The Inter-company transferring of a vehicle (ICT) is usually performed, when a dealer within a group, has sold a vehicle within another dealers stock. The inter-company transfer enables the donor dealer to sell the vehicle at cost to the selling dealer. This process is performed in the same way as doing an invoice.
To ICT a vehicle
Note: All costs and non-recoverable costs need to be received before the ICT can take place.
Open the vehicle record , you wish to transfer.
Ensure that you are in amend mode, click the
Click on the Identity tab, complete relevant fields.
Click on the Specification tab, remove any lines not related to the ICT, ensure that there are no specification lines attached, without any costs. Highlight the lines for invoicing.
To select an option: Select the option required, the double click the option, to add to the main grid.
To edit an option: Highlight the specification line required, then right click select the Amend/Display option.
You have the option to select single or multi specification lines. To select single specification lines, right click, select the option select for invoice.
To select multi specification lines, right click, select the option select all, then click on the field 'set for invoice'.
When all relevant lines are highlighted, click on the finance detail tab. This screen is used to determine how the vehicle is to be paid.
Click on the Purchase brief tab, check that all relevant details are completed for the transfer.
Click onto the Sales Brief tab, enter the relevant customer record number.
Note: A Global ICT customer maybe be set-up in CRM system. To check a customer record. If no CRM record exists, click on the
button this will take you into the CRM customer screen. Search for the ICT customer.
Enter in the ICT account.
A message will appear asking to confirm which address. Choose appropriate.
Enter the VAT number, if applicable.
Enter the customer account. (This should be the same as the invoice account for ICT's.)
Note: Use the arrows within the centre of the screen, ensure that a valid account is entered into both account box fields.
Enter the details within the sales details:
Selling location: | Enter selling location. |
Mileage: | Enter the milage.(This is only when ICT a used vehicle.) |
Customer Order: | Not usually applicable for ICT's, but can be used. |
Order Date: | Not usually applicable for ICT's, but can be used. |
Sales type: | Use the Inter-company sales type (G). This field if entered incorrectly, will have an impact on the accounts and profit reporting. |
Sales Executives: | Enter the sales executives. (availability of up to four can be entered.) |
Est. delivery date: | Enter the date of the transfer. |
Actual delivery: | The actual transfer date of the vehicle. (This is a mandatory field and must be completed before the invoice can be printed.) |
Registration number: | Enter in the registration of the vehicle being transferred. |
Registration date: | Enter the correct registration date. (if known) |
Invoice date: | Enter the date of invoice. |
Tip: Before you finally commit to print, check that all relevant fields are completed and are correct.
Select the option, on the icon menu.
Select the document type. (If not already highlighted.)
Select format ID. (If not already highlighted.)
Select the company to transfer the vehicle to.
Check the Invoice account details.
Message will populate advising the user of the stock number of the vehicle, being created in the other company.
Click OK to print.
