CRM Statistics Performance

The Statistics tab provides statistical summaries and analysis for individual users or teams based upon data populated from

Warning: The information displayed on the statistics page should not be used as a comparison with the Nominal Ledger.

Note: Deleting an enquiry or quotation in Showroom removes the related statistics; however, the Enquiry events remains in CRM Today's performance

Statistics Tab

This form is displayed when you click Customer Relations Management > My desktop > Statistics tab.

Note: The Statistics tab will not be displayed until a view has been set up and generated and permissions created.

Menu Bar and Toolbar:

The following additional functions are added to the My CRM Options toolbar whilst viewing the Statistics tab.

Menu bar Toolbar Action
My CRM options > Views The option lists all Statistics views that the user has been given permission to display. Up to five views will be listed. Any further views can be selected by clicking Other.
My CRM options > Targets Target_000.gif The option allows Targets that have been set up to be displayed in the Statistics by actual's, actual's and targets, or targets only.
View > Back Go Back Enables the backward progression through the recent actions taken within the Statistics tab.There is also a Back button in the bottom-right corner of the Data area, which provides the same function.
My CRM options > Reset Statistics Reset Statistics Return all filters to the default values. Equivalent to repeated use of Back. Not to be confused with the Refresh icon, which re-calculates the data and re-draws the graph.

Statistics Filters

Executive\Team: Drop-down Allows team superiors to view statistics of other team members, or the entire team. The default is to display only the user's statistics. The choice of whether the superior's statistics are included in the team's statistics is set in Team management.

Note: User / Team views are maintained within Customer Relations Management > Miscellaneous options > Statistics options menu > Statistics view maintenance.

Fran: Allows filtering of statistics so that only data from the selected Franchise is shown (Example below).

Script: Allows filtering of statistics so that only data from the selected predefined script is shown (Example below).

Department: Allows filtering of statistics so that only data from the selected department is shown (Example below).

Push Buttons:

Export Export.gif This button facilitates the export of the statistics view to Excel.

Maximize Forms_000.gif This button enables the expansion of the data area to fill the entire tab.

Restore Restore This button enables the restore of the data area to the original view.

Statistics period Dropdown Select the period method for displaying the statitics

Value type Dropdown Select how the statistics view is to be displayed.

Note: Value types are defined within CRM > User Access Control.

Statistics View Area

The Statistics View Area initially displays a grid with columns that have been defined, created and generated by the Statistics view maintenance function. The columns within the grid represent the totals for each type of event within Showroom or Aftersales (eg. Enquiries, Quotes, Orders and New customers), Aftersales (eg. Invoices or Credits).

Columns generally reflect totals for each type of event, but can be created to have simple mathematics logic applied to them such as

Graph Area

The Graph section of the Statistics Tab displays a graphical representation of the data selected in the Data section. When the Data section is in its initial state, displaying a grid of totals for each Showroom or Aftersales event, the graph displayed is a pie chart, conversion rates or the proportions of different types of follow-ups. Targets cannot be set for Ratios.

The pie chart will display if Ratios Column have been created in Statistics view maintenance.

Note: If a team has been selected in the Executive\Team field, the pie chart represents the data for the entire team.

Export Statistics to Excel

To export statistics to Excel:

  1. Clicking the Export Export.gif button exports to statistics into an Excel spreadsheet.

Maximize Statistics View

To expand the view of the statistics area:

  1. Clicking the Maximize view Forms_000.gif button within the Statistics View Area expands the data area to fill the entire tab

Minimize Statistics View

To restore the view of the statistics area:

  1. Clicking the Minimize view Restore button within the Statistics View Area restores the maximized data area back to the original view.

Maximize Graph View

To expand the view of the graph area:

  1. Clicking the Maximize view Forms_000.gif button within the Graph View Area expands the graph area to fill the entire tab

Restore Graph View

To restore the view of the graph area:

  1. Clicking the Restore view Restore button within the Graph View Area restores maximized graph area back to the original view.

Display Individual Events

To display individual events:

  1. Clicking an Event column for an Executive/team displays the Event Summary Form.

WIP Summary Area

This area provides a summary list of the events based upon the selected statistics

Change display value type.

To change the view of the statistic area measure view:

  1. Clicking the Value type Dropdown button lists the available display value views.

    1. Unit: Display the statistics values based upon units.

    2. Value: Display the statistics values based upon monetary values.

    3. Profit: Display the statistics values based upon the profit value of the transactions.

Change Statistics Period.

To change the view of the statistic area measure view:

  1. Clicking the Statistics period Dropdown button lists the available methids of selecting the statistic periods.

    1. Today: Displays the statistics based upon todays date.

    2. Yesterday: Displays the statistics based upon yesterdays date.

    3. Week to date: Displays the statistics based upon the week to date.

    4. Month to date: Displays the statistics based upon the month to date.

    5. Year to date: Displays the statistics based upon the year to date.

    6. Previous year: Displays the statistics based upon the previous year.

    7. Previous month: Displays the statistics based upon the previous month.

    8. Manual date range: Displays the statistics based upon a manual date range.

Clarification of VHC views / events.

To see the clarification of VHC created events / views:

VH1 - VHC Record

VHC carried out (VHC1): Provides a unit count of the amount of VHC's carried out. The POS operator recording the VHC details will be captured as the Operator recording the VHC details. The technician who has clocked onto the 'VHC' labour line on the WIP will be recorded as the technician against the VHC recording.

