Volvo Service Notification Form

The Volvo Service Notification form is displayed when you select the Service notifications option from the VOLVO UK OPERATIONS MENU. From here, you can create, submit and carry out maintenance of service notifications for a specific POS company.

New: Allows you to create a service notification for an individual WIP.

Auto-create: Identifies outstanding service work, and presents the WIPs for auto-creation of a service notification. This is the recommended procedure for creating notifications.

Print: Allows you to print a service notification.

Exit: Returns you to the VOLVO UK OPERATIONS menu.

Submit: When a number of service notifications have been created, they can be submitted to Volvo. This option allows you to download service notifications from the Autoline system ready for transmission to Volvo. This is a priority 4 option.

Purge: Gradually the file that the service notifications are stored in will fill up. This option allows you to delete records that are now finished with and more than 90 days old. Only submitted/omitted records are deleted. If any WIPs are held open when you run this routine, the records are redisplayed within the Auto-create routine. This is a priority 4 option.

Edit-defaults: This is a priority 8 option. It allows you to set up the default record for a service notification. This is normally carried out on set-up by a consultant.

Ad-hoc: Allows you to formulate a query using Adhoc Enquiries.

WIP number: The Work-in-Progress number generated in Point-of-Sale (POS).

Tip: Click the Ellipsis button [...] to search for a WIP by chassis, WIP or registration or number, or to identify unsubmitted records.

Vehicle and service details

Model number: The Volvo model code. This is taken from the WIP if possible.

Registration number: The vehicle registration. This is taken from the WIP if possible.

Chassis number: The chassis number in the marketing vehicle record. This must be 6 numeric characters.

Life-time care: Is this vehicle subject to Life Time Care? This field is updated from the marketing vehicle record.

Comments: The comments are taken initially from the WIP but may be overtyped.

Service date: This is the date the vehicle is booked in for the service. This is taken from the Date in field of the WIP.

Next service: Enter the date on which the next service is due.

Service dealer: The dealer number of the servicing dealer.

Mileage: The vehicle mileage. This is taken from the WIP header, not the marketing record.

Transmission details

Omitted from send?: If this option is selected, the record will not be submitted to Volvo.

Date submitted: Indicates the date the service notification was submitted.

Dealer details

Dealer: The dealer number of the dealer creating the service notification.

Importer: The importer code is not required for service notifications.

PUSH BUTTONS

Exit: Returns you to the VOLVO UK OPERATIONS menu.

Save: Saves the service notification record.

Cancel: Cancels the operation.

Help: Displays help on the current application using the default browser.

Create: Allows you to create a service notification for an individual WIP. This option works in the same way as the New option on the File menu. The only difference is that you are not prompted to input a WIP number, you only have the facility to search for a WIP.

Amend: Allows you to alter details of a service notification prior to submission.

Delete: Allows you to delete a service notification.
