Viewing Customer and Vehicle Information on One Screen

When loading a vehicle on the WIP several screens are displayed with information from the CRM module about the vehicle and customer selected. This function enables the display of the information on one screen and is activated after the selecting the customer, vehicle and invoice-receiver from the Customer search screen.

Note: Please set up the One data screen in Point of Sale parameters.

Customer and Vehicle Information Form

This form is displayed when you click Point of Sale > Point-of-Sale select the Parts or Service option, enter your Operator ID, search for and accept Customer.

Menu Bar and Action:

Menu bar Action
File > Exit Returns you to the Point of Sales function.

Details > Customer Accesses the CRM Customer record.
Details > Vehicle Accesses the CRM Vehicle record.
Details > Service history Displays the service history of the selected vehicle.

Help > Help Displays this help topic in a web browser.

Tabs:

Main Details Tab

Customer and Vehicle details Grid:

Note: The Customer and vehicle details grid contains the information from the CRM records for the selected Customer and Vehicle.

Customer name: Display of the selected customers name.

Vehicle description: Display of the vehicle description.

Registration number: Display of the vehicles registration number.

Chassis number: Display of the vehicles chassis number.

Credit limit: Display of the customers current credit limit and currency code.

Tip: Depending on the parameter settings, it’s possible that values or dates are displayed as Border or Limit values. Border values are displayed in blue and are preceded by the bell icon and Limit values are displayed in red and are preceded by the ringing bell icon.

Note: If a previous workshop visit is detected, the Repeat Repair selection is available.

Overwrite customer details: When selected, this option will overwrite the WIP customer details with the name and address from the sales account.

Last Workshop Visit Grid:

Note: The Last workshop visit grid displays detail from the CRM vehicle in relation to recent vehicle visits to a Workshop.

Date: Displays the last date the vehicle visited a workshop.

Period: Displays the number of days since the vehicles last visit to a workshop.

Regularly maintained vehicle: Select if this is a regularly maintained vehicle.

Depending on the Repeat repair active parameter the Repeat Repair field is available and populated.

Repeat repair: Select to Confirm or Ignore this repeat service visit.

Note: A message is displayed when no selection is entered.

Selecting the repeat repair in the Customer and Vehicle Information form or by confirming the message, selects the Repeat repair field on the WIP header (Options tab of the Service Point of Sale form).

Outstanding WIP's Grid:

Note: The Outstanding WIP's grid displays a list of the POS WIP's that are outstanding against the selected vehicle.

Wip no: Displays the outstanding WIP number.

Created: Displays the outstanding WIP date of creation.

Date in: Displays the date the WIP came into the workshop.

Date out: Displays the date the WIP left the workshop.

Service text: Displays any text associated with the WIP.

Note: WIPs are displayed in red if the deletion flag on the WIP header is set to Yes and if the WIP is invoiced, WIPs are displayed in blue if the deletion flag on the WIP header is set to Yes and if the WIP is not invoiced and other lines are displayed in black.

Warranty Grid:

Note: The Warranty grid displays Warranty (Start, End and Interval)information from the CRM vehicle record.

Warranty: Displays the vehicles Warranty start date, Warranty end date and Warranty interval.

Extended Warranty: Displays the vehicles Extended Warranty start date, Warranty end date and Warranty interval.

Body Warranty: Displays the vehicles Body Warranty start date, Warranty end date and Warranty interval.

Service Contract Grid:

Note: The Service contract grid displays (if available) the Start and End dates and the interval mileage or period service contract information, taken from the CRM vehicle record.

Period: Displays the vehicles start, end and Interval service contract date details.

Mileage: Displays the vehicles start, end and Interval service contract mileage details.

Number: Displays the vehicles service contract Reference number.

Dates Grid:

Note: The Dates grid displays, (if available) the Start and End dates and the interval mileage or period information of the Service, MOT, Inspection, Tacho check and Tacho recalibration taken from the CRM vehicle record.

