The SM SYSTEM MAINTENANCE menu is displayed when you select the System maintenance option from the STOCK MANAGEMENT menu. Some of the options on the menu are available only to priority 9 users and therefore will not appear on your system. Most of the options on the menu will concern only the system supervisor. In order to exercise any changes in these areas, or if you are in any doubt about their functionality, contact support personnel.
Prevent/allow access: This option prevents users from entering the Stock Management module. For example, this option is used in order to verify files. By preventing access you can stop new users entering the Stock management module. When current users leave the module, this option prevents them from re-entering it.
Default stock record: This option enables you to pre-set fields within the stock record.
Stock EOP update: The Stock EOP update program combines all aspects of an End-of-Day/Month/Year procedure into one update across the stock file. The program processes all part numbers in the stock file and updates the following fields on the stock record: Date last max/min, Demand since, Average demand, Lowest min & date, Highest max & date, Non-stock item, Re-order category. The program is normally run by a Timed Operation.
Consolidate stock file: This option enables you to delete items that meet the normal deletion criteria and have reached the appropriate number of days set for non-stock retention. It is normally run by a Timed Operation.
Rebuild PO/BO's: This option rebuilds the Purchase Order and Backorder quantities from the ptran file. It is normally run by a Timed Operation.
Rebuild bin parts: This is a housekeeping routine to tidy up the SM.binlo file and ensure all the records in the file have a bin location written from the stock file. The program is normally run by a Timed Operation.
Rebuild SM.locat part numbers: This is a housekeeping routine to tidy up the SM.locat file and ensure that all the records in the file have a bin location written from the stock file. This routine is normally run by a Timed Operation.
Max/min mapping table: These tables are designed for use by Volvo dealers to enable them to comply with the Volvo Stock Management Plan. They would not normally be used by any other franchise.
Max/min parameters: These parameters are designed for use by Volvo dealers to enable them to comply with the Volvo Stock Management Plan. They would not normally be used by any other franchise.
End of year options: This option is designed for use by dealers in Italy to produce a Last in First Out (LIFO) report as part of their End-of-Year (EOY) profit calculations.
File usage statistics: This option provides you with a report of the state of the files in the Stock Management module, warning automatically if any of them is becoming too full. The file usage statistics are designed to enable you to monitor the data files within each module. If any data files appear to be filling up, you should contact Autoline Support to arrange for the relevant file to be extended. The system gives you a graphic display of the relevant files within this module, and if required, you can display or print a file listing with more detailed information.
Reset in use flags: The Reset in use flags program processes the Stock record files, resetting any stock records that are locked in use. Stock records would only normally be locked if another user is accessing the same stock record as you at the same time. However, in the case of power cuts, or somebody inadvertently switching off a terminal that is accessing a stock record, it is possible for a stock record to become locked. This program is normally run by a Timed Operation.
Verify files: This option carries out verification of all the Stock Management data files. These verifications are run at a pre-defined level to ensure that the stored data is not damaged in any way. The program does not verify the database structure of all the files used in the Stock Management module. This program is normally run by a Timed Operation.
System parameters: The system parameters define how certain areas of the Stock Management system operate. The system parameters are set up by a support consultant when installing the system.
System controls: The system controls are set by the system, and under no circumstances should they be altered.
