources form.

Delete Form

The Delete form is displayed when you position the cursor over the record that you want to delete on the Resources form, and click Delete. It enables you to delete a resource record.

Tip: Alternatively, double-click to select it.

After you confirm the message that you want to delete the resource record, click OK on the Delete form to delete the record.

Note: None of the fields is editable.