Service: Displays the vehicles Last, Next and Interval service information.

MOT: Displays the vehicles Last, Next and Interval MOT details.

Inspection: Displays the vehicles Last, Next and Interval inspection details.

Tacho check: Displays the vehicles Last, Next and Interval tacho check details.

Tacho recalibration: Displays the vehicles Last, Next and Interval Tacho recalibration details.

Active Service Campaigns Grid:

Note: The Active Service campaigns grid displays (if valid), the active Service campaigns for the vehicle. The active Service campaigns displayed are the valid campaigns for the vehicle kept in Autoline ( Service campaigns ) and if EVA is set-up and running, the valid EVA Service campaigns are retrieved and displayed in the grid as well.

ID: Displays the service campaign identifier code.

Description: Displays the description of the service campaign.

Comp/WIP: Displays the WIP number used/assigned to the service campaign.

Completed: Displays the date the service campaign was completed.

Damagecode: Displays the service campaigns main damage code.

Start: Displays the service campaign start date.

End: Displays the service campaign end date.

Found in EVA: Displays if the service is found within the EVA system.

Menupackage: Displays the service campaign menu package code.

Refused: Displays that the service campaign has been rejected for the selected vehicle and also shows the reason code for rejection.

Carry out: Displays that the service campaign has been selected to be loaded into the new WIP.

Grid shortcut menu:

Select campaign for service: Select to set the carry out flag to indicate that this campaign is to be loaded onto the WIP.

Deselect campaign: Select to remove the carry out flag, so that the service campaign is not loaded onto the WIP. Only available if campaign was already selected for service.

Menupackage maintenance: Select to maintain a Menu package.

Reject campaign for this vehicle with reason: Select to reject the campaign for this vehicle with a reason.

Copy menu-package to valid menu-package: Select to copy the selected menu-package to another valid menu-package.

Show menu-package: Select to display the menu-package’s details.

Exit: Closes the shortcut menu.

Note: Campaigns displayed in blue have not been found in EVA currently, campaigns displayed in green have been currently found in EVA and they have a menu package attached. Campaigns displayed in black have been currently found in EVA but they do not have a menu package attached.

Note: An exclamation icon will be displayed in a column where there is a discrepancy or some attention is needed on the service campaign.

Case File Tab

Note: The Case file tab displays the case file for the CRM Case file.

Jobcard notes Tab

Note: The Jobcard table enables a quick overview of the additional notes of the company, the customer or the vehicles data without switching to CRM.

Tip: To add or amend jobcard notes, switch to CRM and select the MB-Specific menu from the Vehicle options, customer options or company options menu and then select the Service tab.

Additional Vehicle Notes:

Vehic no: Displays the CRM vehicle magic number.

Description: Displays the vehicle description.

Registration: Displays the vehicles registration number.

Chassis no: Displays the vehicles chassis number.

Jobcard text left: Displays the vehicle text from the left hand side of the jobcard.

Jobcard text right: Displays the vehicle text from the right hand side of the jobcard.

Additional Customer Notes:

Cust No: Displays the CRM customer magic number.

Cust Name: Displays the CRM customer name.

Jobcard text left: Displays the vehicle text from the left hand side of the jobcard.

Jobcard text right: Displays the vehicle text from the right hand side of the jobcard.

Additional Company Notes:

Comp No: Displays the CRM company magic number.

Comp Name: Displays the CRM company name.

Jobcard text left: Displays the company text from the left hand side of the jobcard.

Jobcard text right: Displays the company text from the right hand side of the jobcard.

EVA Information Tab

Note: If EVA has been set up and is available, the EVA information tab is visible and displays, if found the ESKULAB decisions and EVA service contracts for the vehicle.

Messages from EVA:

Displays current messages from EVA in relation to the selected vehicle.

Eskulab decisions

Dealercode: Displays the dealer code and name

Damagecode: Display of the damage code.

