Miscellaneous Options

This menu can be accessed from the Vehicle Stockbooks main menu, and also contains several options regarding codes which are used on vehicle record cards.

When Miscellaneous options is selected from the Vehicle Stockbooks Menu, the following menu is displayed:

Account Status Codes: The main function of the accounts status is to control the timing of the vehicles postings made to the Nominal ledger. The accounts status codes that are available for use within new and used vehicle stock records are held in the file astat together with their descriptions and certain other parameters detailed below. In theory therefore, new ones can be added and existing ones deleted, subject to priority.

Warning: In practice, extreme caution should be exercised in any maintenance of this file and users should discuss any proposed changes with an Autoline Consultant before taking any action.

Progress Codes: The vehicle progress code is normally used by the sales administration department to monitor the advance of a vehicle through its natural life, from being on order with a manufacturer, consigned stock, reserved for a customer, invoiced to the customer, etc. Unlike the Accounts status (see the previous topic), it is envisaged that you will wish to create alternative progress codes from time to time, and as long as they do not interfere with or replace some of the existing codes, this should not present a problem.

Purchase Order Types: This file is simply a table of valid codes and their appropriate descriptions. In order for a purchase order type to be utilised in vehicle administration, it must first be set up here. The number of days consignment and interest free stocking, because it is franchise specific, is held against each order type in the franchise record in Franchise Data.

Vehicle Posting Codes: This program is used to attach a description to the purchase order types shown on the franchise code. The program has a standard file maintenance facility with the options to Create, Amend, Display, Delete records, etc.

Sales Types: In order for different dealers to analyse sales types as diversely as they require, the valid codes are held in this file.

Analysis Codes: To provide maximum flexibility for various franchises and dealers to sub-analyse vehicle turnover and profitability at different component levels, the analysis codes provide up to 15, user-defined slots for sub-totalling on each vehicle, the sale and cost-of-sale.

Mnemonic Descriptions

Master Posting Tables: The master posting table defines what system field values are posted to the Nominal ledger; where they are posted to (in general terms, as opposed to specific account codes), and at what stage of the vehicle life, or accounts status, the posting is made. Because of this method of design, if several transactions are to post to the same account, the account number will only have to be entered once in the Detailed posting tables, a worthwhile feature if there are several posting tables (one for each model).

Detailed Posting Tables: The detailed posting tables are used to determine to which specific Nominal ledger accounts codes the values associated with the mnemonics defined in the Master Posting Tables are posted.

Print Posting Table: This program allows you to take a hard copy of one or more posting tables as required. Output will be to the printer currently selected by the accessing terminal.

View Vehicle Audit History: Enables you either to view, or to print, the audit history file for the selected vehicle

Vehicle Writedown Facility: Enables you to write down vehicles, one by one or in a group

Reserved Vehicles Utility: Enables you to reserve and unreserve vehicles. To enable this function, ensure that a password is entered within User Details.

Admin Team Maintenance: Enables team leaders to monitor and amend other users' vehicles

Previous Usage: Enables a code to be entered which will then populate the vehicle stockbook record, when performing a demo transfer
