Amending Warranty Claims and Service Notifications

Before any amendments can be done on claims, you must create them in in point-of-sale. Invoices created for a warranty account automatically create claim records.

To update a claim in manufacturer systems:

Note: This process applies both to updating warranty claims and to updating service notifications.

  1. Select Manufacturer Systems and FO from the main menu.

    The Ford Operations menu is displayed.

  2. Select Ford OWS.

    The Ford OWS claims menu is displayed.

  3. Select Service and Repair Claims.

    The Ford OWS Claims form is displayed.

  4. Enter the Claim number and press the Tab key.

    Tip: Use the Claim number ellipsis button [...] or the search button Find3.gif on the toolbar to retrieve a claim record.

    The selected claim is displayed, although the contents are not editable.

    Warning: If the Held field for any claims is un-ticked, it indicates that the claims have passed validation. You should submit those claims as soon as possible. If any such claim record is subsequently edited and inadvertently rendered non-valid, its Held check box remains un-ticked, allowing it to be submitted in non-valid form.

    Tip: To avoid sending incorrect or incomplete claims to the manufacturer, which they return to the dealer for correction, you should validate the claim record using the full validation facility: Select Tools > Validate from the menu bar. This displays the Invalidity reasons form. Note the reasons and Exit the form, which returns you to the Ford-GWE Claims form.

  5. Select the Ford logo.

    The Ford Warranty Claim Information form is displayed, enabling you to update the selected claim record's details.

Ford OWS Warranty Claim Form

This form is displayed when:

Validity Group:

When items in this group are red, it means that they are not valid. Double click on them to go to that field in the form so that you can correct it.

Dealer Code: The current dealer code.

Dealer area: A code, allocated to the dealer by Ford, corresponding to POS code (set in Ford warranty parameters)

R O open date: xxxx

Service advisor: The person at the dealership that is processing the claim.

Claim type: The code for the claim type.  For example, warranty.

Repair date: The date that the repair is done.

Causal part: The part that caused the damage to the vehicle.

Condition code: The condition of the part that caused the damage to the vehicle.

Claim valid: Is the claim valid or not. If green, the claim is valid. If red, the claim is not valid.

Expenses Group:

Type:  The type of expense.

Value:  The value of the expense. (A total value is the last item).

Invalidity reasons(s): Displays the Invalidity Reasons form.

Cancel: Cancels any changes made and returns to the Ford OWS Claims form without saving.

OK: Saves any changes made and returns to the Ford OWS Claims form.
