Trouble-Shooting Claim Submissions

When invoicing a claim or amending it in the Warranty application, you may get validation errors.


Program code not entered:

This indicates that you have not entered a warranty program code for claims on a vehicle over twelve months old. For Transit vans a program code is not required for the first 36 months. If this is the only validation failure, an Override button is displayed. Selecting it allows the claim through.


Mechanic's number does not exist in mapping table:

This message means that the mechanic on one of the labour lines is not in the Technical ID file, or the Technical ID file has not been set up correctly.


Unable to set Ford Technician ID:

The Technical ID file has not been set up correctly.


Invalid chassis numbers (VIN):

For any WIP that has warranty work carried out on it, the VIN must be complete. The VIN must contain 17 digits, all numeric. If this is not the case, you cannot invoice the claim. This also applies to the model number.


Breaking claim links in POS:

Claims are normally created at the point of invoice and the claim number assigned to that invoice is retained throughout the life of the claim. If the invoice is credited, the warranty claim is cancelled too. However, when a claim has been exported to GWE, you can no longer change the claim or the invoice. This is to prevent a claim being re-invoiced after it has been sent to Ford with extra parts or labour, causing a mismatch in the values between the original claim and the invoice when the payment is sent back by Ford.

There will be occasions when it is necessary to break the links. To do this there is a program accessible from the Claims system utilities menu called Break all links to WIP. This separates the claim from the WIP allowing the invoice to be credited.

Note: When the job is re-invoiced, a new claim is created (with a new claim number) independent of the original claim. The old claim should be cancelled or Held to prevent duplication in GWE.