Decision status: Display of the Eskulab decision.

Decision date: Display of the Eskulab decision date.

Authorise number: Display of the Eskulab decision authorisation number.

Repaircode number: Display of the Eskulab decision authorisation repair number.

Usercode: Display of the Eskulab decision authorising user code.

Tip: Right clicking an Eskulab line enables the display of the EVA_Eskulab details.

Service Contracts Grid:

Displays details of any EVA service contracts for the selected vehicle.

Update CRM: Displays a Tick or Save symbol. The Tick symbol indicates that the service contract information retrieved from EVA is equal to the information on the CRM vehicle record. The Save symbol indicates that the service contract information retrieved from EVA differs to the information on the CRM vehicle record.

Tip: Click the Save symbol to display the Acceptance form and update the CRM vehicle record, if required

Service Type: Displays the service type of the service contract which is retrieved from EVA.

Service Code: Displays the service code of the service contract which is retrieved from EVA.

Start Date: Displays the start date of the service contract which is retrieved from EVA.

End Date: Displays the end date of the service contract which is retrieved from EVA.

Start Mileage: Displays the start mileage of the service contract which is retrieved from EVA.

End Mileage: Displays the end mileage of the service contract which is retrieved from EVA.

Selling Dealer: Displays the number of the selling dealer of the service contract which is retrieved from .

Active: Displays if service contract which is retrieved from EVA is active.

Contract number: Displays the contract number of the service contract which is retrieved from EVA.

CW Costcenter: Displays the NDL-branch code which is retrieved from EVA. (Only for NDL systems)

View Outstanding WIP Details

To view outstanding WIP details:

  1. Right click an outstanding WIP line activates the Parts and Service form.

  2. Select OK to accept the selected reason.

Select a Campaign For Service

To select a campaign for service:

  1. Right click a campaign in the Service campaigns grid to display the shortcut menu.

  2. Click the Select campaign for service option to load the selected service campaign onto the WIP.

Maintain a Menu package

To maintain a menu package:

  1. Right click a campaign in the Service campaigns grid to display the shortcut menu.

  2. Click the Menupackage maintenance option to open the Menupricing Maintenance form.

Reject Campaign For This Vehicle With Reason

To reject a campaign for this vehicle with a reason:

  1. Right click a campaign in the Service campaigns grid to display the shortcut menu.

  2. Click the Reject campaign for this vehicle with reason option to open the Reason Vehicle Not Being Serviced form.

  3. Select a reason from the list of available reasons.

  4. Select OK to accept the selected reason.

Copy Menu Package

To copy a menu package:

  1. Right click a campaign in the Service campaigns grid to display the shortcut menu.

  2. Click the Copy Menupackage to valid menupackage option to open the Search a package form.

  3. Select a menu-package to copy to.

  4. Click Select menu option from the menu bar.
    The Copy package form is displayed.

  5. Complete the required infomation.

  6. Select the Copy and save menu option from the menu bar.

Show Menu Package

To show a menu package:

  1. Right click a campaign in the Service campaigns grid to display the shortcut menu.

  2. Click the Show Menupackage option opens the Menupricing details form.

Parts and Labour Form

Parts

Part number: Displays the part number.

Description Displays the description of the part.

W: Displays the Warranty code.

Quantity: Displays the quantity ordered and invoiced.

Retail: Displays the retail price of the part

P: Displays the progress status of the part

I: Displays the invoice status of the part.

Labour

RTS code: Displays the Repair Time Schedule code.

Description Displays the description of the repair.

W: Displays the Warranty code.

Allowed: Displays the time allowed for the service.

Taken: Displays the time taken to action the service.

Technician : Displays the technician who actioned the service.

P: Displays the progress status of the part

I: Displays the invoice status of the part.

Buttons:

Close: Closes the Parts and labour form and returns back to the Customer and Vehicle Information form.
