The CAP Vehicle Stockbook Write Down Facility is used to calculate the depreciation of used vehicles in stock.
What do you want to do?
This form is displayed when you click Vehicle stockbooks > Miscellaneous Options > Write down facility.
Although it has the same name as the CAP Write down facility displayed when you click CRM > Stock functions > Write down facility, this form uses the vehicle stock number to calculate the depreciation.

Write-down options Group:
Write-down using CAP or GLASS data: Calculate depreciation on selected vehicles using the CAP or GLASS code that has been captured for each vehicle.
Write-down using age percentage (only shows A status vehicles): Calculate depreciation on selected vehicles using the age percentage criteria you capture.
The Filter group of fields are selection criteria that are used to determine which vehicles are displayed in the grid.Location: Branch where vehicles are situated.
Value from: Minimum price of vehicles. Zero defaults to all vehicles, irrespective of value.
To: Maximum price of vehicles. Zero defaults to all vehicles, irrespective of value.
Age in Stock (days): Starting amount of days vehicles have been in stock. Zero defaults to current date.
To: Ending amount of days vehicles have been in stock. Zero defaults to any number of days.
Show vehicles that cannot be written down (this does not include invoiced or deleted vehicles): Decision box to display vehicles that cannot be depreciated (hide vehicles colour-coded in grey). Default is to display these vehicles.
Progress codes: Stages in the lifecycle of vehicles. Options are Adopted (stock), Confirmed DC, Consignment, Demo, Memorandum, Ordered, Reserved and Showroom. Defaults to all progress codes.
Filter and Write-Down Using Age Percentage Group:
Age in stock: Starting number of days in stock.
To (days): Ending number of days in stock.
%: Percent value to depreciate.
Note: These fields are repeated 5 times. This is so that you can enter different depreciation percentages for different ages in stock. An example is 10% depreciation for used vehicles in stock for 10 - 30 days and 20% depreciation for used vehicles in stock for 50 - 100 days.
Grid:
Vehicle no: Unique vehicle stock book number.
Description: Description of the vehicle.
Current value: Current vehicle value.
CAP/GLASS's value: New value after depreciation calculation is performed. If the vehicle stock record is VAT qualifying this value is displayed including VAT.
Calculation: CAP or GLASS condition code that contains the valuation calculation.
Status: Write up/down status. Indicates if the vehicle should be depreciated or information is missing.
WD: Tick box that you select if you want the vehicle depreciation to be processed.
Selected Vehicle Group:
Details of selected car. Click on a row in the grid to select a car and display details in this group of fields. All fields are read only.
Reg. no: Registration number of the vehicle.
CAP code: Code used by the system to calculate the valuation. It is either a CAP or GLASS code. The code takes different types of information into account when calculating the valuation. For example, the make, model, year and mileage of the car.
Chassis: Unique V.I.N./chassis number.
First Reg: Date the vehicle was first registered.
Owners: Number of previous owners.
Colour: Colour code.
Date in to stock: Date on which the vehicle will be available for resale, based on the Number days preparation for resale for Trade-in setting in Showroom System Parameters.
Purchase Price: Original price held on the vehicle stock record.
Transmission: Number of gears or a one character code.
Fuel: Fuel type. For example, U for unleaded petrol.
Mileage: Last recorded mileage for the vehicle.
VAT qualifying: Ticked if the vehicle is VAT qualifying.
Source: Source of purchase.
Tip: Right-click on a row in the grid and select View vehicle record to display all information for the vehicle. The information is displayed in read-only mode.
Key:
The key appears at the bottom of the form. Each entry in the grid is colour-coded according to the status of the entry. The different statuses are based on the difference between the Current value and the CAP/Glass value.Blue: Vehicle value is Ok. Current value is ideal, but can still be written up or down.
Red: Vehicle requires write up/down. The vehicle needs to be written up or down (depreciation calculated).
Grey: Vehicle valuation could not be calculated. There is information missing from the vehicle data.
Black: Vehicle information requires condition code. A condition code must be captured in the Calculation field.
Note: This option is only available if third party data is available.
To calculate vehicle depreciation using CAP or GLASS data:
Select Write-down using CAP or GLASS data.
Select the vehicle you want to list by using the filter group of fields.
The grid will display a list of vehicles that match the filter criteria you selected.
Do one of the following:
Click the WD field in the rows you want to calculate.
Right click the grid and click Mark all valid vehicles for writedown to select all rows.
Selected rows have a tick in the WD field. if the tick is grey, depreciation calculation cannot be done..
Ensure the condition displayed in the Calculation field is correct. If not, click it to activate a drop-down button and select the correct condition code.
Do one of the following:
Click Tools > Process.
Click .
The depreciation is calculated for the selected vehicles and displayed in the CAP Value column.
Follow this procedure when using age percentage to calculate depreciation of vehicles.
Note: This calculation uses the age percentage criteria you enter, not third party data.
To calculate vehicle depreciation using age percentage:
Select Write-down using age percentage.
Select the vehicle you want to list by using the filter group of fields.
The grid will display a list of vehicles that match the filter criteria you selected.
Capture the Filter and write-down using age percentage criteria.
Do one of the following:
Click the WD field in the row you want to select.
Right click the grid and click Mark all valid vehicles for writedown to select all rows.
Selected rows have a tick in the WD field. if the tick is grey, depreciation calculation cannot be done.
Ensure the condition displayed in the Calculation field is correct. If not, click it to activate a drop-down button and select the correct condition code.
Do one of the following:
Click Tools > Process.
Click .
The depreciation is calculated for the selected vehicles and displayed in the New Value column.
