Note: A credit note can only be displayed if it belongs to a file that has been imported.
To check a credit note:
From the Autoline Renault Operations menu select the PGCS menu option.
The PGCS Submissions menu is displayed.
Select the Claim payments menu option.
The Service and Repair Payments menu is displayed.
Select the Service and repair payments option and the required Point-of-Sale company.
The PGCS Claim Payments form is displayed.
Select Tools > Search from the menu bar or the Search button from the toolbar.
The Credit Search form is displayed.
Enter your Search criteria and click the Search button.
A list of credit notes is displayed.
Select an un-posted credit note line in the Search results grid and click OK.
Tip: Un-posted credit notes have blank Date posted and Posted? columns.
You are returned to the PGCS Claim Payments form populated with details of the selected credit note.
Right-click a claim line on the Payment details tab and select options from the pop-up menu to view further payment and related information, as required.
The selected payment or related details are displayed.
Note: Exceptions and fully paid claims cannot be amended. They can only be viewed.
Note: Claim details can only be displayed for a credit note belonging to a file that has been loaded.
To display claim details:

Right-click a line in the Payment details tab grid and select the View claim details option from the pop-up menu.
The main details of the claim record (account number, dates, vehicle identity, and record status), parts and labour, financial, and audit information are displayed.
Exceptions are warranty claims that fall outside the variance settings set up in payment line parameters.
Note: Exceptions and fully paid claims cannot be amended. They can only be viewed.
To display payment details by exception:
From the Autoline Renault Operations menu select the PGCS menu option.
The PGCS Submissions menu is displayed.
Select the Claim payments menu option.
The Service and Repair Payments menu is displayed.
Select the Service and repair payments option and the required Point-of-Sale company.
The PGCS Claim Payments form is displayed.
Select Tools > Search from the menu bar or the Search button from the toolbar.
The Credit Search form is displayed.
Enter your Search criteria and click the Search button.
A list of credit notes is displayed.
Select a credit note line in the Search results grid and click OK.
You are returned to the PGCS Claim Payments form populated with details of the selected credit note.
Tick the Exceptions only box on the Payment details tab.
The Payment details grid refreshes to show only exception lines.
To display the Point-of-Sale invoice originally submitted:
From the Autoline Renault Operations menu select the PGCS menu option.
The PGCS Submissions menu is displayed.
Select the Claim payments menu option.
The Service and Repair Payments menu is displayed.
Select the Service and repair payments option and the required Point-of-Sale company.
The PGCS Claim Payments form is displayed.
Select Tools > Search from the menu bar or the Search button from the toolbar.
The Credit Search form is displayed.
Enter your Search criteria and click the Search button.
A list of credit notes is displayed.
Select a credit note line in the Search results grid and click OK.
You are returned to the PGCS Claim Payments form populated with details of the selected credit note.
Right-click a line in the Payment details tab grid and select the View POS invoice option from the pop-up menu.
The Point-of-Sale invoice originally submitted to the manufacturer via the warranty submission subsystem is displayed.
This tab is part of the PGCS Claim Payments form. It contains payment details.
Tip: The colours used for claim lines identify warranty claims as being, for example, underpaid or overpaid. To display a colour code key legend, click the information button .
Claim: Identifies the claim record (if a debit, then the claim number is 0/00).
Note: If claim number 0/00 is displayed in the grid, it must be dealt with manually through Accounts.
Invoice: Identifies the invoice.
Total claimed: Sum of amounts claimed for all elements.
Total paid: Sum of amounts paid for all elements.
Variance: Difference between Total claimed and Total paid.
Tip: Selecting the Variance column header groups grid lines according to Variance.
Account: Identifies a warranty account.
Action: Action performed upon posting to the account. Examples are Payment on account, Auto write-off and Fully-pay.
Tip: Selecting the Action column header sorts the grid in ascending order on the values in the Action column. Selecting it again sorts in descending order.
Variance (Labour): Difference between amount claimed for the labour element of the claim and the amount paid for that element.
Variance (Parts): Difference between amount claimed for the parts element of the claim and the amount paid for that element.
Variance (Lubricants): Difference between amount claimed for the lubricants element of the claim and the amount paid for that element.
Variance (Menus): Difference between amount claimed for the menus element of the claim and the amount paid for that element.
Tip: Selecting a column header sorts the grid in ascending order on the values in that column. Selecting it again sorts in descending order.
Exceptions only: A tick indicates that only claims falling outside the variance settings set up in system parameters are displayed.
Note: Exceptions cannot be amended. They can only be viewed.
Tip: If the grid contains an unmanageably large number of lines and you want to view only claims falling outside the variance settings, tick Exceptions only.
View payment details: Displays the total value of the claim and element sub-totals.
Variance breakdown: Displays the variance between the values originally claimed and those actually being paid by the manufacturer.
Set payment action: Displays a menu of actions including Write-off and close claim, which closes the claim, Write-off, leave claim open, which leaves the claim record's status unchanged, and so on. See Acting on Undecided Claims.
Note: The Set payment action right-click menu option is enabled only when the line concerned represents an unacceptable underpayment.
View claim details: Displays the main details of the claim record.
View POS invoice: Displays the Point-of-Sale Invoice originally submitted to the manufacturer via the warranty submission subsystem.
View SL transaction detail: Displays sales ledger transaction detail.
Add notes to claim: Enables you to add notes of up to 240 characters to the claim line, with the option of replacing existing text or adding to the end of existing text.
Displays a guide to the additional information represented by the colours used for the lines:
Colour Status Description Action Required White Fully paid The claim has been fully-paid by Renault. The claim/invoice will be paid in full and the claim closed. No action required Purple Auto write-off The claim has been paid at less then the amount claimed, but with the specified write-off limits. The claim will be paid in full and the difference posted to the write-off account. The claim will be closed. No action required Yellow Over-payment Renault has paid more than the amount claimed. The claim/invoice will be paid in full and the claim closed. The overpayment will be posted to the write-off account.
