CRM Miscellaneous Options

These options, presented in menu form, allow you to alter existing and create new standard codes which are used throughout the system. Some of the codes used in CRM are maintained in other modules. If the options you are trying to amend cannot be found consult the Help screen in other modules. The options displayed are dependent on your CRM access priority as set up in permissions and securities. Where the option takes you into a grid there are links to grid editing from the option description.

Note: If you cannot see any of the options listed below when you go into the Miscellaneous options menu and you need access, contact your system administrator who can increase you priority level to make the options visible.

Warning: When changing the codes on an existing system extreme caution should be exercised before deleting any existing codes which may be in use within the database. Removal of them from the master table file could cause severe problems when the system encounters them in a company, customer, vehicle or contact file record.

When the Miscellaneous option is selected the following menu options are displayed.

Contact type codes. Priority 5 access. This option gives you access the create, delete and amend contact type codes used on the system. The contact type codes are used as an identifier in a customer contact history to the contacts made with that individual. You can also determine the follow up to be made with that individual as a result of the contact being made and the time and/or date that the follow up is to be carried out.

Contact type groups. Priority 5 access. Contact type groups are used in conjunction with contact type codes they are used to group together contact type codes that are related. An example of this could be new vehicle sales process. Contact type groups will allow easier analysis of the types of contacts being made with customers and prospects.

Contact update status Priority 5 access. Taking this option will allow you to set up a contact type code to update the customer record status. You can determine the Department to be updated the contact type code and the status to update from and to.

Contact source Codes Priority 5 access. These codes are used when creating contacts are entered when prompted for the origin of the contact.

Contact analysis mapping Priority 8 access. This option is used to determine the basis for any contact analysis that is carried out. Contact analysis mapping allows you to determine the groups that will be used for analysis and the contact type codes that will be included with in this group.

Company status codes. Priority 5 access. Company status codes are used on the company records in crm record maintenance to indicate the current status of that company. The status of the company indicates the size of the company and is also used to mark the company record for deletion.

Customer type codes Priority 5 access. On the customer record in my desktop there is an indicator against each Department which advises if the customer is a prospect, customer, repeat customer or marked for deletion. These codes are determined by what has been set up behind this menu option. Not only does this option allow you set up new customer types but will also allow you to determine how the customer type on the customer record is up dated on invoicing.

Vehicle Status Codes Priority 5 access. This option allows you to create, amend and delete vehicle status codes. These appear on the current tab on the vehicle record and are updated from vehicle stock books or the showroom system on vehicles where the vehicle has been sold by your dealership.

Vehicle progress Codes Priority 8 access. This option is only available on systems where the vehicle stock books module is not used. The vehicle progress codes are used to advise you of the progress a vehicle is making through the vehicle stocking module.

Business type codes. Priority 5 access. This option will allow you to create, delete or amend the business types codes selected when creating a new customer or company record.

Department codes. Priority 5 access. As new departments are created on the system that need to be recorded against a customer record they will need to be available in the Department file in crm. The department option from the miscellaneous options menu will give you access to the grid in order to create, amend or delete departments. Once the department is saved it will then be available for selection against customer records as required.

Company position codes Priority 5 access. Company position codes relate to individual customers position within the company. This detail is stored on the customer record in the field described as position.

Source of business codes. Priority 5 access. The source of business on the customer and company records describes how the individual became aware of your company. This information could be useful when planning advertising.

Fleet category codes. Priority 5 access. Fleet category codes are used on company records on the Fleet Spread screen. These codes allow you to enter a brief description of the type.

Questionnaire set up. Priority 5 access. This option allows you to set up, amend or delete customer satisfaction questionnaires.

Other Vehicle Links Priority 8 access. This option allows you to maintain links from a vehicle to a customer record where the customer is not the driver, sales, or after sales link.

Service codes. Priority 8 access. This option records the service codes used in Point of Sale.

Add/modify service history. Priority 5 access. It is not possible to amend service history directly from the vehicle record. This option enables you to access the vehicle service history to amend, delete and create service history records against a vehicle when the need arises.

Add/modify service history arc. Priority 5 access. It is not possible to amend service history directly from the vehicle record. This option enables you to access the vehicle service history held in the service history archive table to amend, delete and create service history records against a vehicle when the need arises.

MOT log. Priority 5 access. When an MOT has been carried out on a vehicle the vehicle service history updates to say that the MOT has been carried out. The MOT log allows you to record detail of that MOT test for that vehicle.

Postcode daemon monitor Priority 8 access. The post code daemon monitor is effectively the controller of the post code daemon. From the post code daemon monitor you can test, stop/start and check the daemon.

Load postcode databasePriority 8 access. Every so often it will be necessary to update the post code data base as post code areas change and new ones become active. This option gives you the facility to be able to update the information.

User-defined tables. Priority 5 access. The user-defined tables option allows you to maintain the options in any user defined tables on the system. User defined tables are unique to a system and not supplied on a standard Autoline system. This option will allow you to add or delete options from those tables.

Vehicle account status codes. Priority 5 access. This option will only show on systems where Vehicle stock books is not used. As the vehicle sales processes takes place through vehicle stocking the system needs all the necessary information to facilitate this in the crm module, by having the Vehicle account status codes set up the descriptions for the account statuses will be pulled onto the vehicle.

Extra lookup maintenance Priority 8 access. Extra look up maintenance allows you to add, remove or edit values that you select when setting up customer details from my desktop.

Title codes Priority 8 access. Title codes are used in customer record maintenance. The option allows access to the title codes file so that you can add, amend and delete title codes when necessary.

Loyalty Cards Priority 8 access. Loyalty card code can be used against the Company, customer or vehicle record. The option allows access to the Loyalty codes file so that you can add, amend and delete Loyalty codes when necessary.

Spend Analysis Maintenance Priority 7 access. Spend analysis is used to maintain a record of a customer or companies spend with your company this option allows you to create the analysis groups for this.

Spend Analysis Department Mapping Priority 7 access. This option allows you to map the Nominal ledger Departments to a CRM department.

Spend Expense Code Mapping Priority 7 access. This option allows you to map the Nominal ledger expense codes to the Spend analysis groups.

Loan vehicle options Priority 7 access. Loan vehicle options Gives you access to the menu options which control the maintenance of loan car records.

Statistic Options Priority 8 access. Statistic options Gives you access to the menu options which control the maintenance of CRM Statistics that are viewed from My desktop.

CSI survey setup Priority 8 access. CSI survey setup gives you access to the new style CSI set up wizard.

Import Leads Priority 5 access. Opens the leads import facility to enable basic customer information to be imported into Autoline and allocated to an appropriate user to follow up.
