Payment Details

The Payment Details tab on the Ford GWE Claim Payments form enables you to check credit notes and claim details, display payment details by exception, and display the point-of-sale invoice originally submitted.

Payment Details Tab

This tab is part of the Ford GWE Claim Payments form. It contains payment details.

GRID:

Grid row colours identify warranty claims as being, for example, underpaid or overpaid.

Tip: If the grid contains an unmanageably large number of lines and you want to view only claims falling outside the variance settings, select the Exceptions only check box.

Claim: Identifies the claim record

Invoice: Identifies the invoice to which the claim belongs

Total claimed: Sum of amounts claimed for all elements (labour, expenses, parts, non-franchise parts)

Total paid: Sum of amounts paid for all elements (labour, expenses, parts, non-franchise parts)

Variance: Difference between Total claimed and Total paid

Tip: Selecting the Variance column header groups grid lines according to Variance.

Account: Identifies a warranty account

Action: The action performed upon posting to the account; Payment on account, Auto write-off, or Fully-pay, for example

Tip: Selecting the Action column header sorts the grid in ascending order on the values in the Action column. Selecting it again sorts in descending order.

Labour variance: Difference between amount claimed for the labour element of the claim and the amount paid for that element

Parts variance: Difference between amount claimed for the parts element of the claim and the amount paid for that element

Expenses variance: Difference between amount claimed for the expenses element of the claim and the amount paid for that element

Other variance: Difference between amount claimed for the any elements of the claim not included in the other columns, and the total amount paid for those elements

CHECK BOX:

Exceptions only: If this check box is selected, only claims falling outside the variance settings set up in system parameters are displayed.

Note: Exceptions cannot be amended; they can only be viewed.

GRID SHORTCUT MENU:

View payment details: Displays the total value of the claim and element sub totals

Variance breakdown: Displays the variance between the values originally claimed and those actually being paid by the manufacturer

Set payment action: Displays a menu of actions including Write-off, which closes the claim, Write-off, leave claim open, which leaves the claim record status unchanged, and so on.

Note: The Set payment action shortcut menu option is enabled only when the line concerned represents an unacceptable underpayment.

View claim details: Displays the claim record main details (account number, dates, vehicle identity, and record status), parts and labour, financial, and audit information

View POS invoice: Displays the point-of-sale Invoice originally submitted to the manufacturer via the warranty submission subsystem

View SL transaction detail: Displays sales ledger transaction detail

Payment Details Tab PUSHBUTTON:

About.gif Displays a guide to the additional information represented by grid row colours:

Red: An unacceptable underpayment

Magenta (purple): An acceptable underpayment

Yellow: Overpayment

Green: Payment on account

Black: Debit

White: Fully paid

Blue: Rejection

Checking a Credit Note

Note: A credit note can only be displayed if it belongs to a file that has been loaded and converted.

To check a credit note:

  1. From the Autoline Ford Operations menu select the Warranty menu (v2) option.

    The Ford GWE Claims menu is displayed.

  2. Select the Claim payments menu option.

    The Service and Repair Payments menu is displayed.

  3. Select the Service and repair payments option.

    If there is more than one Point-of-Sale company on your Autoline system, a menu displays a list of them, in which case you must select the required Point-of-Sale company.

    The Ford GWE Claim Payments form is displayed.

    Note: In the event of non-valid accounts existing, a list of non-valid accounts is displayed instead of the Ford GWE Claim Payments form, so that you can rectify them before Autoline posts them.

  4. Select Tools > Search from the menu bar or click the Search toolbar button Search2.gif.

    The Credit Search form is displayed.

  5. Enter your Search criteria and click Search.

    A list of credit notes is displayed.

  6. Select an un-posted credit note line in the Search results grid and click OK.

    Tip: Un-posted credit notes have blank Date posted and Posted? columns.

    You are returned to the Ford GWE Claim Payments form populated with details of the selected credit note.

  7. Right-click a claim line on the Payment details tab and select options from the shortcut menu to view any required further payment and related information.

