Most of the options within the SYSTEM MAINTENANCE menu only concern the System supervisor. If you are in any doubt about their functionality, contact Autoline Support.
Many of the items on the AK SYSTEM MAINTENANCE menu are only available to priority 9 users and therefore do not appear on your menu. In order to exercise any changes in these areas contact Autoline Support.
The AK SYSTEM MAINTENANCE menu is displayed when the System maintenance option is selected from the DOCUMENT ARCHIVE menu. From this menu, you can control certain System maintenance functions.
Prevent/allow access: This option allows you to prevent users from entering the Document Archive module. By preventing access, you can stop new users entering the module. When current users leave the module, this option prevents them from re-entering it.
Add/modify index: The Add/modify index option allows you view a list of all documents that have been archived.
File usage statistics: This option provides you with a report of the state of the files in the Document Archive module, warning automatically if any of them is becoming too full. The file usage statistics are designed to allow you to monitor the data files within each module. The relevant files within this module are displayed in a grid and, if required, you can print a file listing with more detailed information.
Word-search extract (index): The Word-search extract option allows you to perform word searches, which essentially assist you in finding the specific archived document for which you are searching.
Reset in use flags: This option runs down the WIP files, resetting any WIP records that are locked in use. WIP records are only normally locked if any other user is accessing the same WIP number as you at the same time. However, in the case of power cuts, or somebody inadvertently switching off a terminal that is accessing a WIP, it is possible for a WIP record to become locked.
Verify files: This option allows you to carry out verification of all the Document Archive files. These verifications are run at a pre-defined level to ensure that the stored data is not damaged in any way. This option does not verify the financial integrity of the Document Archive, but rather the database structure of all the files used in Document Archive part of the database.
Create files: This option requires an access priority of 9 and should be used only by Autoline personnel, or in certain circumstances, by the System Manager under the guidance of Autoline personnel. This option creates files.
