This menu is displayed when you click POINT OF SALE menu > System maintenance. Some of the options on the menu are only available to priority 9 users and therefore will not appear on your system. Most of the options on the menu concern only the system supervisor. In order to exercise any changes in these areas or if you are in any doubt about their functionality, contact support personnel.
Prevent/Allow Access: This option prevents users from entering the Point-of-Sale module. For example, this option is used in order to verify files. By preventing access you can stop new users entering the Point-of-Sale module. When current users leave the module, this option prevents them from re-entering it.
Recover failed WIPs: Should any software or system problem cause the Point-of-Sale module (or individual WIPs within this module) to fail, it may be possible to recover the failed WIPs from the Point-of-Sale shadow files. This program recovers a specific WIP or all WIPs, and is normally run by a Timed Operation.
Stock reconciliation: This program resets the audit numbers and updates the audit values on each part number. The program makes postings to the accounts invoice buffer (G.I.S. account), for all receipts posted onto stock. The program is run automatically as part of the End of Day procedure, after all outstanding transactions for the day have been processed.
Update daybook details: This program updates the Point-of-Sale log header file and the Purchase Control invoice headers file with specific daybook information, should additional audit information be required.
Record sensitive movements: This program copies the movements of sensitive parts from the parts log transaction file (SO.logpa) of each Point-of-Sale branch into the centralised movements file (00.SO.sentv). It also removes over-age records from the centralised movements file, where the period of months to record and monitor movements (as defined in 00.SM.sentv) has been exhausted
Update labour WIP: This program updates the work in progress for each active WIP and each resource for each day on the WL Numbers form.
Consolidate WIP files: This program removes all old WIPs from the system that have exceeded their number of days' retention. The program is normally run by a Timed Operation. The number of days to retain WIPs on the system may be specified by you, and different retention periods may be set against each different type of WIP.
Consolidate parts log: This program archives parts log file transactions that have met the specified number of days' retention. This is normally run by a Timed Operation.
Nibble larch and tarch files: This option enables you to delete (nibble) data from the labour archive (larch) and text archive (tarch) files in the event that they are filling up. This is normally run by a Timed Operation.
Consolidate labour log: This program removes old labour transactions from the labour log file. Records are deleted according to the number of days' retention. This is normally run by a Timed Operation.
Consolidate dealer backorders: This is a warehouse-only option that enables you to consolidate all dealer backorders into one WIP. It runs down any WIP lines on backorder, deletes them and creates a new WIP with all the backorders. Lines on the WIP are set to P status so that a new picking note can be produced.
View transaction log: Enables you to view all Point-of-Sale transactions within the SOPTRANSLOG file (XX.SO.trlog). The SOPTRANSLOG file is used to monitor the processing of all parts transactions. It is possible to display all lines or unprocessed lines only.
View intercompany trans log: Enables you to view Inter-Company Transfers for the source (requesting) and destination (supplying) branch within the SOPTRANSLOG file (00.SO.xrlog). The SOPTRANSLOG file is used to monitor the processing of all parts transactions. It is possible to display all lines or unprocessed lines only.
Sort/print discounts: This facility should be used whenever new discount codes are entered into the discount map. The system re-sorts the discount map and any discount tables resident in the discount map.
File usage statistics: This option provides you with a report of the state of the files in the Point-of-Sale module, warning automatically if any of them is becoming too full. The file usage statistics are designed to enable you to monitor the data files within each module. If any data files appear to be filling up, you should contact Autoline Support to arrange for the relevant file to be extended. The system gives you a graphic display of the relevant files within this module, and if required, you may display or print a file listing with more detailed information.
Reset in use flags: The Reset in use flags program runs down the WIP files, resetting any WIP records that are locked in use. WIP records would only normally be locked if another user is accessing the same WIP number as you at the same time. However, in the case of power cuts, or somebody inadvertently switching off a terminal that is accessing a WIP, it is possible for a WIP record to become locked. This is normally run by a Timed Operation.
Verify files: This program carries out verification of all the Point-of-Sale data files. These verifications are run at a pre-defined level to ensure that the stored data is not damaged in any way. This option does not verify the financial integrity of the Point-of-Sale files, but rather the database structure of all the files used in the Point-of-Sale module. This is normally run by a Timed Operation.
POS parameters: The Point-of-Sale parameters enable you to determine how your system operates within your business. These are normally set by a member of support when your system is installed.
System parameters: The system parameters define how certain areas of the Point-of-Sale system operate. They must be set up by a support consultant when installing the system. The parameters include:
System controls: The system controls are set by the system, and under no circumstances should they be altered.
Create files: This is a high priority function and enables the creation of the prime master for for POS.
A'sales PIR parameters: The Aftersales performance indicator report paramters enables you to setup performance monitor criteria.
Multiple document print setup: This feature enables you to print several documents from any of the main POS documents prints. This applies to any of the print buttons on the POS Action form, Print job cards, Confirm picking notes, Batch print documents and Batch invoices/credits forms.