    The selected payment or related details are displayed.

    Note: Exceptions and fully paid claims cannot be amended; they can only be viewed.

Displaying Claim Details

Note: Claim details can only be displayed for a credit note belonging to a file that has been loaded and converted.

To display claim details:

  1. From the Autoline Ford Operations menu select the Warranty menu (v2) option.

    The Ford GWE Claims menu is displayed.

  2. Select the Claim payments menu option.

    The Service and Repair Payments menu is displayed.

  3. Select the Service and repair payments option.

    If there is more than one Point-of-Sale company on your Autoline system, a menu displays a list of them, in which case you must select the required Point-of-Sale company.

    The Ford GWE Claim Payments form is displayed.

    Note: In the event of non-valid accounts existing, a list of non-valid accounts is displayed instead of the Ford GWE Claim Payments form, so that you can rectify them before Autoline posts them.

  4. Select Tools > Search from the menu bar or click the Search toolbar button Search2.gif.

    The Credit Search form is displayed.

  5. Enter your Search criteria and click Search.

    A list of credit notes is displayed.

  6. Select a credit note line in the Search results grid and click OK.

    You are returned to the Ford GWE Claim Payments form populated with details of the selected credit note.

  7. Right-click a row in the Payment details tab grid and select the View claim details option from the shortcut menu.

    The claim record main details (account number, dates, vehicle identity, and record status), parts and labour, financial, and audit information are displayed.

Displaying Payment Details by Exception

Exceptions are warranty claims that fall outside the variance settings set up in payment line parameters.

Note: Exceptions and fully paid claims cannot be amended; they can only be viewed.

To display payment details by exception:

  1. From the Autoline Ford Operations menu select the Warranty menu (v2) option.

    The Ford GWE Claims menu is displayed.

  2. Select the Claim payments menu option.

    The Service and Repair Payments menu is displayed.

  3. Select the Service and repair payments option.

    If there is more than one Point-of-Sale company on your Autoline system, a menu displays a list of them, in which case you must select the required Point-of-Sale company.

    The Ford GWE Claim Payments form is displayed.

    Note: In the event of non-valid accounts existing, a list of non-valid accounts is displayed instead of the Ford GWE Claim Payments form, so that you can rectify them before Autoline posts them.

  4. Select Tools > Search from the menu bar or click the Search toolbar button Search2.gif.

    The Credit Search form is displayed.

  5. Enter your Search criteria and click Search.

    A list of credit notes is displayed.

  6. Select a credit note line in the Search results grid and click OK.

    You are returned to the Ford GWE Claim Payments form populated with details of the selected credit note.

  7. Select the Exceptions only check box on the Payment details tab.

    The Payment details grid refreshes to show only exception lines.

Displaying a Point-Of-Sale Invoice

To display the point-of-sale invoice originally submitted:

  1. From the Autoline Ford Operations menu select the Warranty menu (v2) option.

    The Ford GWE Claims menu is displayed.

  2. Select the Claim payments menu option.

    The Service and Repair Payments menu is displayed.

  3. Select the Service and repair payments option.

    If there is more than one Point-of-Sale company on your Autoline system, a menu displays a list of them, in which case you must select the required Point-of-Sale company.

    The Ford GWE Claim Payments form is displayed.

    Note: In the event of non-valid accounts existing, a list of non-valid accounts is displayed instead of the Ford GWE Claim Payments form, so that you can rectify them before Autoline posts them.

  4. Select Tools > Search from the menu bar or click the Search toolbar button Search2.gif.

    The Credit Search form is displayed.

  5. Enter your Search criteria and click Search.

    A list of credit notes is displayed.

  6. Select a credit note row in the Search results grid and click OK.

    You are returned to the Ford GWE Claim Payments form populated with details of the selected credit note.

  7. Right-click a row in the Payment details tab grid and select the View POS invoice option from the shortcut menu.

    The point-of-sale invoice originally submitted to the manufacturer via the warranty submission subsystem is displayed.