Note: If using a mobile device, the technician logged into the device will be recorded as the technician and the Operator will be the POS Operator linked to the login in GB.users.

Vehicles Checked-in (ARR): Records a unit count when a vehicle is checked-in. The POS operator checking-in the vehicle is recorded against this event, but a technician event is not recorded.

VHC Red (VHCC1): Records a unit count for every labour line on the WIP that is set to a red condition code (normally condition code 1) using the VHC record function. Value statistics are also available.

Note: If using a mobile device, the technician logged into the device will be recorded as the technician and the Operator will be the POS Operator linked to the login in GB.users.

VHC Amber (VHCC2): Records a unit count for every labour line on the WIP that is set to an amber condition code (normally condition code 2) using the VHC record function. Value statistics are also available.

Note: If using a mobile device, the technician logged into the device will be recorded as the technician and the Operator will be the POS Operator linked to the login in GB.users.

VHC Not Checked (VHCC4): Records a unit count for every labour line on the WIP that is set to a not checked condition code (normally condition code 4) using the VHC record function. Value statistics are also available.

Note: If using a mobile device, the technician logged into the device will be recorded as the technician and the Operator will be the POS Operator linked to the login in GB.users.

Labour Loaded (VHCLL): Although this statistic also appears in the VH2 view, it was requested that it is also present in this VHC Record view. It provides a unit count for every labour line that has been set to 'Load' using the VHC Summary function. Value statistics are also available.

Parts Loaded (VHCLP): As above, this was also requested to be part of the VHC record view. It provides a unit count for every parts line that is attached using the menu code, to a loaded labour line (via VHC Summary function). Value and profit statistics are also available.

Labour Reminder (VHCRL): As above, this was also requested to be part of the VHC record view. It provides a unit count for every labour line that has been set to 'Reminder' using the VHC Summary function. Value statistics are also available.

Parts Reminder (VHCRP): As above, this was also requested to be part of the VHC record view. It provides a unit count for every parts line that is attached using the menu code, to a reminded labour line (via VHC Summary function). Value and profit statistics are also available.

VH2 - VHC Summary

Loaded Labour (VHCLL): This provides a unit count for every labour line that has been set to 'Load' using the VHC Summary function. Value statistics are also available.

Loaded Parts (VHCLP): This provides a unit count for every parts line that is attached using the menu code, to a loaded labour line (via VHC Summary function). Value and profit statistics are also available.

Reminder Labour (VHCRL): This provides a unit count for every labour line that has been set to 'Reminder' using the VHC Summary function. Value statistics are also available.

Reminder Parts (VHCRP): This provides a unit count for every parts line that is attached using the menu code, to a reminded labour line (via VHC Summary function). Value and profit statistics are also available.

VH3 - VHC Deferred

Deferred Labour added to WIP (VHCAL): This provides a unit count for every VHC labour line that was set as a reminder and has subsequently been added to a WIP, for the work to be done. Value statistics are also available.

Deferred Parts added to WIP (VHCAP): This provides a unit count for every parts line that was attached to a VHC labour line (using menu code) that was set as a reminder and has been added to a WIP, for the work to be done. Value and profit statistics are also available.

Deferred Labour invoiced (VHCIL): This provides a unit count for every VHC labour line that was set as a reminder, subsequently added to a WIP and eventually invoiced. Value and profit statistics are also available.

Deferred Parts invoiced (VHCIP): This provides a unit count for every parts line that was attached to a VHC labour line (using menu code) that was set as a reminder, subsequently added to a WIP and eventually invoiced. Value and profit statistics are also available.

VH4 - VHC Lost Sales

Labour from VHC Summary (VHCLSL): This provides a unit count for every VHC labour line that has been deleted using the VHC summary. If lost sale reasons exist for labour items and the parameter 'Record lost sale' is switched on, it will be mandatory for the operator to enter a lost sale reason on the Summary form before finishing. The lost sale reasons for each lost sale can be viewed using the drill facility (single left-click on number in statistics grid). Value statistics are also available.

Parts from VHC Summary (VHCLSP): This provides a unit count for every parts line that is attached to a VHC labour line (using menu code) that has been deleted using the VHC summary. The drill for these parts items will display the lost sale code and description for what was recorded on the corresponding labour line. Value and profit statistics are also available.

Labour from Reminder (REMLSL): This provides a unit count for every VHC labour line that has been deleted using the 'Review reminders' screen in POS. This screen is available when loading a vehicle to a WIP (if reminders have been set previously), or by using the Links, review reminders function with a WIP loaded. If lost sale reasons exist for labour items and the parameter 'Record lost sale' is switched on, it will be mandatory for the operator to enter a lost sale reason on the Review reminders form before finishing. The lost sale reasons for each lost sale can be viewed using the drill facility (single left-click on number in statistics grid). Value statistics are also available.

Parts from Reminder (REMLSP): This provides a unit count for every parts line that is attached to a VHC labour line (using menu code) that has been deleted using the 'Review reminders' screen in POS. This screen is available when loading a vehicle to a WIP (if reminders have been set previously), or by using the Links, review reminders function with a WIP loaded. The drill for these parts items will display the lost sale code and description for what was recorded on the corresponding labour line. Value and profit statistics are also available.
